STAGES OF A RESEARCH CONRACT
- PROPOSAL –
1. Review terms and conditions re eligible expenditure, dates etc
2. Analyse budget with PI to ensure sufficient,
Consumables/travel per person,
Labour that include all costs, a scale with increments and pay awards are fully
included
Equipment and other costs.
Overhead and VAT.
3. Contact RAO re any queries.
4. Adhere to University policy regarding the research proposals
process.
- ACCOUNT SET UP –
1. Complete - the initial contract set up form and have PI email to TTO.
- PPFs and have PI email to RAO.
2. Ensure the PGs complete the scholarship tax exemption
forms and forward to RAO.
3. Set up timesheets for each individual claimed on cost
statement and for additional individuals named
on the proposal and ensure they are maintained.

ACCOUNT OPERATION -
1. Commence charging items to your account via the web etc coding the Pos etc with
the correct account, product code and tax code etc. as per policy.
2. Keep copies of all invoices etc.
3. Peruse Agresso to review your accounts regularly.
4. Review the monthly summary emailed reports for receipt of income, expenditure
processing etc.
5. Contact the RAO person that is responsible for your account with any queries etc.
6. Review and approve the account details with the PI so they can then contact the
RAO to make an appointment to finalise the cost statement for submission to the
funding agency.
7. Upon receipt of approval of deliverables and income from the Funding Agency
contact the RAO to close the account.
