CLASS TITLE: ATTENDANCE ACCOUNTING SPECIALIST
BASIC FUNCTION:
Under the direction of the Director of Admissions and Records, provide technical expertise,
reports and analysis to administration, management and outside agencies regarding District
apportionment and student statistics. Interpret and verify statistical and course data information
with various departments; provide technical instruction and advice to faculty and staff to assure
Title V and Ed Code compliance of attendance accounting and grading policies and procedures.
REPRESENTATIVE DUTIES:
1.
Develop, implement and monitor attendance accounting procedures to assure accurate
data for the college's apportionment funding and statistical reporting. (E)
2.
Compile information for state and federal attendance reports; prepare the State
Attendance Apportionment Report; complete surveys; provide student statistic,
apportionment and other reports as needed; maintain a variety of records and files. (E)
3.
Determine and modify data criteria and run controls required to support accurate
accounting apportionment, grading and statistical reporting.
4.
Assist the Director in a variety of support duties; keep the Director informed about State
and federal changes pertaining to admissions regulations and attendance accounting
procedures; assist in planning and coordinating data process support services for
enrollment and attendance tracking.
5.
Facilitate in-service meetings on attendance accounting procedures, apportionment
funding, rosters and web services; provide guidance, technical assistance and training to
faculty and staff regarding grading policies and procedures; establish timelines in order to
process and review accuracy of attendance practices. (E)
6.
Determine data requirements and request development of queries to collect information on
specific student demographics. Provide assistance to staff in running computer queries
and importing/exporting data via various computer software. Use queries for various
communications with students, faculty and staff including distribution of enrollment
materials, internal and external memos. Organize, write and prioritize various student and
faculty communications.
7.
Verify and post instructor grades; process student grades, and research and take
appropriate action in resolving various grading problems; coordinate semester class roster
distribution; modify run controls before printing or making available opening day, census,
updates, positive attendance and grade rosters. (E)
8.
Serve as a resource person to the Academic Information Services’ programmers
regarding correct data elements; initiate requests for programming changes; work with the
staff in Institutional Research to provide resource data as needed.

9.
Monitor the scheduling of all program courses to assure compliance with the academic
calendar; monitor, interpret and determine inaccuracies in instructor course master files;
initiate proper corrective procedures. (E)
10.
Train, plan, assign and review the performance of support personnel as assigned.
11.
Perform related duties as assigned.

KNOWLEDGE OF:

Student attendance accounting/reporting procedures at the community college level.
Applicable sections of State Education Code and other applicable laws.
Modern office practices, procedures and equipment.

EDUCATION AND EXPERIENCE:
Education and experience equivalent to graduation from high school, supplemented by college
course work, and three years of directly related, increasingly responsible accounting or statistical
record keeping experience.

WORK DIRECTION, LEAD AND SUPERVISORY RESPONSIBILITIES;
Not assigned permanent staff to supervise. Provides work direction to student workers and/or
temporary staff.
CONTACTS:
Administrators, department heads, coworkers, faculty, state and federal agencies, vendors,
District auditors, personnel at other community colleges, and media.
PHYSICAL EFFORT:
Primarily sedentary with intermittent standing, walking, bending and stooping. Occasional light
lifting and carrying of objects weighing 25 pounds or less. Ability to work at computer, including
repetitive use of computer keyboard, mouse or other control devices. Ability to travel to a variety
of locations on and off campus as needed to conduct District business.
EMOTIONAL EFFORT:
Ability to develop and maintain effective working relationships involving interactions and
communications in person, by phone and in writing with a variety of individuals and/or groups of
individuals from diverse backgrounds on a regular, on-going basis. Ability to concentrate on
detailed tasks for extended periods of time and/or intermittently while attending to other
responsibilities. Ability to work effectively under pressure on multiple tasks concurrently while
meeting established deadlines and changing priorities.
WORKING CONDITIONS:
Primarily works in an office environment. Subject to frequent interruptions by individuals in person
or by telephone. Intermittent exposure to individuals acting in a disagreeable fashion. May
work at any district location or authorized facility during day and/or evening hours. Occasional
local travel may be requested.
