Roll Call Absent: Senators Graham, Nunnally, Davis, and Mathew Late: Senator L’Ecuyer Approval of Minutes Motion: Senator Roos moves to approve last week’s minutes and the week’s before (10-15-15) minutes as well. Call to the Audience: Chair Dietlin: For all of the clubs and organizations here today how this works is when I call your name you come up to the podium and if you are here for club recognition state the nature of your organization, how many members are interest and what you plan to do in the future. If you are here for funding come up and state who you are, why you are asking for funding, what the funding will cover and how this will impact the college and the students here. Unfinished Business Chair Dietlin: So we have two unfinished business items to add to the agenda, which included the SB for the Feral Cat Alliance and PRISM. Can I get a senator to motion to add them? Motion: Senator Moore-Sharp moves to add the SB for Feral Cat Alliance and Prism to the senate agenda. We trap them and we take them to the vet; if they are kitties we will find families and if they are older we will put them back in their spot with food and water which is put out weekly. If we don’t do this there will be too many, they will get over populated and they will be killed. The funding is for the booth we made; the officers of the club spent around $100 to make it and the supplies came out of their own pocket. Senator Sowerwine: What supplies did you buy? Presenter: Wood, paint, and things like that. We were told we couldn’t buy camera so we used our own camera. Senator Roos: Was the event to make money for your club? Presenter: Yes, but it wasn’t very successful since we only raised $45. Senator Roos: Can we fund it if it is for money for the club? Chair Dietlin: Since they are raising the money and it goes to the spaying of the cats it is allowed. Most times when they come to fund their own club it will not be approved. Senator Carr: So they are already a club? Chair Dietlin: Yes. Item B- SB 28-16: PRISM Motion: Senator Roos moves to untable and vote on Item B- SB 28-16:PRISM Second: Senator Beghtol Discussion: Cassandra: So like we said last time, this is for the reimbursement from last years drag show and this year’s one. It covers the rental of the Orpheum and this is our only funding we get through the year. I know you guys tabled it last time because there is a bylaw that says you can’t fund the event since there is alcohol but we don’t supply it and we don’t make any money off of it. I talked to the manager of the Orpheum and he sent Amanda an email says that we don’t profit off of the sales of the alcohol. Chair Dietlin: Yes he did, I will read it. I am writing in regards to the PRISM Drag Show events here at The Orpheum Theater. It has been brought to my attention that there is a discrepancy weather or not PRISM profits on alcohol sales from these events. I can assure you neither the club or any of it's member have ever had anything to do with sales or profit from our bar. All bar sales & tips are retained by The Orpheum Theater. Senator Carr: Is the budget in the documents? Chair Dietlin: I also forwarded you all. Kristine: I don’t think it matters if you get any money I think it is just if alcohol is served. Chair Dietlin: Parker can you clarify? Parker: Article 10 Section 6 of the by-laws says: ASNAU will not fund clubs and organizations for the following: Any part of any event at which alcoholic beverages will be served. Senator Moore-Sharp: I think it raises a big question if it is the event or the venue that has the alcohol. Parker: It states any part of any event. Senator Sowerwine: Even if we wanted to then, we can’t? Senator Carr: Even though they aren’t supplying for an event, there will be people that are there under the influence. It doesn’t matter if they are benefiting. Senator Anderson: Can we suspend by-laws in this case? Chair Dietlin: If we feel that we need to, we can. Cassandra: I mean if you guys had a better suggestion for where we can host the event, I am all ears. We have to do it off campus for the number of people we have that attend. At the Orpheum we can’t tell them that they can’t do, so if they want to serve alcohol, they can. Ali had said she doesn’t understand why we can’t find since there are other events on campus that can serve beer. Cindy: There is a conditional thing that we can get for the school that says we can have and serve alcohol. Also he you looked into like Prochnow to host your event? Cassandra: We have looked at Prochnow, but since dancing is a big part of the show we need room and that building doesn’t have it. Senator Rosic: We should motion to suspend by-laws since this venue is most suitable for this event but we are going to shut down for profit. Allison: I was the social event for one of my other clubs and we held an event at the Orpheum. You can ask the to not open their bar but it is more expensive if you go that route. Senator Carr: So I know