HOW TO APPLY ASPCC SYLVANIA STUDENT LEADERSHIP POSITIONS 1 Read the following requirements: In order to work at ASPCC, applicant must: Have a minimum term and cumulative GPA of 2.5 and be in good standing as defined by the PCC Satisfactory Academic Progress Policy, as well as the PCC Students Rights and Responsibilities. http://www.pcc.edu/about/policy/student-rights/ Be enrolled for 6 or more credits at PCC (with at least 4 credits the Sylvania campus per term). Attend all mandatory staff trainings listed on this packet. All ASPCC Student Employees are required to attend weekly General Council Meetings, which are held every Monday from 3:00pm – 4:30pm (except for the first week and finals week of the term) starting in Fall term, 2016. o Please note that some positions will be required to attend the ASPCC SY Programs Board meetings as well, which happen every Wednesday from 3:00pm – 5:00pm (except for the first week of the term) starting in Fall term, 2016. Complete and turn in completed application packet; which includes a letter of intent, current resume, answers to supplemental questions and the application form. Two letters of recommendation are also required to complete an application packet. These can be submitted with other materials or can be sent directly to either Stephen Arthur (stephen.arthur@pcc.edu) or Colleen Pittinger (cpitting@pcc.edu) via the recommenders MyPCC email account. Mandatory Staff Training Dates Dates are subject to change with notice given as soon as possible. Times and lengths of trainings are generally from 9am – 5pm, but may vary. All mandatory training is paid at the student help rate. Mandatory trainings for the 2016–2017 school year are as follows: June 10, June 16, Aug 9, Aug 24–26, Aug 29 – Sept 1*, Sep 6–9, Sept 12 – 15, Sep 21, Oct 26, Dec 16, March 24, April 25, and June 16 (*Aug 30 – Sept 1 training will be held overnight at Silver Falls Retreat Center). o o Additional mandatory trainings for ASPCC Sylvania Executive Council (Student Body President, Legislative Director. Programs Director, Administrative Director) are as follows: One week training during Summer term (dates TBD) and a Winter retreat (dates TBD) The Student Body President, Legislative Director and Programs Director are also members of the District Student Council and required to attend all of their meetings, which are generally held from 9:00am – 12:00pm on the first Friday of each Month from October, 2015 – June 2016. Non-Mandatory Staff Training Opportunities Dates are released on individual applications. Non-mandatory leadership training opportunities (conferences, workshops) will be announced. Non-mandatory training is not paid, though some of the costs associated with the training may be covered. ASPCC Sylvania plans, advertises and coordinates cultural, educational, social and recreational opportunities for students on campus as well as represents the student voice on campus and college committees. All ASPCC employees help execute large ASPCC events and services, such as the student Book Exchange and distributing the bi-weekly Potty Press newsletter, as well as duties around the office, i.e. kitchen cleaning duties. All ASPCC staff must become familiar with office procedures and be willing to help students and staff with faxes, forms, copying, and general information. All students hired attend the weekly General Council meeting and all mandatory leadership training programs and events. Applicants should state the position(s) they are applying for, experiences that have prepared them for those positions and what they would like to achieve by participating in the ASPCC Sylvania Leadership Program. Associated Students of Portland Community College Sylvania |2016 – 2017 Application 2 Letters of Recommendation Each applicant is required to provide 2 letters of recommendation written on their behalf by a PCC Administrator, Staff or Faculty Member. Applicants who have never attended PCC may have references from high school or college faculty or staff from another college, previous employers, or personal references (not family or friends). Resume Applicants are required to submit an updated resume that may include current contact information, previous and current employment history, volunteer commitments, interests and other information that the applicant deems to be applicable. Supplemental Questions Applicants are required to answer supplemental questions as part of the application process. The answers to these questions should be typed in a legible font and not exceed one page per question, for a total of 3 pages maximum. F.E.R.P.A. Release Form The Federal Education Right to Privacy Act (FERPA) was enacted to protect students’ personal and academic information. In order to be considered for a position, ASPCC needs to be able to verify an applicant’s personal contact information and academic records. Therefore applicants will need to sign a FERPA release for ASPCC to access the following information. Applicants must be (or plan to be) enrolled in at least 6 credits at the PCC Sylvania campus for Fall, Winter and Spring terms in the 2015-2016. Applicants must also have a 2.5 GPA to be considered for a position, and maintain a 2.0 GPA to retain that position. Work Sample Submission (Graphic Designers only) Applicants for the Graphic Designer positions must submit example(s) of their work using Adobe InDesign, Illustrator, Photoshop. This may done in a single or multiple pieces and should include an accompanying document describing which programs were used and in what manner. Submissions can be either print or submitted electronically. 4 Application Timeline: This is an open enrollment process. The ASPCC Sylvania Executive Council decides when to open a new hiring pool and will promote available positions across campus with an application deadline at least two weeks after first posting positions. Once this deadline has passed, applications can still be submitted. However it is up to the discretion of the ASPCC Sylvania Hiring Committee whether or not to grant interviews to applicants who submitted applications after the deadline. Interview preference will always be given to applicants who turn in completed application materials prior to the application deadline. After scheduled interviews are completed the hiring pool is officially closed. All applications received after this time will be held until the ASPCC Sylvania Executive Council decides to open another hiring pool. At which time all applicants will be contacted to affirm their interest and to schedule an interview. To ensure full consideration for the Spring hiring pool for the 2016–2017 academic year, completed application packets must be submitted by April 29th, 4:00pm in CC101. The sooner the application is turned in, the more likely the applicant will receive the interview date and time of their preference. Applications received after the deadline may be considered if the hiring pool is still open. After applications are screened, applicant may be invited to a 2-hour interview on the week of May 4 th and/or May 11th. If you cannot attend one of the interview times, you will not be considered for employment. Interview dates will be assigned upon verification of an applicant’s completed application. New staff member paperwork is due to CC 101, before the student can work at ASPCC. Associated Students of Portland Community College Sylvania |2016 – 2017 Application 3 5 About the Selection Process: The selection committee will be comprised of Student Directors and other ASPCC team members not applying for a position, ASPCC Sylvania Director of Student Life and Leadership, and (optionally) other PCC Faculty or Staff as approved by ASPCC Executive Council. This student committee is trained on PCC’s Affirmative Action Policy and equal opportunity hiring practices. ASPCC Sylvania advisors screen applications prior to interviews, checking confidential information such as grades and any disciplinary action at PCC. Applicants who pass the initial screening will have their application and supplemental materials reviewed by the selection committee. Candidates that pass the initial screening will be contacted (via phone or MyPCC email address) to confirm their participation in a 2-hour group interview held at the PCC Sylvania campus. An average group interview is 8-10 people. Group interviews are composed of two parts. In the first part, applicants will be asked a series of questions (provided 15 minutes before the start of the interview). For the second part of the interview, candidates will be placed into groups of 4-5 to complete a group activity. At the end of the interview, applicants are notified about the next steps in the hiring process and offered an opportunity to ask the committee any questions about the selection process. After all interviews are completed, the selection committee reviews all application materials and interview performance when considering applicants for positions. Please note that applicants are not allowed to contact members of the hiring committee, with the exception of the Student Leadership Coordinator, with questions regarding the interview, their performance or whether or not they are being considered for a position. In the case of ASPCC Sylvania Executive Council positions, the selection committee may request that applicants attend a second interview. The selection committee reserves the right to offer positions to applicants that they did not originally apply for. The Selection Committee Chair, and an ASPCC Sylvania Director of Student Life and Leadership, will notify the candidates of the selection committee’s decision.
