Mulrooney, J. Nishime, J. Pon-Ishikawa, M. Ramey, D. Reid, I. Reyes, J. Sims The meeting began at 1:05 I. INFORMATION A. Notes of December 11, 2014: Distributed and reviewed. II. DISCUSSION/ACTION A. SSSP Planning Summit: The CEC Student Success Advisory Committee will participate in the SSSP Planning Summit. Topics to be discussed at the summit: BOG fee waiver, comprehensive ed plan and ideas discussed at the counseling retreat. C. Mosqueda will provide J. Nishime with notes from the retreat. SSAC will further develop the summit agenda during the 2/12/15 SSAC meeting. B. 3CDUG Conference Update: J. Nishime provided an update on behalf of W. Garcia: 3CDUG is a committee mainly consisting of IT people from Datatel schools throughout California. The conference provided a reminder that students who are exempt from assessment, orientation, or ed planning are not eligible to receive priority registration. Priority registration is given to students who complete all three processes. Students should be informed of this prior to an exemption being granted. J. Nishime and B. Mulrooney will draft a letter to students regarding this. Students who are exempt from assessment because of AP tests, assessment from another institution or EAP scores should be credited as having completed the assessment component. Every student will need to attend orientation and create an ed plan. The schedule of classes should state the college’s exemption criteria so students are informed of what must be done in order to receive priority registration. ITS will ensure the application question asking whether a student has received a Bachelor’s or Associates degree is mapped properly. Before each semester, ITS sends an email blast notifying students that they’ve lost their priority registration due to excessive units or probation level 2 status. The email informs students how they can appeal the decision if they choose to. Appropriate staff should be notified when this email is sent. B. Mulrooney will send SSAC members an example of the email. Notifications must be sent out by the end of the spring semester informing students that they must meet academic criteria in order to receive the BOG fee waiver. The notification will be a unified effort from Admissions and Records, Financial Aid and Counseling. 1 A federal report called IPEDS states the number of Pell Grant recipients at each institution. ECC is much lower than comparative schools. 23% of ECC students receive Pell Grants while other schools are at 28%. This may be because ECC’s has more students on academic probation. Many students think they can only receive a fee waiver and don’t know they may qualify for other aid, (ie. Pell Grants). The financial aid process is complicated. The college must determine the processes that present the biggest obstacle for registration. Recommendation that I. Graff, R. Dreizler and Graduation Initiative work with ASO to hold student focus groups to review the website and portal from a student’s perspective. How can the website and portal be more transparent and easy for students to understand? The focus group will help identify which processes are difficult such as financial aid, registration, campus hours, etc. C. Announcements: ECC and CEC didn’t have any issues with the submission of MIS data. III.