you asked for funding from the previous one and upcoming one; is there a way to fund the last one since they didn’t know of the rule and to have the bar shut for the new one? Cassandra: That’s great and all but our contract was signed in July. So even if we could get the contract changed it would cost us a lot more money and like I said this is the only funding we have. Senator Moore-Sharp: Well you see, not to be rude but that is not our fault. I just worry about precedence that we would be setting if we suspended the by-laws. If you examine the by-laws there is no room for interpretation and what’s to say that if we do this for you that other clubs won’t will come in and ask if we can suspend the by-laws for them to. Senator Ridge: In the event that we funded the event, what would happen if ABOR found out? Like what are the repercussions? Lauren: There is a chance that they won’t let us cut a check. Senator Ridge: We wouldn’t be in trouble but they just wouldn’t be funded? Chair Dietlin: There is always a chance that we will have a higher degree of punishment too. Kristine: We also have to think that what if someone was overly under the influence and there was a problem. We could possibly be liable. Senator Moore-Sharp: It is not just the matter if we are liable or not, but we made these rules and we should follow them. Senator Carr: I just want to say that if we don’t fund your bill it it is not against the organization or the event. I personally don’t agree with suspending the bylaw even if we can, it is not the right occasion. Chair Dietlin: After looking over our by-laws it states nowhere about suspending the by-laws; so we will follow Roberts rule. It says that if suspending the by-laws are not included the by-laws they can not be suspended. Motion: Senator Carr moves to vote on Item B- SB 28-16: PRISM. Second: Senator Sowerwine Senator Moore-Sharp: Is this motion in favor of the bill to pass or not pass? Chair Dietlin: It’s like everything else to vote on it. New Action Business Item A- Club Recognition: Filipino American Student Association sa Northern Arizona University Motion: Senator Roos moves to vote on Item A- Club Recognition: Filipino American Student Association sa Northern Arizona Second: Senator Beghtol Discussion: I am Danielle and this is Austin. We want to start the Filipino American Student Association here at NAU. A lot of other colleges have this club and we start it because we have met a lot of student who could benefit from it so far. I grew up in a place we my heritage was valued and if we had this club it would give a chance for others who don’t have this type of experience to learn about the culture. Its heart breaking that you don’t get to know your roots and this club will let them know about it and learn the language. All students are welcome and we want to share this amazing culture and it is not just for culture but for finding themselves. Senator Moore-Sharp: How many members do have or are interested? Presenter: When we submitted the form we had 6, but now we have had 15 students willing to commit. Item B- Club Recognition: NAU Optical Society of American Student Chapter Motion: Senator Anderson moves to vote on Item B- Club Recognition: NAU Optical Society of American Student Chapter Second: Senator Copeland Discussion: Hi, I am Olivia. We wanted to start this club at NAU because we want to cultivate more interest in optics and physics. All our current members are in the physics department. Our main goal is to reach out to more students and we also want to do more science programs to make more students interested in science. We want to also further our knowledge by have professionals come in and present. Senator Moore-Sharp: Optics, like in glasses? Presenter: Yes, the study of eyesight. It is a big field in physics. Senator Moore-Sharp: Do you think you guys would be able to help students find eye care and teach them more about their glasses/eyesight? Presenter: That is beyond the scope of our knowledge. Vote: Unanimous, Item B- Club Recognition: NAU Optical Society of American Student Chapter has been approved. Item C- Club Recognition: Northern Arizona University English Riding Club Motion: Senator Sowerwine moves to vote on Item C- Club Recognition: Northern Arizona University English Rising Club Second: Senator Beghtol Discussion: Hi I am Sydney and we would like to start the English Riding Club to allow all students at NAU to learn to ride or continue to ride. It will help students not worry about keeping their own horse off campus. Our club would be for competition mainly, but we welcome all students of all abilities. This the only university that doesn’t have this club and having this club could have impact on people’s decisions to come here. Senator Roos: Have you secured a location to where you will be riding? Presenter: Yes, we have two in Flagstaff and one in Prescott. Vote: Unanimous, Item C- Club Recognition: Northern Arizona University English