LESSON 4 MS WORD Report Skills When writing a report / essay one must know some key word processing ideas. Using MS WORD we will look at some ideas. Most of these concepts are found in other word processing software packages as well. 1. Creating a Header and Footer is important when you create a report larger than one page. Click on the VIEW option on the main menu bar and choose Header and Footer. You can type in the Text that you need to place at the top of every page (Header) and bottom of every page (Footer) just once. 2. The Windows below will display and here you can place your mouse over each icon slowly and a pop up message will show the name / label for the icon. Switching from Header (Default) to the Footer is easy. Simply click on the Switch Icon. You may notice that the text in the document is very light and you must close the Header and Footer Option if you need to return to the text in the document. 3. The page numbering Icon is one of the most useful items. The number one (1) will probably display (if you are on Page 1). Adding or deleting paragraphs is no longer a concern when the page numbering option is on. Some reports may need the numbering option to start after the title page and Table of Contents. Simply go back to the page numbering feature and choose the option Start Numbering from this page on. Please check to see that you are on the correct page first. 4. Sometimes you require quotes to back up an idea of yours. You can start using the clipboard and use the copy paste option. Notice: Please abide by the copyright laws and give credit to the original authors by citing their work in your Reference Page. Allowing you to just cut and paste freely. Simply make note of the URL so that you can use this great quote in your report / essay paper. In another document or on the Internet you need not key in the text. Simply highlight the text and Click with the Right Click on the mouse and choose Copy. Return to your file and Paste the Text from the Clipboard by clicking on Edit and Paste or Note that this method will work for pictures as well. 5. Spell Check is also an important feature found under the Tools Option. The feature is very friendly and straight forward. 6. Under the View Option you may need the proper Tool Bars activated. For example you may want a straight line Under the text in the Header. The Line option is in the Drawing Tools. 7. There are Autoshapes also available, which are somewhat hidden. Inserting a table and moving from cell to cell is easy. The Tab key moves one cell to the right. Adding Columns after the fact is easy also. Simply Highlight the Column (to the right of the new Column to be inserted) and click on Table and insert Cells. Choose the Entire Column option and the new column is created. 9. Other option is the Format option. This option should be one of the last features to be invoked. Here you can choose many items such as: Font Types and Sizes, Line spacing and paragraph style. 10. The Indent option is the best to use for the large quotes that need to be indent to the left and right by one inch. 11. The Tabs feature will allow the creation on the Table of Contents easily. You are to set only two Tabs (for the T of C). The first Tab set at 1” and set the second Tab at 5”, Right Alignment and activate the Leader option 2…., so that the dots will fill in between Tab strokes. Once the two Tabs are set you should be able to 1) Press TAB, type the TEXT, Press TAB again and (Dot Fill in) and type the Page #.
