Microsoft Word Editing Exercise The following pages teach the basic editing features of Word using the mouse. Exercise 1 1 Open the file called Editing. Text in the exercises on the following pages will appear on screen. 2 Practise turning on and off non-printing symbols by clicking on the Show/Hide ¶ button on the Standard toolbar. (These can be turned on/off at any time.) 3 Select text as instructed, using the mouse when indicated by the symbol . Note Mouse selection movements are used mainly throughout this manual. Inserting Exercise 2 1 Text is automatically inserted at the left of the cursor. Insert the words indicated in the following sentences. 2 Move the insertion point to the left of the character where text is to be inserted. Click the left mouse button and type the text to be inserted (then press the Spacebar if necessary). a read-only file that is A template is attached to a document. default and paper size The default template stores the font for all documents. Overtyping Exercise 3 1 Inserting is automatic. To type over text press the Insert key OR double click on OVR on the Status Bar (OVR will be displayed in black). Move the cursor to the left of the word to be typed over, then type in the new word. altering The process of changing text is referred to as “editing”. The improvement design enhancement of text appearance and layout is called “formatting”. 2 Press the Insert key to turn off overtyping OR double click on OVR when finished. (OVR lightens on the Status Bar.) © Software Educational Resources Ltd 1 Paragraphs Making a new paragraph 1 2 Move the cursor to the left of the first letter of the intending new paragraph. Press Enter twice. Exercise 4 ¾ Separate the following paragraph into three paragraphs where shown. In Word 2002 there are four different view options available to view the current document. The most used views are as follows: NP Normal View is used mostly for normal typing, editing and formatting. It does not display headers, footers, page numbering, NP etc. Print Layout View displays the document as it will be printed, including graphics, headers and footers, and displays the width of your page on screen. Joining paragraphs 1 2 3 Move the cursor to the end of the first paragraph. Press the Delete key twice. Insert two spaces with the Spacebar. OR place the cursor at the beginning of the paragraph following the paragraph to be joined, and press Backspace twice. Exercise 5 ¾ run on Join the following paragraphs where indicated. The Help feature can be used extensively to assist the learning process. In Office 2002 programs the Help feature contains Contents, Answer Wizard and Index sections. Help is also available by pressing Shift F1 and then pointing to a menu option, button or screen item. run on You can click in the Ask a Question box and type in a question then press Enter to display a list of Help topics. Undo feature The Undo feature in Word 2002 will undo the last movement, whether it was deleting, moving, bold, underlining, etc. Undo deleted text Ctrl Z Click on the Undo button OR choose [Edit] Undo to undo the last action. The message shown reflects the last editing movement, eg Undo Clear. 2 © Software Educational Resources Ltd Undo more than one action Click on the drop-down arrow at the right of the Undo button to display a list of previous actions performed in Word. To undo several actions, click on the action to be undone, or drag to select a number of actions. (You cannot select random actions.) Exercise 6 ¾ Click on the Undo button to undo the previous action. Redo feature The Redo feature will “redo” the action taken with the Undo feature. For example, if a word is deleted and then the Undo button is used, clicking on the Redo button Ctrl Y will restore that word. If you then clicked on the Redo button again the word would be deleted. By clicking on you can see a list of “redo” features, in the same way as for Undo. Redo can also be selected by choosing [Edit] Redo. Exercise 7 ¾ Click on the Redo button to reverse the action undone. Deleting Deleting the character at the right of the cursor 1 2 Place the cursor at the left of the character to be deleted. Press the Delete key. Exercise 8 ¾ Using the Delete key correct the following sentence. Allways use a comfortable, well-designed adjustabble chair. Deleting the character at the left of the cursor 1 2 Place the cursor at the right of the character to be deleted. Press the Backspace key. Exercise 9 ¾ Using the Backspace key correct the following sentence. Addjust your monitor for maximumm contrast and minimum brightness. © Software Educational Resources Ltd 3 Inserting/deleting blank lines Deleting a blank line 1 Move the cursor onto the blank line. 2 Press the Delete key OR Backspace key. Exercise 10 ¾ Delete the blank lines between the following three sentences. When files are deleted they are sent to the Recycle Bin. Deleted files can be restored or the bin can be emptied. If the Recycle Bin is emptied, files are gone forever! Inserting a blank line 1 Move the cursor to the beginning of the line below the line to be inserted. 