Rising Club has been approved Item D- Club Recognition: The Society of Collegiate Achievement Motion: Senator Anderson moves to vote on Item D- Club Recognition: The Society of Collegiate Achievement Second: Senator Roos Discussion: Hi, we are here today to represent this is an honor society that empowers members to become leaders of tomorrow. The society has an online program with mentors that help with group facilitation focusing on leadership skills. Is our three key pillars: scholarship, leadership and service that set us a part from other societies. It helps the students get the confidence they need to succeed in life. It is different we use 70, 40, 10, experience interaction and reading on platform to help engage our members. We are hoping to get people with 3.0 GPA and above. Senator Roos: Is this a national society? Presenter: Yes, it’s on over 100 campuses across the nation. Senator Moore-Sharp: How did you get involved and how many members do you have that are interested? Presenter: We have 7 people a of right now and we have a lot that are interested too. We are hoping to get more people. Also how we got involved was that I received an email talking about the club and that it is a great opportunity so I joined and informed my friends about it. We have an opportunity to compete across the US; our members are interested in competing in California and Tennessee. We are the only active club in the state and it is a big opportunity to have more members come attend NAU. We have already heard of three people that came to NAU because this is the only college with this organization. Our funding doesn’t include 12 hours drive ahead of us and we have done a lot of fundraising, but we are coming here to get a little more help. Vote: Unanimous, Item E- SB 28-20: NAU Bass Club has passed Item F- SB 28-21: Public Relations Student Society of America Motion: Senator Roos moves to vote on Item F- SB 28-21: Public Relations Student Society of America Second: Senator Sowerwine Discussion: To preface, the office of the president has goals for our students and our request follows and fulfills the goal. We know there are many amazing professors within our college, but we want more outside resources. So our chapter of Public Relations Student Society of America was founded in 1969 making it the second oldest at this school. We are asking funding for our conference in Atlanta, Georgia. All of our members will be staying in the same hotel and there will be sessions on types of PR that is not taught in depth here at NAU. Our club will benefit from the arrangement of educational information we will be receiving. We know that at ASNAU diversity has been a big part lately and our chapter is mostly comprised of mostly white females and we hope to have more diverse members in the future. No members have ever attended the conference and the success of the students at this campus is a goal of the president. We will be showing the world that this university has a successful program by the seven people that are going. What we want to bring back is doing PR for residence halls and other groups on campus. I had a chance to travel to Italy and I have private piano lessons in New York. This was a very unique thing that only certain music majors get to do and since we are not afforded the opportunity to study aboard. It was feel nice to get to study some of the most famous performers in the places where music was practically born. I performed and reached out to friends, but get no outside funding and this would be an amazing, if granted the funding, to have the opportunity to travel again. Senator Moore-Sharp: How long have you been practicing? Presenter: 10 years, basically. Senator Roos: Was it a program? Like at NAU that you went with? Presenter: No, I went by myself, the only person from NAU to attend. The event had people from all over the world. So it was an individual travel but international program. We were fortunate to attend a national conference in New York. It was a great way to connect with all those individuals with the same beliefs and getting to learn the history of New York. We stayed in a community member’s household in which we were all invited back next year to stay. Thirteen students went this year and it was a great way for them to get involved in NAU and Chabad. Also the students that went had to fundraise money before the trip and they are all looking forward to going back next year. Vote: Abstained: Senator Carr, majority rule motion has passed. We are going to a conference this year. This only conference occurs every 3 years and is considered international conference. It will be really nice for our chapter to go and represent it self. We are the only ones in the nation with undergraduate students that are part of the organization. It will be nice to go see what these other chapters are like. 95% of our class wants to go into fire fighting and there are few that want to be specialize in fire and forest