Recruit and maintain contact with faculty and Academic Services staff. Organize all faculty involvement (e.g., open classrooms, lectures, invitations, etc.). Evaluate past academic programs. Schedule classrooms, order necessary equipment, develop schedules. Plan at least two Faculty spotlight programs which highlight the predominant faculty members on campus. Develop ways to integrate faculty into additional areas of the weekend. Other duties as assigned. Administrative Coordinator Responsible for the supervision of the registration process and all of the aspects regarding registration including the following: training volunteers, tracking registration numbers, communicating with families who have registration errors, and managing the registration table. Organize registration table including payment issues, folders, and other items as necessary. Work closely with the Hillel Foundation to manage the registration process for Shabbat Dinner. Handle all planning and ordering for registration materials. Plan the Welcome program to kick off the Weekend. Other duties as assigned. Campus Marketing Coordinator Work with the Fall Fest Core Committee to create and implement theme and color choice into the marketing and all programming initiatives. Work with Publications office, Core Committee, and Advisors on the creation of the Fall Fest logo. Design a poster for campus marketing targeting student involvement in the weekend. Create a t-shirt design and work with a vendor to order the t-shirts for the weekend. Oversee and create all on-campus marketing for Fall Fest Weekend, including but not limited to poster, flyers, mailbox stuffers, email blasts, and social media initiatives (e.g., Facebook page and events, Twitter posts, and other new outlets). Oversee the branding efforts of the Fall Fest Weekend program. Plan one program throughout the weekend to be designated throughout the planning process. Other duties as assigned. Off-Campus Programming Coordinator Organize and plan all off-campus events, locally and in the greater Boston area. Coordinate all transportation needs. Work closely with On-Campus Programming Coordinator to coordinate Weekend schedule. Develop contacts within Boston and Waltham to bring resources to campus to assist families. Work with hotels to develop and promote shuttle services, specials, etc. Other duties as assigned. On-Campus Programming Coordinator Program all on-campus events, including but not limited to programs on Thursday, Friday, and Saturday nights. Make contacts, reserve rooms and equipment, and supervise decorations for all programs. Maintain any necessary liaisons with on-campus clubs and activities. Work closely with Off-Campus Programming Coordinator to coordinate Weekend schedule. Assist the Campus Marketing Coordinator with campus advertising for the events. Other duties as assigned. Outreach and Communications Coordinator Create, update and maintain the Fall Fest website. Compile the official Fall Fest Weekend Survival Guide. Work with the Publications office, if necessary, to create all family mailings. Plan one program throughout the weekend to be designated throughout the planning process. Work with the On Campus Programming Coordinator to collect information about all campus events occurring during the weekend that could be included on the Fall Fest schedule. Other duties as assigned. Volunteer Coordinator Recruit a student volunteer committee of at least 50 students to assist with Fall Fest Weekend. Develop volunteer resources that will aid in their volunteer experience. Develop and implement comprehensive volunteer trainings. Generate schedule for volunteers for the Weekend (i.e., time, place, and responsibilities). Maintain volunteer database and email list for the program and the Department of Student Activities. Retain and motivate volunteers throughout spring and fall semesters. Organize thank-you programs for volunteers and create incentives for continued involvement. Provide onsite management for the volunteers throughout the actual weekend. Plan all logistics of the Shabbat Walk from Brandeis to the Newton Marriott. Other duties as assigned. Responsibilities of all members of the Core Committee: Attend and participate in all weekly group meetings, advisor meetings, and Core team activities. Please note: You may be asked to step down if you are not available for the group decided meeting time. Maintain electronic folder of detailed specifics of your responsibilities, to be passed on to future Coordinators. Assist other Core Committee members with their responsibilities. Participate in and help plan any volunteer trainings, meetings, etc. Attend all scheduled events during Fall Fest Weekend. Respond to Fall Fest general phone calls and emails. Fall Fest 2016 runs from Thursday, October 27 through Monday, October 31, 2016
