Policy and Procedures for New and
Revised Society/Division Awards
Background on Awards
 IIE administers a number of different types of awards:
o Institute-level awards for individuals (such as IIE Fellow, the Frank and Lillian Gilbreth
Award, and the Captains of Industry Award)
o Institute-level group awards (such as the IIE Transactions Best Paper Awards and
Chapter Awards)
o Society/Division-level Awards, including individual and group awards (such as the Lean
Best Practice Award, Best Paper Awards in tracks at the annual conference, Student Best
Paper Awards in tracks at the annual conference, and the SEMS Management Award).
 Further, Society/Division (S/D) Awards may have a financial sponsor obtained by S/D leaders
 The purpose of this document is to define the policy and procedures for proposing a new S/D
Award or for proposing major revisions to an existing S/D Award.
Policy for Submitting New and Revised Society/Division Awards
S/D Awards are distinct from Institute-level Awards and are typically not recognized at the Honors and
Awards banquet (which is reserved for Institute-level awards). These awards are governed by the S/D
leadership, but must also be in accordance with IIE policy and procedures.
Society and Division leaders must submit a proposal to IIE’s Technical Vice Presidents (TVPs) in two
scenarios:
1) New award being created. Stakeholders for a new S/D Award include: S/D leaders, S/D
members, Other S/Ds within IIE, TVPs, IIE staff (Bonnie Cameron), and the IIE Honors and
Awards Committee.
2) Major changes to a current award. Major changes are those in purpose/objectives,
sponsorship, and recognition items (see items 1, 5, and 6 below under Procedures). (Note:
Changes in application process, promotion process, or evaluation process (items 2-4 below) do
not need to be submitted to the TVPs, however, these changes must be approved by the S/D
leadership). A proposal for revising an existing S/D Award must still include all items described
in the Procedures below, and must clearly highlight what is being changed in the award.
Procedures for New or Revised Society/Division Award
An S/D which would like to propose or revise an existing S/D Award to be executed in the upcoming year
must submit a proposal to the TVPs by September 1. The TVPs will review the proposal which must be
approved by September 30 in order to be implemented in the next cycle. This timeline is defined such
that there is time for approval by the TVPs, prior to when the award must be promoted by IIE and the
S/D. This is also important as there may be a need for several iterations between the TVPs and the S/D.
Once a new/revised award is approved, the S/D will execute the award process, working with IIE as
needed to promote the award and to recognize award recipient(s). The sooner award applications are

received, the better. This will allow as much publicity as possible for the award and sponsor, if
applicable.
New/Revised S/D Award Proposal must include (see proposal template at end of this
document):
1. Purpose and Objectives: What is being recognized and what are the objectives of the award?
Types of current S/D awards include:
 Best practice/application (typically group/organization)
 Best paper in track sponsored by S/D (individual or group)
 Best student paper in track sponsored by S/D (individual or group)
 Individual achievement (individual)
2. Award Promotion Process: What communication mechanisms will be used to advertise and
promote the award and who will do what? Typical promotions include:
 Ads in IE magazine (Fall)
 Email broadcast promoting S/D awards only (Fall)
 Included in IIE monthly email (Fall)
 Posted to the Faculty Advisor and CIEADH listservs
Optional promotions (organized by S/D leaders):
 In S/D newsletters
 On the S/D web site
3. Application Process: What are the eligibility criteria, will applicants apply or be nominated, what
application/nomination form will be used, when will applications/nominations be due, and will
an application fee be used?
4. Evaluation Process: What are the criteria for selecting recipients (e.g., rating form/criteria,
checklist, etc.), when will recipient(s) be selected, who will be involved in decision making, how
many recipients will be selected (e.g., one recipient or 1st/2nd/3rd place, etc.), how will all
applicants be notified of outcome, and how will recipient(s) be notified?
5. Sponsorship: Is there financial sponsorship for the award? If yes, specify:
 Amount of sponsorship (Note: This must be determined, in conjunction with IIE, based on the
costs for the recognition items selected. Cost information must be requested from Bonnie
Cameron (bcameron@iienet.org) at IIE prior to proposal submission so that this information
can be included in the proposal).
 Whether sponsorship is permanent (ongoing) or only for current year
 Number of sponsors and names of sponsors (or process for soliciting sponsors each year if
sponsor is not permanent)
 Documentation from sponsor(s) (if applicable)
6. Recognition Process: What recognition items will be used to recognize recipient(s). Possible
items from current S/D Awards are shown below.

Plaque (ordered and obtained by IIE for consistency with other awards)
Registration for Annual Conference for recipient(s)
Travel allowance to Annual Conference for recipient(s). (Recipient must request
reimbursement after the conference and provide receipts following IIE’s standard process.)
Recipient(s) attendance at Honors & Awards Banquet and President’s Reception
One year membership in society for recipient(s) (for SEMS or SHS only)
One year membership in IIE for recipient(s)
It is important to note that IIE will automatically provide the following recognition for any S/D
Award recipient (i.e., no financial sponsorship is necessary):
 Recognition at Annual Conference on rolling screen displays
 Recognition before Tuesday morning keynote address
 Framed certificate for 1st place only provided by IIE (Bonnie Cameron)
 Unframed certificates for 2nd and 3rd place
 Listing in Honors and Awards program (1st place only)
Other possible recognition items used by S/Ds include:
 Recognition by S/D (e.g., at S/D Town Hall Meeting at annual conference, S/D web site, S/D
newsletter, S/D social media outlets, etc.)
 Presentation in S/D-sponsored track at conference (e.g., Lean Best Practice sessions, SEMS
student paper competition session, Engineering Economy Wellington Award lecture, etc.)