2 Press Enter. Exercise 11 ¾ Insert blank lines between the lines of text in the following exercise. The Taskbar displays all open programs and documents. Control Panel allows program settings to be changed. Use the Briefcase for transferring files to/from a laptop. Inserting blank lines at the top of your document Place the cursor at the left of the first character in the document, and press Enter the required number of times. Exercise 12 ¾ Press Ctrl Home to move the cursor to the top of the document and then insert three blank lines. Go Back key (Relocate key) Exercise 13 1 To move quickly back to the previous location press Shift F5. Do this now and the cursor will move back to the place you were before in the document. 2 Save and close the document. (Word 2002 remembers the last three places which have been edited, plus the current cursor location.) Moving the cursor somewhere in a document will not add that location to the Go Back list. It is necessary to edit for a place to be added or to click the left mouse button. 4 © Software Educational Resources Ltd Selecting Text Selecting text (also called highlighting) is used extensively in word processing programs not only to delete text, but also to move, copy, make changes to text, etc. Selecting is the process of making changes to existing text. Note When text is selected, and the Spacebar, Enter key, or any key on your keyboard is pressed, the text will disappear. If this happens, click on the Undo button . Typing while text is selected, will replace the selected text. Exercise 14 ¾ Open the file called Selecting. Selecting by dragging horizontally Click and drag across text. 1 2 3 Move the cursor to the left of the first word to be deleted. Click and drag across the text to be deleted. Press the Delete key. Exercise 15 ¾ Select the underlined words in the following sentence then press the Delete key. (A full stop may then be required at the end of the sentence.) Use Ctrl Home and Ctrl End to quickly move the cursor to the top or bottom of the document which is quicker than dragging the scroll box. You will select word by word when dragging across text. To select parts of words after the first word has been selected, hold down the Alt key. (Selecting the entire word can be turned off in the [Tools] Options, Edit tab.) Selecting by dragging vertically Click at the beginning of the first line and drag downwards. OR you can drag downwards in the Selection Bar. Exercise 16 ¾ Select the following text and then press the Delete key. All file management procedures can be carried out in Windows Explorer. Icons indicate the document type, eg Word 2002 document, Excel 2002 workbook, PowerPoint 2002 presentation, etc. A file can be opened by double clicking on the icon. By right clicking in the Save dialog box in Word 2002 you can select Explore without using the Start button. © Software Educational Resources Ltd 5 Deselecting text when editing is not carried out Click away from the selected text OR press any cursor key. Exercise 17 ¾ Click on the Undo button then click away from the selected text to deselect. Deleting a word Place the insertion point in the word, double click then press the Delete key. Exercise 18 ¾ Delete the underlined words using the mouse to select each word. A spreadsheet computer program performs complex calculations and will update your formulas automatically. Selecting a sentence Hold down the Ctrl key, click anywhere in the sentence to be deleted, then press the Delete key. Exercise 19 ¾ Delete the underlined sentence using the mouse to select. A database is used to search for data for a particular purpose or to view all data. A database allows information to be gathered quickly and easily. The data obtained can then be formatted and printed as a report. Selecting text between two points Click at the beginning of the text to be selected. Move the I-Beam to the end of the text to be selected, hold down the Shift key and click. Exercise 20 ¾ Select the underlined text and then press the Delete key. Microsoft PowerPoint is a powerful presentation program. When you have mastered the basic concepts of Word 2002 you will find it easy to adapt what you have learnt to other Microsoft programs. Various effects can be utilised such as animation and sound. Notes can also be inserted which can be handed out to your audience. The slides can form a “slide show” which can be run automatically, or manually by using the mouse. 