


Sandy provided list of Incubators in Illinois as well as other information
It was decided that each member of the group will research one incubator from an area similar
to Brown County demographics
Sandy will develop a list of questions to ask and e-mail to each member


Decided to have a meeting with area contractors in March to discuss what info they would like
to have

We will verify all business will help sale tickets and have tickets to them by January 17 th
Tree Spade




The spade that Jason has is for big trees, not the size we are going after. Jason said he would operate the
machine if we wanted to move large trees.
He suggested we ask the owners of the machine if we could use theirs since we were buying trees from
them.
I bet they would rent it to us for a reasonable amount of money. If we rented it we would be covered if
something happened to the machine.
We will have Shirley ask if they would rent it and how much they would charge

that would be beneficial to people staying for food and auctions

Donations can: bracelets; bracelets for kids games
Tree we take with us, ongoing tree to honor/remember cancer victims
Order more t-shirts – pre-order?

Date has changed to Saturday, February 19, 2011 at the Country Inn & Suites in Quincy.
Save the Date cards went out to the public school staff in their checks at the end of
December. St. Mary staff will received theirs within the next day or two.
Kelly and Daina have reviewed the contract from Country Inn & Suites, have signed it
and put down the deposit for the event.
Daina, Chris and Mary are in charge of prizes. We would like to have the majority of the
prizes set up by the beginning of February.
Alan will be the MC for the evening.
Country Inn & Suites needs a definite number of guests by Feb. 11.
Special meal requests have been set up with Country Inn & Suites. They will be the
same dishes as last year.
The time of the event will be the same as last year. 5:30-10 or 11.
Cocktail hour will begin at 5:30 pm with a cash bar (beer and wine). Soda and water will
also be available during this time.
We will be able to set up the day before. Will need to ask the hotel for an extra table for
prizes due to last year being tight on space.
Decided on no coat check this year.
Discussion was had on if we want a program of some sort during the latter part of the
meal. The hotel does have a pull down screen in the room we could use. Ideas were
thrown out about having a slide show or video of interesting facts or funny stories on
about 20 of the staff members.

Erin will give St. Mary’s their Save the Date cards.
Sue will ask Jeff Kassing to be the DJ for the event.
Erin will send out the invitations by Jan. 18 with an RSVP date of Feb. 7.
Erin will take care of the table decorations.
Jean is checking with QND about the table displays for the prizes.
Jori will get tickets for prizes.
Erin & Daina will print out the prize descriptions for the table.
Kelly will print out name tags and a thank you for the staff to sign at the registration
table that will go out to all the contributors of the events.

Kickoff meeting is Jan. 24 at 5:30 pm at the Brown County Elementary School cafeteria.
The meeting should last about an hour.
Daycare will be provided in the multi-purpose room next to the cafeteria. They have 5
high school girls who will be supervising.
Notes about the meeting should have gone home with the students today or tomorrow.
They will have a couple of door prizes for attending; 2 - $10 gift certificates to the Book
Fair coming up in the spring, some gift certificates to The Station and possible a couple
of other local businesses.
The meeting’s agenda will be discussing general information and benefits of a PTO,
going over the goals of the PTO, gathering initial ideas and answering questions.
Week of Feb. 13th is the next book fair at the BCES.
Jan. 28 or 29 – 1st week of Feb. is SMS book fair. SMS could use more volunteers to
help with their book fair.
Action Steps –
− Jennifer will send out another reminder note to the parents in two weeks.
− Karla will help get the announcement about the meeting in the DM paper and will
help with sending out emails to those who have shown interest in the PTO.
− Get information to Jennifer if you hear of any other activities teachers need help with.
2011 Goals – Kelly:
− Part of our 2011 goal is extra-curricular activities support. Kelly emailed the middle and
high school extra-curricular sponsors asking if they needed help from our group. She
received 3 responses.
 Marcy Wort – volunteer help with ordering yearbooks.
 Marcy Wort – volunteer help gathering information and/or putting a handbook
together for 1st-2nd year sponsors explaining what their organization is about
and expectations of the organization.
 Marcy Wort – volunteer help organizing a “donate a yearbook” program.
Families could donate a yearbook to students who do not purchase a yearbook
due to financial reasons. This program would work with the Life Touch yearbook
company. BCES and BCMS yearbooks are separate. Managing who received
the yearbooks might be complex. Possibly at the Back to School Fair when
families apply for help with school supplies, they could sign up for the yearbook


program as well. Might help manage the need better. This is an activity we can
think about and pursue later in the year or next year.
Carolynn Benninghoff – financial help for an Environmental Science Class
project, community disposal of unused/expired medication. They would need a
secure deposit box, advertisement, etc.
Becca Kassing – volunteer help with Book Clubs. Reading books to the students
and creating a project to go along with the books as well as food donations.
About 10-12 students are involved in the Book Clubs now. There are two clubs;
5 &6 graders – Becca sponsors, 7 & 8 graders – Julie Kallenbach sponsors.
Hornet Ornament Fundraiser – Kelly:
− The fundraiser was a success. We made a profit of $795.
− We have 31 Hornet ornaments left and 23 Eagle ornaments left. They are at the
extension office.
Misc:
− Daina will take over the meetings next month.
