ICC Proposal Checklist Use this Checklist to ensure that your Proposal is complete. (applicable / not applicable) Proposals will be accepted by the Student Activity’s Administrative Assistant or the Associated Student’s secretary. Once your proposal has been approved for discussion and/or action it will be put on the agenda for the next ICC Board meeting. Important Reminders: You will need to submit 2 copies of your proposal. A hard copy must be submitted to Yvette Zuniga or the AS Secretary and an electronic copy must be submitted to the ICC chair at ICCRepresentativeAS@butte.edu. For questions please contact Yvette Zuniga at 895.2985 or zunigayv@butte.edu Information and Criteria Each year, the AS General Reserve is augmented by a percentage of the Student Activity Fee funds. These funds are made available to individual students and student and campus organizations for the purpose of funding programs, projects, and events throughout the academic year. The ICC Executive Board administers the allocations of these funds through bi-monthly meetings. Criteria for Proposal Evaluation Budget: All items on the proposal budget must be documented with verifiable data. Participation: Number of students benefiting; number of non-students benefiting; degree the program meets unmet needs; degree of educationally related participation; is participation limited in anyway, and degree of value and satisfaction. Goals: The degree to which the proposal is compatible with the mission and goals of the AS and ICC. Are goals clearly defined? Was past performance measured? Are there criteria for self-evaluation, self-administration, organization, structure, and publicity? Other Funding: Diligence in seeking additional funding; degree to which the program is supported by the District and/or department, and evidence of fundraising. Guidelines for Funding Requests Eligibility: Proposals will be accepted from Butte college student clubs that are recognized by the college as student organizations. Events: Events will only be held on the Butte College Main Campus and Chico Center. Sustainability: We require that you recycle all material where possible. We also encourage the use of recycled/reusable products when possible. New proposals vs. annually funded events/programs: Priority will be given to new proposal requests, although annually funded programs with extraordinary needs may be considered. Performers/Speakers: Performers and speakers must complete a “Performance Agreement Contract” available through the Student Activities office (Quad 3, Room 101) or the department related to the event. Any single performance in excess of $500.00 needs to be approved in consultation with the ICC Advisor. For questions please contact Yvette Zuniga at 895.2985 or zunigayv@butte.edu Outstanding Invoices: Any individual or group with an outstanding invoice due to the AS or ICC is not eligible for funding until the debt is cleared. Evaluation: It is mandatory that the project director(s) submit an evaluation of the funded event/program before the final reimbursements will be made. Any proposal submitted by a group or individual that has not submitted and “Evaluation Form” from a prior event/program will not be considered. Reimbursements: Requests for reimbursements, already spent by the club, and not approved by the ICC are not allowed. Wages: ICC funding can not be used for the purpose of providing compensation in the form of wages or honoraria to a member of the college faculty, staff or students. Publicity: In the continuous campaign to increase student and campus community awareness of how student fees are being spent, all publicity materials for your project, including t-shirts, must acknowledge the ICC as a funding source. Deleted Items: Funding awarded for a particular item on your Budget that is later deleted from your event/program cannot be used for a new item that was not brought to the consideration of the ICC. Remaining Funds: Funding awarded that is not used for the specific items on your proposal must be returned to the ICC Board. Funded proposals, open to the public, must be handicap accessible. Presentation of Proposal to the ICC Board The primary presenter of your proposal should be the designated ICC Representative from your club or a Butte College student. Butte College AS Board members are not allowed to present proposals per AS Constitution Article 3, Section 2, Clause 3.