6 © Software Educational Resources Ltd Selecting random groups of text Hold down the Ctrl key then click and drag to select for each group of text. Exercise 21 1 2 Select the paragraph, A spreadsheet program… and the paragraph, Microsoft PowerPoint.... Click on Delete. 3 Click on the Undo button to restore the deleted text. The Selection Bar The “Selection Bar” is an invisible area at the left of your text. When the mouse pointer is moved into the Selection Bar area it will show as a pointer . By dragging in this area you can select lines of text quickly or use quick movements to select text. Selection Bar Selecting a line Click in the Selection Bar at the left of the line. Exercise 22 ¾ Select the heading, press the Delete key then select the Use the Repeat key line and press the Delete key. Using the Repeat key The Repeat key (F4) is used to repeat your last action. Use the Repeat key (F4), or choose [Edit] Repeat. Selecting a paragraph Click three times within the paragraph OR double click in the Selection Bar at the left of the paragraph. (Note that this does not select the blank line under the paragraph.) When a paragraph is selected by double clicking in the Selection Bar you can then drag downwards to select paragraph by paragraph. Exercise 23 ¾ Select the following paragraph then press the Delete key. Word 2002 has many ways to use one feature. Usually there is a menu option such as [File] Save, a button on a toolbar (Save button) and also a Shortcut key (Ctrl S). Some people like to use the mouse for everything, and some prefer to use shortcut keys whenever possible. © Software Educational Resources Ltd 7 Selecting the beginning/end of text Drag upwards/downwards in the Selection Bar. Shift Ctrl Home OR Shift Ctrl End. Exercise 24 ¾ Press Shift Ctrl Home and all the text will be selected from where the insertion point is, to the beginning of the document. Now press the down cursor key to deselect. Selecting the whole document Ctrl click in the Selection Bar OR click three times in the Selection Bar. Ctrl A, OR Ctrl 5 (Num Pad), OR [Edit] Select All, OR F8 five times. Exercise 25 1 Select the whole document and press Delete. 2 Click on the Undo button 3 Press Ctrl End to move to the end of the document. to restore the deleted text. Typing Replaces Selection As mentioned previously, when text is selected and then data is entered, typing will replace the selected text. 1 2 Select the underlined sentence (Ctrl click in the sentence). With the text selected, type in the new text. The typed text will replace the selected text. Exercise 26 ¾ Replace the marked text with the sentence underneath. Word 2002 inserts a page break automatically when you reach the bottom of the page. This is called an automatic page break and is dependent on the page length specified in the [File] Page Setup, Paper Size dialog box. Replace with: A manual page break can be inserted by pressing Ctrl Enter or by choosing [Insert] Break, Page Break then clicking on OK. Typing Replaces Selection is an extremely useful feature but selected text can easily be lost by pressing any key on the keyboard. If this occurs, click on the Undo button to restore. Go To F5 is a "Go To" key. When F5 is pressed the Find and Replace dialog box appears with the Go To tab displayed. Type the number of the page to move to, press Enter OR click on Go To. Click on Close. 8 © Software Educational Resources Ltd Tip Ctrl G • • Double click on the Status Bar OR choose [Edit] Go To. Dragging the scroll box on the vertical scroll bar displays page numbers. This enables you to move quickly to the desired page in the document. Exercise 27 1 Practise moving around the document using the above movements. 2 Close the document and click on No not to save changes. For this exercise the document is not saved because you may wish to work through it again, or to practise editing features using the keyboard. It will therefore remain on disk in its original form. Keyboard Selection Options Exercise 28 ¾ The following is a summary of some of the keyboard selection movements available in Word. To practise these movements use the file called Selecting again. Using the Shift key Text can be selected easily by using the Shift key with cursor keys and using F8 as shown below. Using F8 • • • • The F8 method assumes there are more than three paragraphs in the document. F8 increases the selection each time it is pressed. ESC must be used to cancel a selection made using the F8 method. Shrink Selection, Shift F8, allows you to reduce the selection.
