Record keeping All reference to the project shall be kept on file for any future reference inclusive of emails, faxes, memos, purchase of material forms and receipt for petty cash expenditures All emails pertaining to the project shall be carbon copied or forwarded to each and every team member for reference All dates must be kept track of for future inquiries – all items shall be dated All receipts for purchased items shall also be dated and a running total/balance and budget will be maintained 2. Printable Items All faxes or memos must be done on ASD letterhead for easy reference. Templates have made for these items Type setting should be “ARIAL” font ranging between 10 to 12 point on all items that can be printable (Word and Excel Documents) Web page business card shall be updated by communications officers to allow for sponsor to see most recent work 3. Meetings Staff meetings will be held at 1:20 PM at 214 Reber for the dates of 1/26, 2/9, 2/23, 3/23, 4/6, 4/20 Chief engineers will rotate on a bi-weekly basis. Each chief engineer is in charge of preparing bi-weekly agendas for staff meetings with Dr. Sommer Out of class meetings will be held every Thursday evening promptly at 7:00 PM in the Engineering Library in the Hammond Building unless otherwise stated by team members 4. Agendas Agendas shall focus on the triumphs and problems that may have occurred during the previous week. They should also include projected goals for current and upcoming week All items shall be dated upon completion or projection to keep the project progressing in a timely fashion and for reference dates.
