CLASS TITLE:
NONCREDIT SUPPORT SUPERVISOR
BASIC FUNCTION:
Under the direction of the site administrator for the Community Learning Center (CLC),
supervise and coordinate the day-to day activities for noncredit support staff at the Center,
organize and monitor work flow and communications in the Community Education office,
supervise and determine coverage for temporary registration and cashiering staff; supervise and
evaluate the performance of assigned Noncredit Student and Faculty Support Assistants.
Responsible to the site administrator, for site specific issues. Provide support for students,
faculty and staff by performing a broad range of specialized support service tasks and complex
technical duties as assigned.
REPRESENTATIVE DUTIES:
1.
Organize, coordinate, train and supervise daily activities of Noncredit Student and
Faculty Support Assistants including temporary registration and cashiering staff at the
CLC; monitor workflow and adjust duties as needed. Evaluate the performance of staff.

Supervise the Admissions and Records functions in the noncredit departments and
serve as supervisor. Oversee the enrollment of students into noncredit courses; train
regular, part-time and student staff; resolve questions and problems and provide
technical assistance as necessary. (E)
3.
Serve as the PeopleSoft functional specialist for noncredit programs. Analyze, test, and
model the results of the system setup to determine appropriate functionality,
performance, and data integrity. Make recommendations for system
changes/corrections as necessary. Research and resolve duplicate student ID
problems. (E)
4.
Perform a variety of duties in support of functions delegated to assigned site
administrator; interpret and apply rules and regulations as appropriate. - Collect, compile
and process confidential information; provide a variety of secretarial - duties to assist the
site administrator. Perform advanced-level word processing functions including complex
formatting of documents, creating charts, using spreadsheets and a variety of software;
assist in creating and updating Community Education web pages. (E)

Assist the site administrator to provide facility coordination, assistance to the Campus
Police Officers and other staff in the absence of the site administrator. Serve as the
CLC maintenance liaison for general computer and networking problems, telephone
system, HVAC, copiers, and other building maintenance. Report equipment repair
needs to assure efficient and effective CLC operations; coordinate communications;
assist the site administrator in planning, scheduling, developing and implementing
departmental operations and procedures. (E)

Accept, review and process student applications. Review and determine residency
status of applications. Notify students of need for additional information or
documentation. Research, review, and update student records for changes in status,

enrollment history, grades, duplicate ID’s, duplicate careers. Post and clear holds as
appropriate. Register new and continuing students by reviewing and processing forms
and rosters, verifying residency status and correct payment of fees and enrolling
students in desired classes; assist in resolving student complaints regarding program
errors; make enrollment changes for students. (E)

Collect, process and post student account and non-student account transactions using
computerized fee-collection system. Count and control monies collected daily at CLC;
coordinate daily cash replenishment and interim deposits based on volume of money
collected and prepare funds to be sent to proper bank account or district office.
Troubleshoot and resolve problematic cashiering transactions. (E)
8.
Request and evaluate student records and transcripts from other high schools and
colleges for granting credit in the Adult High School Diploma Program. Advise and enroll
AHSDP students and determine students’ eligibility for graduation.
9.
Provide technical assistance and guidance to students, staff, counselors, faculty and
administrators in the interpretation and clarification of enrollment, attendance
accounting, academic policies, AHSDP graduation requirements, and other policies and
procedures. Coordinate noncredit registration; implement established guidelines and
procedures. (E)

Assist the site administrator by coordinating the noncredit portion of the college catalog
and collecting data on new, revised and deleted courses, by maintaining files on course
outlines; by monitoring the catalog content for consistency, organization, repetition, and
grammar; by inputting current information on courses and sections by assigning and
controlling course numbers and TOPS codes. (E)
11.
Prepare and transmit correspondence for students verifying student status and other
information; respond to requests from other educational institutions and agencies
involving the verification of student status and records. Ensure proper releases are on
file to safeguard student privacy.
12.
Provide faculty and staff with information regarding pay, absences, benefits etc.; monitor
paysheets and refer to appropriate office when needed. Assist faculty in processing
Travel Requests, field trip forms, reimbursement, material and book requests. Orient
new faculty to program, college and department procedures.
13.
Perform related duties as assigned.

EDUCATION AND EXPERIENCE:
Any combination equivalent to an Associate in Arts degree including or supplemented by
courses in business or secretarial skills and advanced-level word processing and spreadsheet
applications plus three years of closely related work experience in a service environment.
LICENSES AND OTHER REQUIREMENTS:
Valid California driver license.
WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITY:
Noncredit Student and Faculty Support Assistants, temporary registration and cashiering staff,
and student workers.
CONTACTS:

PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping; occasional light
lifting and carrying of objects weighing 35 pounds or less; ability to work at computer, including
repetitive use of computer keyboard, mouse or other control devices; ability to travel to a variety
of locations on and off campus as needed to conduct district business.

WORKING CONDITIONS:
Primarily works in an office, instructional lab and/or classroom environment. Subject to
frequent interruptions by individuals in person or by telephone, intermittent exposure to
impatient, angry and/or verbally aggressive individuals. May work at any district location or
authorized facility during day and/or evening hours with occasional evenings, and/or weekends
on an as-needed basis. Occasional local travel may be requested.