monitoring. Hello, ASNAU Senate, We would like to request reimbursement for plane fare, registration fees, and gas expenses for the American Anthropological Association Conference this November. The event will be held in Denver Colorado. We already have procured lodging and access to car to travel to and from the conference center. The AAAs is an amazing opportunity for undergraduates studying anthropology to attend seminars, presentations, and to network with possible graduate school professors. The conference will give us insight into how we would like to pursue our anthropological careers and the various options we may have. In addition, we will experience the level of formality associated with such an event and represent the Northern Arizona University department of Anthropology proudly. From students who previously attended, the attendees are always impressed with the level of dedication from undergraduate students. Thank you very much for considering our proposition. HAPA: Hi, I was invited to speak here today on behalf of HAPA Hawaiian club. A few weeks ago there was a march from south to north campus for indigenous people day, which is in other states taking over Columbus Day. This bill is to change celebrating Columbus Day, which is about the raping and pillaging of this country to celebrating diverse cultures. I think this bill is super important. My people were illegal annexed to the United States. It was colonization that over throw our king and queen and ended the Hawaiian anarchy. I think that, I don’t speak for everyone; I think Indigenous People Day is better than Columbus Day because that is when my people were killed and overthrown. I know we can’t rewrite the past, but I don’t want to celebrate day that is just about hurt for everyone. It won’t rewrite the past but celebrate people who are trying to make their culture survive. Executive Reports a. President- Alexandria Buchta - Chair Dietlin: Since Ali and Vanessa in California for a model UN conference I believe they will be sending you all an email with their reports. b. Vice President of Student Affairs- Allison Kelley - So we have our second to last tailgate this weekend and it included three different shifts because one group will pass out jack pack t-shirts. If you are not going to be there you have to request them beforehand so email or text me. Double check the times that you signed up for and that you are available for it. If you can’t make on of the last two you can work two shifts in one game. Also if you don’t work the three required tailgates, you are going to work one of the non-mandatory events like putting up the Its On Us flags. Get excited because NAU athletics is doing bobble head figures for Louie. I have heard from our schools that these are very valuable after a while and that we all get one! Our kiss our axe shirt designs are going out in a few weeks. Reminder we have mandatory safe zone training November 10th @ 7pm in ASNAU office. Diversity director position applications are out and are due November 10th as well. We are hoping to have someone hired before the end of the semester. C. Vice President of Academic Affairs- Amanda Dietlin - So as Allison mentioned the flags, we need people to volunteer to put up the flags in front the Starbucks. The issue is that I am out of town, Allison has initiation, Ali, Vanessa, and John are out of town and Lauren is also busy. We need people to put out the flags on Sunday. So do I have any volunteers? One of your office hours could be counted as it. Senator Rosic: What time? Chair Dietlin: Any time we need people to sign up. Carr, Ridge, Roos, Rosic Parker, and Kyra. Perfect. Lauren: Once you all figure out a time that works let me know. The information desks can let you into the office. Chair Dietlin: We will have the flags out and ready to go. Vanessa is at the model UN conference to compete for NAU this weekend and they won’t be here till Monday. I still need senators to be apart of committees for university curricular committee, they meet about once a month and if you don’t volunteer I was assign people. Senator Roos. Also Alcohol and other drugs committee is from 9-10:30 on Thursdays. Senator Roos, again. RHA also wants someone from leg. Is anyone available? Senator Ridge. I need more information, but the tobacco free task force by weekly; I will contact them first before I tell you though. I had my meeting with the provost today, it was really interesting to meet and him and speak with him. All the deans of the colleges report to him. He came up with having a pizza event and he is really interested in meeting with you. He is interested in the student body as a whole. I talked to him about the diversity position; he talked about how he went to the ethnics’ studies open house and said that some of students felt marginalized and the only reason they came here is because they can feel proud of who they are. He is mindful of all student issues. He is looking at the advising