Student Affairs Communications Group Minutes March 30, 2016 Attendance: Kami Hammerschmith, Lisa Hoogesteger, Sarah Payne, Sarah Norek, Vanessa Johnson, Majeed Badizadegan, Michael McDonald, Jenna Riccolo, Tram Hoang, Carmen Twenge, Jennifer Viña, Danté Holloway, James Thomas, John McQueen Jennifer Rouse, Tracy Getz, Carolyn Boyd, Leslee Mayers Next meeting of the Student Affairs Communications Group will be Wednesday, April 13, 2016, 9a.m. - 10:30 a.m., Orange Media Network, 4th floor, Student Experience Center. Topic: Candace Baltz will provide details on the services offered by OMN. Today Carolyn shared the new OSU Experience website – http://sites.oregonstate.edu/experience/. Carolyn invites everyone to look at the site and send feedback back to her. It has been her major project for the past year. The site is intended to inspire students to get engaged and to act as a resource for students to connect to programs. Carolyn tried to organize it in a way that would be intuitive to students. It is organized by learning themes. It is meant to be inclusive of programming across the university – a broad approach to content. The site is organized by Student Affairs learning domains of service. • Health and Well-Being • Diversity and Global Consciousness • Career Discovery and Development • Community and Civic Engagement • Personal and Leadership Involvement • Student Resources • Beaver Life • OSU Voices The site is not currently in Drupal, but is responsive. It is light on text, more visual, with links to resources. The Beaver Life tab includes a calendar from the Student Events & Activities Center that appears on the OSU Guide. OSU Voices are pieces written by students, for students. Many are written as 10 questions or in a blog format. Carolyn is conducting usability testing with students during spring term. She is planning a full launch in the fall and it will be linked in summer START materials. Leslee suggested we look at how the site is rolled out to students. It would be nice to have this one URL vs. the multiple separate departmental URLs students usually receive. Carolyn gave an overview of marijuana policies and laws. She looked at students over 21 vs. under 21, recreational vs. medical and on-campus vs. off-campus. She created a document for internal use for informational purposes. It states, "While Oregon's Measure 91 allows for certain marijuana-related activities, using and possessing marijuana in any form remains a crime under federal law. As a recipient of considerable federal funding, such as financial aid, and federal grants, Oregon State University prohibits the use and possession of all federally-controlled substances – including marijuana." Carolyn reminded us that we can not give legal advice to students. If we are asked about marijuana policy, we can state our understanding of the law, but can't offer legal advice. We should offer resources. Carolyn announced that Orange Media Network, Student Affairs Communication and Marketing and the MU Design Studio are partnering to offer trainings for students. Friday, April 1 - Style Guides and Copyediting by Carolyn, Steven Sandberg and Kami Hammerschmith Friday, May 6 - Design Theory by Kent Sumner and Michael McDonald Friday, June 3 - Outgoing students will offer advice around marketing work All sessions are at 1 p.m. in 402 Student Experience Center. Students should RSVP to julie.freshwater@oregonstate.edu. Carolyn offered a University Marketing update. The University's 150th Anniversary is approaching. We will start incorporating tools by Jan. 1, 2017. University Marketing is currently developing strategies and a style guide. There will be an IMC meeting this summer to roll out the materials. Carolyn is requesting people provide student stories to her. Please send her names of students, current or recent grads. Sarah from Academic Success Center announced that until May 1 they are accepting nominations for students whose success stories resonate. They are looking at success broadly, There is a link to nominate on their website. Nominations can be for current students or recent graduates. In the fall they plan to publish a 4-page newspaper insert in The Daily Barometer to highlight the students. Carolyn thanked those who completed the communications survey. Her office is compiling the feedback and will use it to add resources to the Student Affairs Communications and Marketing website. The Career Development Center is adopting the new pine theme for their website. Vanessa announced that the NSSE survey is rolling out on April 5. She asked everyone to help in marketing the survey to first year and senior students.
