Minutes for Tuesday, December 13, 2011 in BA005

Agenda Items:
Travel
If traveling for a conference please submit proposal in advance. Put travel requests in same
time as requisitions for conference. If doing international travel, please follow the new specific
guidelines.
Leave
Have employees submit all ‘forgotten’ leave by the end of the year. Individual leave reports will
be evaluated to make sure everyone is submitting their time-off.
Extra Day Instructions
The President gave everyone an extra personal day that can be used Dec. 16th – Dec 30th. It can
only be entered Dec. 16th – Dec. 20th.
Policies
HR is in the process of changing some policies:
 Probationary Period is reduced to 6 months with a 6 month extension (only if needed)
 Performance Evaluation for staff is simplified from past. Because the new policies haven’t
been approved, continue to use the current evaluations in January/February.
 Corrective Actions & Termination for Staff Employees has a few changes
UVU Temps
If your department need additional help, the IT temps are available, but you must have funds for
them.
Projects
Everyone should now be using the new Projects System. Test it out to see if you have access to
edit. Contact Damon if unable to edit.
Security Training
An email will be sent out with the new security training. It will be available to all of IT. Give
feedback on which modules should be mandatory for IT and which for the general user. It will
roll out to entire campus after feedback is received.
Outages in December
1- Banner: will be down for end of year upgrade – 8 AM–5 PM on Dec. 27
Holiday coverage & time off during holidays
Please have needed coverage at office during holidays. If office is completely closed, leave a
note and voicemail telling where individuals may be assisted.
Emergency Notification System – Test Friday at Noon
Emergency notification test for all on-campus computers will be Friday at noon. The system will
be sent in an email, please install on all department computers.
BA 004 remodel
Will be remodeling break room in May/April. Discussed if honor box should continue to be
used.
Oracle Insight
Oracle Insight moved to Jan. 4th at 10:00 a.m. in SC-213c. They will be evaluating and giving
recommendations to our infrastructure, networking, IDM, automation, and data center.
Educause on-line
Educause has on-line sessions for a limited time. Contact Ray if interested
Disaster Recovery and Business Continuity
Disaster Recovery will begin in the spring. Contact Ray if you know of items or individuals that
should be involved.