departments because there is a lack of information on their part for the programs that you are studying. I had a terrible advising experience. He wants to know how we can change that and wants to know if you have any suggestions. When we have pizza he wants to know why you chose NAU. He is concerned about intellectual diversity. He is also concerned that a lot of ABOR that the university is bias and leans more towards a conservative side. Senator Moore-Sharp: It is a very serious problem, the curriculum is very very left bias and it is kind of why the students that lean right don’t talk. People don’t say anything because they don’t feel comfortable. Senator Rosic: Does he feel ABOR is not supportive about the bias? Chair Dietlin: He is aware. I have never had that experience but I know that there are departments there is a concern for. 40% of student body don’t identify as white students and that they have different views. There is an issue, but fixing the issues comes from having a more inclusive environment. Senator Sowerwine: Can we go back to advising? Maybe having specific advising even freshman year for people who have declared majors would be good. So you start right off the bat. Chair Dietlin: So sending freshman that have majors to their area. Senator Rosic: I agree, but I think gateway is important. Freshman will be a bio major one day and the next day they will be social work. Gateway is important. Reed: If they could be aware of what classes are offered each semester that would be great. Senator Rosic: Are they still only 20 minutes long? Chair Dietlin: I don’t know D. Vice President of Government Affairs – Vanessa Pomeroy - Not Present e. Chief of Staff- Lauren Stebbins - The Carnival went great! Lots of complements on the games since people don’t always like spinning rides. I am starting to work on the concert now. I think the pizza with the provost idea is great. So that is really it but except PR will be submitting kiss my axe shirt design. Staff Reports a. Student State Affairs- Heaven Pollock, John Bower -Lauren: I know that they both aren’t here and neither is Vanessa but there will be a lot of tabling for Its On Us week and they will probably need help. There are multiple events like the movie and book reading of College Girl and it is important that we support Vanessa, John and Heaven and represent ASNAU well. b. Public Relations- Reed Emerson, Connor Wandersee, Korrin Snow - Reed: So we are editing the It’s On Us Ads. There are some clips on the video that we don’t really like so we are re-doing those. c. Special Events- Amy Edgerton, Taylor Wesner -I just want to say thank you for helping with the carnival and we are changing gears to the concert now so more news will follow. d. NSG- Tori O’Reilly, Joseph Anderson, Jordan Igo, Danielle Lecaro - Dani, Jordan, and Tori: We took part in the homecoming parade, we built the float in pretty much a day. We had little candies with our name on them that we handed out. We are working a mugs with candy for everyone’s birthday and we are going to have cookies and candy for them during meeting. PR is working on our first event Coca, Cookies, and Constellations. We are asking people to come stargaze with us and we are going to be doing tabling and are excited. Our service committee has volunteered us to do the haunted house. Senator Moore-Sharp: Who designed that poster? Jordan: Joe and we are recommending that he designs and submits a Kiss My Axe design. Committee Reports A. Appropriations: Senator L’Ecuyer - Bunch of people at appropriations. We just ask that if you could focus on proof reading your bills before they come to us that would be great. Chair Dietlin: If you could go to the original template every time that would be best since people keep forgetting to include whereas into their reports if they edited it the week before. Lauren: Once they are sent to Amanda she can’t make changes. If you want to send me the bill before hand, I will read it and send out my recommendations of things you can change. Senator L’Ecuyer: Also if you can get names and amounts correct. Chair Dietlin: Guys its really embarrassing because we have to vote to change something in front of everyone. Also I forget to include in my report the update on money left in the budget. Excluding the appropriations, we have allocated $20,009.82, ending our balance in $199,990.18. If we send you budgets, don’t throw them away shred them. B. Legislative: Senator Carr - Senator Moore-Sharp: We had a simmer down from the diversity debate. I guess the only other thing would be what Gabby and Stefan is working on. Stefan would you like to explain? Senator Rosic: I will talk about in on my report. Senator Reports College of Arts and Letters a. Abbey Matthew- No Report b. Stefan Rosic- Gaby and I sent everyone an email with the indigenous people resolution. We attached what is going to be on there and included links about it and examples of what other college have done. UofA