Status on intellecheck and FormFusion Action Taken, Decisions, Recommendations, Time Line Sherry won’t be here next Monday but please answer the update questions. 1. Stu04 which is where framework manager is housed has been down, so no progress. Sherry is working on changing the dates for end user training. 2. We won’t be transferring admission history. It looks like the general person will work to some degree but we’re going to meet with ILT to ensure as it will mean they are waiting a day between the sync. 3. Sherry has a full list of the reports needed. Now need to decide from the people who don’t have cognos or inb, what reports from this list will they need that thus need to be in e-Print. 4. E-Vision server has been down. Need to give the reports that will use FormFusion to Chase/Greg to put in GJAJOBS. We have not used any of our hours for training yet. At least at the beginning, there won’t be any user training needed. Only the IT staff will need training. The online tutorial is mainly a sales pitch. We have a couple of templates set up and Ninette needs to choose one of the check formats to use. We need some training on how to attach the templates and how we could use Page 2 Topics Cameron University Banner Project Meeting Agenda and Notes Discussion, Information 5. Workflow Process Analysis Nov 3-6. Dec 1-3, 15 dates for one or two day training in each module. ILT will need to rank which the workflows they need in order. Also need to decide who is responsible for workflows that cross modules (e.g. SSN change) 7. PROD was installed last week. Different sub-committees have been working on the policies and we’ll look at those in a team meeting today. 8. Kelly and Cheryl have been working on the directory label. Cheryl is working on the view. The view will need to be done from ODS data. HR and general person data could be refreshed at noon and at 5:00. 9. Luminis PROD was installed. 10. On list to talk to Laurene on Oct 5. 11. Change from the 16th to the 19th. 12. HR needs to mail W2’s to the mailing address. If the preferred address is not the mailing address then it wouldn’t go to the right place. Cognos should be able to address a cascade for choosing an address. Need to look at Banner process and see if it allows multiple addresses. Cognos cascade and Banner cascade should be the same. Page 3 Topics Cameron University Banner Project Meeting Agenda and Notes June 28, 2016 Discussion, Information Action Taken, Decisions, Recommendations, Time Line Duplicate ID’s 13. Julie: Are we planning on HR/FI/AD/FA continuing to enter people in legacy until everyone is totally live in Banner? Otherwise, what happens when they enter a person into Banner and then the person decides to take a class and the person is entered over in legacy. Now we have two IDs that have to be merged. How often is that going to happen? Once they’re in Banner they’re in a bunch of tables, but they’ve also had an SSB pin created and a Luminis account created and sometimes even email that is all tied to the Banner ID. We can’t keep the Banner ID because the academic history is going to be tied to legacy ID. Discussion? Banner ID can be changed and SSB ID can be changed, but they could also be in the ID system, Aggie One, and other places depending how far they’ve gotten in the enrollment process for fall. If they’ve already enrolled the student believes their id is the banner id. Alias ID might work for conversion to match up the records, but it would be very confusing to the student since they would be logging in and operating under one id in legacy and a different id in banner. There would be major cleanup involved and it would be better to enter into legacy the basic information – Name, SSN, DOB, and address – and let legacy generate the id that will be entered into Banner. HR is already planning on doing this. Finance will be entering into legacy. Advancement should be okay. The issue may be with the ISIR’s. Anna will be here the next four days. Need to have Recruiting and FA meet together with her and see if there is a way to not add ISIR’s for people who did not match anyone in banner and give those people to recruit to enter and then load the ISIR’s after nolij transfers the data from legacy. Cognos 14. Paul mentioned to Dawne the idea of having a lab once per week where folks can work on their reports and IT can assist as needed. This may be an idea we want to pursue. 15. The user invoking the hold, must be the one to remove the hold. Two options being considered for managing holds: a. Using fine-grain access or b. Creating ‘departmental users to update holds. For example: the Registrar’s Office would use REGHOLD, Admissions might log in with ADMHOLD, etc. If we decide to go this route, when we do our final conversion of data, Dawne will need to change the user we are passing for each of the holds from ‘SAISUSR’ to the applicable user that will be assigned to this hold. This is Dawne’s recommendation due to time constraints. 16. HR would like a copy of the database after HR conversion. SOAHOLDs Copying the DB Task Lists Tech Team & ITL Continue to update: W:\workgrps\its_share\Banner\BANNER Data handling.docx – OSRHE info B is a good option. Chase can do this.
