The meeting began at 9:00a.m.

Review March 14, 2014 Meeting Minutes

1.

Correction on page 2, #7: Delete 2 nd

sentence and replace with, ‘The drop date deadline and start of registration are scheduled before students receive their university acceptance letters.’

The first registration appointments were posted in MyECC on April 16 th

.

Updates

1.

With the passage of SB 1456, priority registration for summer/fall 2014 has changed. New in-district students who complete the three core services (orientation, assessment and education plan) will receive priority registration over continuing students. Continuing students and returning students are not required to complete the three core services. a.

Three types of ‘new’ students:

New in-district students that complete the three core services.

New out-of-district students that complete the three core services.

New in-district and out-of-district students that do not complete the three core services. b.

Ten registration tiers were developed by Admissions & Records with input from various campus committees.

Tier 1 – eligible students in state mandated groups (Veterans, Foster Youth,

DSPS, EOPS, and CalWORKs).

Tier 2 – no groups assigned in this tier at this time.

Tier 3 – new eligible students in District designated groups (i.e. FYE, HTP,

TRIO, etc.).

Tier 4 – eligible new in-district students who meet the three core services.

There were issues in this group of students not being picked up for priority registration. Some issues include:

Students who applied but did not indicate they were new students.

Concurrently enrolled high school students who did not re-apply for summer/fall 2014.

Tier 5 – eligible continuing students.

Tier 6 – eligible non-district new or returning students who meet the three core services.

Tier 7 – other new in-district or out-of-district students that did not meet the three core services or returning students.

Tier 8 – K-12 concurrently enrolled students.

Tier 9 – continuing students on probation for two consecutive terms and/or continuing students with 100 or more earned units.

Tier 10 – reinstated dismissed students.

Higher One will replace Sallie Mae as the third party vendor to disburse Federal student aid

PELL and Supplemental Educational Opportunity Grant (SEOG) starting fall 2014. All students who receive federal financial aid will receive a Higher One ECC debit card in the mail and will be given three choices in receiving their disbursements (at no charge): ECC debit card (loaded same day as disbursement date), direct deposit into an existing checking bank account (within 2-3 business days from date of disbursement) or paper check (mailed within 5-7 business days from date of disbursement). Students can change how they receive their financial aid anytime. Higher One developed a web page specifically for ECC and CEC students: www.eccdebitcard.com

The Financial Aid office will close on April 25 th

for training.

Working with ITS, Elucian (parent company of Datatel/Colleague) could not find a way to correct the MyECC log-in/constituency error issues. Constituency error issues may be resolved by ITS on a case-by-case basis. If a group is preparing for a workshop or orientation and knows in advance students who will attend, the student names and ID numbers can be forwarded in advance to Will Warren in ITS to clear the constituency errors before the event.

A suggestion was made to develop a list of problems students are having with registration with possible answers to help correct the issues. Anticipating a lot of issues in the upcoming registration period. W. Garcia developed a list and will share it with the division council.

Problems with MyECC is a main concern of a lot of students. Students with MyECC problems should be referred to ITS through the online help link or directly by calling the ITS

Help Desk. Students can also get help from the Information Desk Staff in the Student

Services Center lobby. Counseling has developed MyECC workshops for students. Outreach created the MyECC 101 workshop for high school students to familiarize them with MyECC and Web Advisor.

The Assessment/Testing office is working on issues they are having when their testing computers were upgraded to Windows 10.

8.

The new computers do not interface with Omni, so Google Chrome will be installed on one computer per department so that staff will be able to update their web pages.

9.

A discussion took place about the use of iPads to take assessment tests at the high schools.

10.

Outreach is re-evaluating processes for 2014-15. The Outreach office will be closed on

Monday, April 28 th

for their retreat – the office will be closed but the Information Desk will remain open for students. The committee was reminded to inform the campus when their offices close for an event – notify the switchboard, Office of Public Relations & Marketing the division and post signs. In the process of hiring Student Ambassadors – an information session is scheduled on Tuesday, April 29 th

at 1pm in SSVC 207. Applicants must apply

(applications are available in Outreach and at the Info Desk), submit a resume and will be interviewed.
