Lecturer Rank Faculty Workload Instructions:
1. Save a copy of the document to your computer. If prompted, enable content and indicate that this is a trusted
document. (You may or may not receive this prompt)
2. Name: Please enter the full legal name.
3. Date: Please enter the date in the following format: 7/1/2016
4. Department: Click the grey Department box. An arrow will appear to the right of the box to give you a dropdown menu of departments. Click on the arrow and scroll to select the department. If you do not see the
department on this list, please contact Finance and Business.
5. Time Period: Previously you may have completed this form on a term or annual year basis. We are moving to a
full annual year workload document so that we can generate consistent and comparable workload reports. This
form is for FY2017. For nine-month faculty this would refer to Fall 2016 and Spring 2017. For ten or twelvemonth faculty this would refer to Summer 2016, Fall 2016 and Spring 2017.
6. Academic Rank: Please enter the academic rank such as Professor, Associate Professor, Assistant Professor,
Senior Lecturer, Lecturer, Instructor or Clinical Assistant

7. Workload Units: click on the grey Workload units box. An arrow will appear to the right of the box to give you a
drop-down menu of available workload units. Click on the arrow to get a drop down menu of workload units. If
this is for a nine-month faculty, select 30 workload units. If this is for a ten-month faculty, select 32.5 workload
units. If this is for a twelve-month faculty select 37.5 units.
As noted previously, a full year workload document is preferred. If you need to complete a one-semester
workload document, however, you can type “15” into the grey workload units box. If you do this, however, you
will receive a message that says:
You must select “Yes.” If you select “No” or “Cancel,” the form will take you back to the workload units box to
enter a new number.
Additionally, you will not be able to enter a number other than “15,” “30,” “32.5,” or “37.5.” If you were to
enter “25,” for example, you will receive the same warning message as above. If you select “No” or “Cancel,”
the form will take you back to the workload units box to enter a new number. If you select “Yes,” the percentage
of time assigned to each role will say “Error.”

8. Summer, Fall and Spring Percentages
A recent update to the form is the inclusion of the Summer, Fall and Spring Percentage box.
This box calculates automatically and allows for an easier breakdown of the faculty workload by semester. The
calculations will be based on the Workload Units you select above.
If the form is for a nine-month faculty, you should have selected 30 workload units. Then, the form will calculate
the workload units for Fall and Spring only (15 WLU for Fall and 15 WLU for Spring). Please do not fill out any
summer information for a nine month faculty.
If the form is for a ten-month faculty, you should have selected 32.5 workload units. Then, the form will
calculate the workload units for Summer, Fall and Spring (2.5 WLU for Summer, 15 WLU for Fall and 15 WLU for
Spring).
If the form is for a twelve-month faculty, you should have selected 37.5 workload units. Then, the form with
calculate the workload units for Summer, Fall and Spring (7.5 WLU for Summer, 15 WLU for Fall and 15 WLU for
Spring).
9. Teaching:
This section has been expanded to accommodate up to twenty sections per year.
a. Semester: click the grey box in Semester line 1. This will cause an arrow to appear. Click the arrow to
select from a drop-down menu of available terms. 2016SU refers to summer 2016, 2016FA refers to fall
2016, 2017SP refers to spring 2017.
b. Course Prefix: please type the prefix associated with the course that is being taught.
c. Course Number: please type the course number of the course that is being taught.
d. Course Name or Other Teaching Assignment: please type in the course name
e. Section: please type in the course section (example: S01)
f.
Credit Hours: Please enter the number of credit hours earned by a student completing the course.
g. Count on Census Day: If census day is past for the semester you are referring to, please enter the
student count of the course on census day.
h. Units: Please enter the number of workload units being allocated to that course section for this
particular faculty. The units will automatically subtotal at the bottom of this section and be converted
into % teaching in the blue box above.

10. Advising: Enter the average number of undergraduate students that are being advised each semester in the
“Avg. Students” boxes. Only include summer advising if the form is for a ten or twelve-month faculty and they
are advising in the summer.
Fall and Spring WLU will automatically calculate based on 30 undergraduate students equaling 1 workload unit,
10 Academic Advising (Plan C, Highly Structured) students equaling 1 workload unit and 5 Academic Advising
(Plan A, Plan B, PhD) students equaling 1 workload. If you wish to assign a different amount of workload,
however, you can simply type the number you want to assign into the box.
11. General Service Activity: Please describe units that will be associated with general service activity in the large
grey description box. Type the number of units being allocated to general service activity in the grey summer,
fall and spring boxes below the description. Only include summer general service units if the form is for a ten
or twelve-month faculty and they are completing general service during the summer.
12. Credit for Previous or Future Over-Assignment: Please enter any credit for previous or future over-assignment
in the large grey description box. Indicate the semester for which the previous or future over-assignment
occurred in the “Indicate Semesters” box and enter the total workload units associated with the previous or
future over-assignment in the summer, fall and spring boxes below the description.

13. Current Over-Assignment: Please indicate the method of compensation (Release time or payment) and the
associated workload units with the over-assignment.
14. Faculty Workload Unit Total: This area will summarize the total workload units for each term. Please remember,
there should only be units in the summer section if this is for a ten or twelve month faculty. If this form is being
completed for a nine-month faculty, the Summer section should be blank.
15. Optional/Additional Activities: Please describe any additional or optional activities completed that are related
to this workload document.
16. Explain any specifics unique to the assignment: please describe any specifics that are unique to this assignment.
17. Signatures and Dates: To officially complete the workload document, both the faculty and the department head
should sign and date the document.
18. Send an electronic, excel copy (preferable an .xlsm document) to Finance & Business.
***The electronic excel copy of the document that is turned in to Finance & Business does not need to be signed but
the data does need to exactly match the final, signed copy. If changes to this document occur, please send a revised
