CLASS TITLE:
NONCREDIT STUDENT AND FACULTY
SUPPORT ASSISTANT
BASIC FUNCTION:
Working as a team member, under the direction of the Dean, Community Education with the
assistance of the Noncredit Student and Faculty Support Specialist, provide support for
noncredit students, department chairs, faculty, and instructional aides by performing a broad
range of general support service tasks and specific technical duties as assigned.
REPRESENTATIVE DUTIES:
1. Provide technical assistance and information to students and staff about all noncredit
programs and courses including enrollment requirements, processes, fees, location of
classes, etc. Assist credit students and instructors when possible and refer credit
faculty and students to other departments when appropriate. (E)
2. Request and evaluate transcripts from other high schools and colleges for granting
credit in the Adult High School Diploma Program (AHSDP). Analyze transcripts for
courses and units completed; course level, content, unit value, and grading system
using appropriate reference materials. Determine students’ eligibility for graduation.
Consult with students regarding graduation when necessary. Prepare monthly
graduation list. (E)
3. Provide information and assistance to staff, counselors, faculty and administrators in the
interpretation and clarification of AHSDP registration, graduation, academic policies,
requirements, and procedures. (E)
4. Coordinate registration and graduation activities.
5. Advise students about AHSDP graduation requirements, course selection and
scheduling. Provide information and assistance related to a wide variety of student
services/activities and District functional areas. (E)
6. Register new and continuing students by reviewing and processing forms and rosters;
review and determine status of applications and forms; collect fees and enroll students
in desired classes; resolve student complaints; make enrollment changes for students;
notify students of need for additional information. (E)
7. Research, review, and update student records. Enter a variety of data into the computer
to update student information; compile information; prepare and maintain a variety of
records, reports, and files. Document and enter grade changes. (E)
8. Prepare and transmit correspondence regarding students. Respond to requests from
other educational institutions and agencies involving the verification of student status
and records. Ensure proper releases are on file to safeguard student privacy.
9. Input and verify noncredit class schedule information for database and publication of
Community Education Bulletin, update changes in database, and monitor associate

faculty hours to ensure they don’t exceed allowable maximums. Prepare, print, review,
and amend confirmation letters for noncredit faculty.
10. Schedule facility (Community Learning Center) use by internal and external users and
maintain facility use calendar. Submit appropriate work requests. Prepare invoices for
external groups as required.
11. Create and maintain Continuing Education web site and postings on the electronic
marquee.
12. Arrange for faculty substitutes. Maintain faculty and instructional aide contact
information
13. Orient noncredit faculty to payroll procedures, absence reporting, etc. Refer to
appropriate office when needed. Collect, process, and monitor time sheets and absence
reports. Assist faculty in processing Travel Requests, field trip forms, reimbursement,
material and book requests. Orient new faculty to program, college and department
procedures. Teach faculty and instructional aides to use web-based attendance and
grade reporting functions and other database record-keeping; assist as required. (E)
14. Provide administrative assistance to department chairs and Noncredit Career
Counselors. Use a variety of computer applications to record, maintain data, and
generate reports.
15. Type a variety of documents including correspondence, memos, lists, announcements,
labels and instructional materials, instructor evaluations, course outlines and curriculum
changes from oral instructions and rough or clear copy. Maintain confidentiality of
examinations and other information received; compose and type correspondence and
memos independently as required.
16. Collect, process and post student account and non-student account transactions using
computerized fee-collection system. (E)
17. Count and control monies collected daily at the CLC; coordinate daily cash
replenishment and interim deposits based on volume of money collected and prepare
funds to be sent to proper bank account or district office. (E)
18. Administer and oversee the administration of a variety of skill assessment and career
exploration tests. Score tests with computerized scoring equipment and scanner.
Ensure security of testing supplies. (E)
19. Inventory and order testing supplies and textbooks for noncredit classes. Maintain
security of tests.
20. Process Purchase Requisitions; receive, inventory, shelve and distribute supplies.
21. Provide emergency duplicating services for noncredit and credit faculty, and unlock
classrooms when needed.

22. Provide work direction to student workers and temporary registration staff as assigned.
23. Assist students and faculty to obtain materials from the Learning Resource Center or
audio-visual equipment from Media Services as needed.
24. Greet and direct visitors at the CLC. Distribute visitor parking permits as needed.
25. Perform related duties as assigned.
KNOWLEDGE AND ABILITIES:
KNOWLEDGE OF:
High school course, curriculum, and graduation requirements.
Intermediate to Advanced Microsoft Word, Excel, and databases, e-mail clients, and Internet
browsers.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Pre-algebra level math and beginning college level English.
Recordkeeping techniques.
Modern office practices and procedures.
Positive customer service techniques and telephone etiquette.
Interpersonal skills using tact, patience and courtesy.
Data entry.

EDUCATION AND EXPERIENCE:
Equivalent to an Associates degree and one year closely related experience in a service
environment.

Primarily sedentary with intermittent standing, walking, bending or stooping; occasional light
lifting and carrying of objects weighing 25 pounds or less; ability to travel and/or drive to a

and communications personally, by phone and in writing with a variety of individuals and/or

WORKING CONDITIONS:
Primarily busy, indoor office environment subject to frequent constant public, student and
employee contact and interruptions by phone and in person; intermittent exposure to angry
and/or verbally aggressive individuals; exposure to constant background noise; may be
required to work during days, evenings, or weekends on an as-needed basis.