celebrates the event, if you could signatory before leg that would be great. Senator L’Ecuyer: What is a signatory? Senator Rosic: It implies that you support the resolution and that you would defend it. Being a signatory says that you are knowledgeable about it. There is a lot of information about it and why it is necessary, plus lots of new literature on the topic. Senator L’Ecuyer: So are we asking just to recognize it? Senator Rosic: To ask student life and Flagstaff to recognize it. I have been working on the gender natural bathrooms and we are hoping to get the bill out before the transgender awareness week. Inclusion is putting on my culture is not a costume and everyone will learn the importance of not wearing cultural insensitive costumes this Halloween. College of Social and Behavioral Sciences a. Drake Ridge-We are meeting, we had planned to meet with our dean tomorrow, but since the others are not here we might have to reschedule, so stay tuned. Chair Dietlin: You are allowed to go by yourself and represent all of you. College of Health and Human Services a. Alex Roos- So, Ashley and I met our dean last week and she gave us good information about our college. She said that half of the students are distance or online so it proves it will be difficult to get to know them. She just overall gave us insight. b. Ashley Beghtol- We had a meeting with our dean and we talked about how a lot of the colleges classes are moving into the new building next semester so we are concerned on what building we should have our donuts with the dean event. College of Education a. Alyssa Anderson- No Report b. Kyle Davis- No Report College of Business a. Amanda Copeland- No Report b. Lauren L’Ecuyer- No Report College of Engineering, Forestry, and Natural Sciences a. Madi Sowerwine- No Report b. Stella Carr- I am not sure if I talked about it last meeting. I met with our dean last week and learned his favorite color (purple) he should me all his purple things. Another group in our college does the donut with the dean event, so we will need to think of something else. He said he was interested in something like the breakfast with president Cheng. We are going to try to plan something like that with him. We are going to have an application that everyone needs to fill out since he just needs a small group. Finally he asked about what we having been doing. University College a. Marc Moore-Sharp- I have a meeting with my dean next Friday. She said since the college is new she wants to know more ways that she can use us to communicate and get the ideas out to students. She also asked if she could meet with you Amanda. She wants to get a feel of what we can do to help her. Lauren: something I can think of, is email Ali sends out every Friday could include anything she has going on. Chair Dietlin: One last thing from my report that I forgot. All of you are required to put up those fliers that we give you up in your college. People came to me to say there are some in one college and not in the other. Please fix that. Advisor Reports (Cindy Anderson and Kristine Heflin) Cindy Anderson— I want to apologize for looking at my Instagram during meeting. It was my niece posting about running in the big ten conference. Thank ASNAU for holding a great homecoming and I am grateful to you all. If I have been bugging you about the cert email don’t let me bug you anymore. Lastly, for the homecoming non-event, the one that is a downtown tradition. For those following, not only were their 41 arrests there was a photographer that did print a number of pictures one including a student peeing outside next to a car. I had begged your executive team not go, I got down on my knees when asking them. Everything that happened out there did not make our student body look great, we were trending on Facebook at one point. If you guys have any insight on how to make a safer event I would appreciate it, I would really welcome your wisdom. Kristine Heflin— I am trying to recover from homecoming. Discussion Items Announcements Chair Dietlin: We are bringing back the golden pinecone and this week it goes to Lauren, Taylor, and Amy for their incredible work on the carnival. Senator L’Ecuyer: I have a bit of a concern, I work at CHQ an extra hour because no one comes in and I have been staying for the past few weeks, but sometimes I have other things during that time. Senator Sowerwine: Same thing with me. I am not on till 3, but I think there is a break and no one is there if I arrive early. Senator Moore: I go from 12:30-2pm and have to leave CHQ empty because Ali, Grace, Kyra and I have to go to class. Senator Sowerwine: Its just awkward. Senator L’Ecuyer: You might want to look at both of their schedules because I think that is where the issue lies. Chair Dietlin: The investigation will start next week but they will be back at work soon. Senator Roos: So only 3 more days to vote for me. I am currently in the lead, but I can’t let my guard down.
