Naming Conventions for Syllabi and CVs

Introduction

In support of the institution’s SACS reaffirmation effort a significant amount of documentation will be collected and incorporated into an organized, web-based facility called Xitracs. The documentation will consist of various computer files. To facilitate efficient use of this material, the files should adhere to the format and naming conventions outlined in this standard.

File Naming Conventions

* Course Syllabi

Files containing course syllabi should be submitted in Rich Text Format (RTF) using one file for each course section. File names should adhere to the file naming convention below.

File name = SYL_AAAA_NNNN_SSS_TTTT_PSid.rtf

Where:

SYL is the literal string “SYL” used to identify this file as a course syllabus file.

AAAA is the four character alphabetic discipline code for the course in all caps

(for example ACCT for Accounting)

NNNN is the four digit numeric course number

SSS is the 3 digit numeric section number

TTTT is the 4 digit numeric term code according to the Course Schedule

“PSid#” is the PSID # of the instructor as shown on payroll records

Example:

The file containing the syllabus for Accounting 4332 section number 501 taught during the Summer

2016 by the instructor having a PSID of “6009999999” would have a file name of

SYL_ACCT_4332_501_2165_6009999999.rtf

* Curriculum Vitae

Files containing Curriculum Vitae for faculty should be submitted in RTF format using one file per faculty member and adhering to the file naming convention below:

VIT_SCH_LNAME_PSid#.rtf

Where

VIT is the literal string “VIT” identifying the file as a curriculum vitae

SCH is a 3 character alphabetic identifier designating the home college for the faculty member

BUS –College of Business and Engineering

CAS – College of Arts & Sciences and UNIV

EDU- College of Education

NUR – College of Nursing

LNAME is the faculty member’s last name in all caps

PSid# is the faculty member’s PSid# as shown on payroll records

Example:

The CV file for Dr. John Doe from the College of Business and Engineering with PSID#

600XXXXXXX would be

VIT_BUS_DOE_600XXXXXXX.rtf
