Note: MMA Board presented an overview of the MMA to interested parties from 7:00-7:30 pm
Meeting commenced: 7:35 p.m. – Madison High School, Orchestra Room
Secretary’s Report (Jennifer McCulloch)
 Minutes of the April 30, 2014 meeting were approved
Program Report
 Sidewalk Sounds (Helen Raymaker)
o Provided dates and student groups performing:
 June 26th – Brian Rigby Band
 July 10th – Daughters of Zion (Grace Church)
 July 10 – Bronze God

Fruit Sale (Margaret Wong)
o Met with vendor in May to discuss quality issues and how to increase sales; he
recommended we get the kids involved in selling process
o Tentative sales dates: 10/15 – 12/1
o Tentative delivery date: 12/15, snow date: 12/16
o Looking for assistance with this fundraiser
o Will stress on-line and gifting options in our advertising

Art Club (Helen Raymaker)
o Private company is providing $500 in seed money for supplies (restricted donation to
MMA)
o Madison Mud will let them work in their pottery studio
o Students would like time together to make art after school; don’t need to be in an Art class
to participate
o Students may create items to auction off at Arts Matter concert
o MMA will provide $500 grant for start-up

Officer Slate and outlook for next year (Helen Raymaker)
o All current officers are continuing in their roles
o Vice President slot is open, if interested, please contact Helen

Treasurer’s Report (John Gribble)
 Reviewed interim financial reports provided; Balance Sheet continues to look strong


Revenues:
o $800 grant received from Madison Rotary Club
o $500 private donation received (restricted use: Art Club only)
o $80 membership dues, $80 donations from members
o Overall, revenues were ~ $1,700 over budget due to membership dues, donations and
community grants
Expenses:
o $500 grant given to new Arts Club
o $10,900 provided for MHS Music Trip
o $823 provided for various cast parties of spring productions
o $1,631 provided for Year End Awards for MHS seniors in the various arts programs

New financial reporting document: “Notes to Condensed Interim Financial Statements” to increase
transparency and understanding of financial statements

Balance in checking account will be increasing notably due to Summer Arts Program - MMA is only
providing administrative support (handling the cash) – these are not MMA funds.
New Business
 Name and Logo Change (Helen Raymaker/Jennifer McCulloch)
o Given the MMA’s expansion in recent years to include the theater and visual arts programs, the
MMA Board recommends that we consider changing our organization’s name to “Madison
Music & Arts” which would allow us to retain the “MMA” name, while also reflecting the
inclusion of these new areas of the Arts.
o In conjunction with this change, our logo would add a paintbrush and the organization’s new
name (see logo below)
o All present voted in favor of this name and logo change
 Membership – online payment?
o It was suggested that we consider taking membership dues on-line
o This has been considered before, and the organization is open to this concept, but it would
require someone to step up and research the concept as well as manage the execution of this
change
 Brochure - inserts – Jennifer will create an insert reflecting all district events for brochure

 Bottle Hill Day
o MMA will be a sponsor, and thus listed on all advertising
o We will have a booth and stage for student performers, as we had last year
o Date: Saturday, September 27th (earlier than usual this year)
Supervisor’s Report (Stacy Snider)
 New Hires – another MHS Art teacher and part-time MJS instrumental teacher have been hired by
the district

Instruments
o Issues with aging instruments
o Met with teachers and requested they create a “Priority List” detailing each instrument’s
age, cost, etc., so that we can develop a replacement plan to either lease or buy new
instruments
o There is only $5,000/year budgeted by BOE for new instruments
o Still trying to resolve storage/climate-control issues; MJS says they can find an appropriate
place, elementary schools are considering storage in their libraries.

District-wide Festival
o In lieu of Arts Matter Concert, and district-wide band, chorus and strings concerts every
other year (would alternate: odd years ->Festivals, even years -> separate concerts)
o West Milford has a concert like this that is very successful
o Surveyed teachers, they are in favor of it
o Looking at a weekend in May
o Locations considered: Giralda Farms (Mary McManus will check with Barb Short) , MHS
front lawn, Morris County Showmobile (Jennifer McCulloch will research)
o Manpower is the biggest consideration:
 Teachers estimate they would need 5 parent volunteers/group
 MMA volunteers: admissions, concessions, roadies/techs, etc.
 Need to create a list of all the roles involved
o Fundraising ideas:
 Festival gear – t-shirts, sweatshirts, painter’s hats, etc
 MMA products – t-shirts, magnets
 Simple Food Concessions – water, candy, bake sale?
 Admissions - MMA bracelet to signify payment?
 Candy grams and Air grams?
Next meeting date (tentative): Monday, September 22nd
