Summary Statement: State the major function(s) of the position and its role in the university.
Attach an organizational chart with positions, ranges, and names for the division which reflects the

The Manager of Extended Studies Enrollment Operations manages the student records and oversees staff
whose responsibilities range from responding to a student’s initial inquiry, to registering courses and collecting
payments, to the provision of Extended Studies (EXS) certificates and transcripts. Within Extended Studies, the
position is responsible for managing student records; scheduling and set-up of classrooms; on site registration
activities; financial invoicing, refunding, deposits, reconciliation of money, and cash management; preparation
and distribution of books and handouts; and program closeouts.

55% - Enrollment Operations Management

Manages all activities of the Enrollment Operations unit, adapting to changing needs of the office, filling
in when necessary for absent staff and during busy periods. Supervises, hires, trains, and evaluates
classified staff and numerous student employees (20%)

Fosters collaborative interaction between EXS programming and Enrollment Operations staff (15%)

Conducts on-going quality control analysis and evaluations of effective service delivery by staff,
providing feedback and training (10%)

Initiates improvements in registration processes, updating unit polices and procedures on a continuing
basis (5%)

Serves as a member of Extended Studies management team advising the Associate Vice Provost on
organizational direction (5%)
30% - Data Management

Collaborates with the data manager to administer an in-house computerized registration system in a
manner highly satisfactory to an adult and part-time student audience (15%)

In coordination with relevant parties (data manager, programming managers, etc.) oversees
maintenance of student records and a system for providing and archiving certificates and transcripts;
scheduling of classrooms in designated buildings and proper classroom set up for all classes; and
provision and maintenance of equipment and preparation of information needed for on site registrations
(15%)
15% - Financial Management

Enforces and complies with UNR and NSHE policies and procedures for deposits and cash
management, and manages the financial invoicing, collection, refunding, money reconciliation, and
program closeout processes (10%)

Fosters collaborative interaction between the accounting and Enrollment Operations staff which insures
that the process for enrolling and paying for the courses remains transparent to the student (5%)

Describe how the decisions and judgments made by this position and the results of work
performed impact the department, division and/or the university as a whole.
Decisions and judgments made and undertaken set the tone for this unit. All aspects of the learner’s educational
experience (registration, billing, facilities, certifications, etc.) can be influenced by this position. The incumbent
establishes standards and makes decisions that directly affect these activities and the satisfaction of EXS’
student audience.
The Extended Studies student’s experience results in impressions about the university as a whole. Therefore
this position is critical for the university’s image. Additionally this position must make decisions collaboratively
with other parts of EXS, regarding administrative aspects of EXS programs. Poor judgment and decisions by
this individual could result in student dissatisfaction which could impact enrollment and Extended Studies’
overall success.

Describe the knowledge, skills and abilities essential to successful performance of this job.
Knowledge:
 Knowledge of the process required to attract, enroll and care for the needs of students
 Knowledge of cash management and accounting systems
 Knowledge of a computerized registration system capable of handling thousands of students in the
credit and non credit environment

Describe the type of personal contacts encountered in performing the duties of the job. Explain

Within Extended Studies, serves as a member of the leadership team giving and receiving advice on the
management of the organization; contacts senior management within Admissions and Records to resolve
student problems that arise from serving a non-traditional audience with intermittent enrollment patterns;
communicates with individual program managers and the data manager within Extended Studies, to jointly
design registration procedures that can be accommodated by registration staff and a computerized system; and
works with the accounting manager to insure that tuition is properly collected and accounted for.

Required:
Bachelor’s Degree from a regionally accredited institution

Masters Degree from a regionally accredited institution
b. Minimum type and amount of work experience, in addition to the above required education
necessary for a person entering this position.
Required:
Bachelors Degree and four years or Masters Degree and two years experience to include:
Student services, continuing education, business or comparable experience
Supervision and training of paid staff
Preferred:
Applicants who hold degrees in fields in which analytical ability and clear communication are central
Experience in an entrepreneurial or university setting
Computer experience with Microsoft Excel and Access
Two years of supervisory experience preferred
