ADMINISTRATIVE FACULTY JOB DESCRIPTION APPROVED POSITION INFORMATION (to be completed by HR) Effective: April 1, 2014 Title Range JCC Assistant Athletics Director, Events 4 67652 Essential Function: Medium Work Description: Exerting 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly to move objects. Medium work requires walking or standing to a significant degree and pushing and/or pulling. 1. The Assistant Athletics Director, Events, is an administrative and supervisory position in the Department of Intercollegiate Athletics (ICA).The position is responsible for the support and coordination of all University of Nevada, Reno event personnel involved in the management of all home athletic events, as well as other University, commercial and non-profit events held in ICA facilities. The position oversees all bookings, cost estimates, and contract negotiations for commercial and non-profit events. Generally, the event oversight includes football and volleyball in the fall season, men's and women's basketball in the winter, baseball and softball in the spring, and assigned commercial events throughout the year. Non-revenue producing sports will be a secondary responsibility for the position. The incumbent is responsible for hiring, evaluation of and, if necessary, dismissal of all permanent employees. Involved in the development and oversight of a budget for the basketball facility. In addition to duties on the day of the event, the Assistant Athletics Director, Events is responsible for development of game management manuals for each sport and for all preliminary planning of each event. The incumbent is a senior member of the Facilities & Events Management Department Team and participates in departmental strategic planning, budget oversight and personnel management. The position reports to the Senior Associate Athletics Director, Internal Operations. * Attach an organizational chart with positions, ranges, and names for the division. 2. If line of progression, define for each range as above. 30% - Event & Game Day Operations Management Oversee the plannning of the activities (pre-seaon and in-season) associated with Game Day Operations for revenue sports Conduct pre-season, post-season, weekly Games Management meetings with staff and follow up communication for upcoming events Gather all competition, practice and camp schedules for each sport. Identify date conflicts and work to resolution. 1 Assistant Athletics Director, Events Oversee game operations for assigned sports, including designation of on site personnel to support home athletic events Provide oversight and/or on-site support for commercial & non-profit events at ICA venues. Oversee Wolf Pack Athletic Events Master Calendar and Facility Use Calendar; participate in regular (quarterly) meetings with schedulers to ensure proper use of calendar Prepare CAD drawings for ICA and commercial events as needed Develop and implement Game/Event Manuals for all sports (revenue and non-revenue) 25% - Event Administration Books and contracts events, including financial negotiations Contacts promoters, tour managers and representatives at other venues to identify and seek to attract potential shows and events Negotiates terms, conditions and pricing structure of each event Schedules events in coordination with other activities both on campus and in the community for the purpose of maximizing attendance and minimizing conflicts 20% - Fiscal Administration Participate in the development of the Facilities & Event Management budgets, monitor budget adherence. Supervise staff expenditures Prepare profit & loss statements for all commercial events to guide future contract negotiations Prepare and/or review invoices/settlements for all events. Maintain accurate records for all activities associated with home game management to include any tournament/post-season activities for revenue sports that are hosted by the department at university facilities Supervises staff that perform hiring, payroll, AR and AP functions. 30% - Supervision and Leadership Provide direction, technical assistance, assign work, and supervise staff Manage daily operational activities, conduct problem solving, troubleshooting, and resolve personnel issues Monitor and evaluate the efficiency and effectiveness of service delivery methods and procedures; establish Operations Department policies, appropriate service and staffing levels Implement and maintain programs to achieve performance goals Monitors labor force, replenish staffing levels when needed to meet event needs. 5% - NCAA Regulation Compliance Ensure compliance with NCAA, Conference, and university rules and regulations (subject to disciplinary or corrective action as set forth in the provisions of the NCAA enforcement procedures) 2 Assistant Athletics Director, Events 3. This position will have the ability to make decisions based on "time sensitive" information when coordinating home events. During the course of a home contest, the position must be prepared to make decisions and judgments that will ensure safety of all fans, participants and game staff. This poostion will have the ability to negotiate and monitor rental agreements, vendor agreements and sub-contractors. The incumbent makes independent decisions regarding prioritization and assignment of tasks to staff, personnel decisions, and budget management. The work completed by the position’s staff enhances the quality of the exposure and is critical to the development and retention of the university’s public image and credibility in the community 4. The position seeks guidance from the Senior Associate AD, Internal Operations on more complex issues and final approval on substantial expenditures that affect budget changes. The position would discuss with the supervisor any decisions regarding contracts that would displace one of the sports teams, such as a special event; any large expenditures that would affect the strategic plan and budget projections; personnel issues, such as theft or other criminal activities, and any other major interruptions that would adversely affect an event’s success. 5.
