Report of Advisor, Dustin Lewis For your Senate Minute, I’ve got some updates from the Senate Committees and also Senator Projects to share: Xavier Fitness Club was passed by the Senate and will begin their conditional process this spring with Club Relations. A proposed change to the Senate Rules of Order would require that Senators must be present from 3-5pm on Mondays for meetings. Community Affairs would like to invite everyone to attend their CFJ Community Night on February 13th – it will be a valentine’s theme… so bring yours! Association Affairs is planning on hosting “Ask Away with SGA” each month next year and they are also planning on attending every SAC meeting and reporting back to Senate the “SAC Attack,” now called “SAC Report.” Zach Aliberti – Zach is developing a Student Community Liason program that would pair up “intern-like” students with each of our community neighborhoods and partners to help exchange information between Xavier and the community. Joe Colak & Jayson Lerman – Ticketing process for Xavier Basketball Games Drew Dziedzic – Renovating the Buenger Music Room and also working on an idea for Online Transcript Ordering Ryan Martin – Exploring opening the Mail Center on Saturdays – piloting the project this spring with certain Saturdays Meghan Savercool – Working with Taylor Mauro on a 2nd Annual Muskie Move-Out for this spring After Morgan and I spent over an hour review 13 highly qualified applicants to attend the NACA Convention this spring, we have selected Matt Morefield, Ryan McGoron, Kevin Tighe and Blake Barlow to attend this year – congrats to these four! As a reminder, I will be out of the office attending the NACA December Board Meeting in Columbia, SC. I’ll be back Monday. Congrats to everyone on your great work and fresh ideas for Spring Planning Day. Its nice to see some BRAND NEW events on the calendar for this year! X. Report of the SGA Resource Assistant, Crystal Guffey I just came from A Xavier Christmas. It is this evening. If you haven’t heard of or been a part of the event, you should check it out. We bus in lots of kids from neighborhood schools and pair them up with a Xavier student volunteer. They spend the day together doing Christmas activates, enjoying treats, they get to see a live manger, and get to meet Santa Claus. XI. Opinion Entries Ted: (Resignation) Not Emailed Katie Sellers: (Associate member request) Not Emailed Sarah Richardson: Unfortunately today I am approaching you all with what I hope will not be too controversial of a request. Next semester, I have a required OT course on Wednesdays that begins at 4PM, interfering with the second half of our SAC meetings. This came to my attention back in October before anyone was even thinking about next semester, and I immediately went to the chair of the OT department and expressed my concern to see if there was any way to change the class time before it was set in stone. In order to get to the point, there was nothing that could be done to change the conflict, so I would like to ask you guys to vote me as an associate member. Now, as most of you know by now, I hold a chair position which presents a little problem. In the Rules of Order, one of the duties of a chair states that it is a requirement to be a full voting member of the board. Now, before you let that ruffle your feathers too much, it also states that a chair must serve in their position for an entire year, so if I lose my chair position instead of keep it, I will be breaking the Rules of Order anyways. I want to ask you guys to please consider my situation based on the way you know me. Although I am not a proponent for making exceptions to the rules, I can't help but ask you to do that for me. Like Dustin always says, "these are OUR rules of order, and we can do what we want with them." I brought this up with my committee over the weekend, and they unanimously expressed that they would like me to remain as chair, and they are "willing to stand up for me." I can assure you all that simply missing the last half of meetings will not change my dedication to my position and the board as a whole. I can promise you that I will keep attending meetings until the last second I have to leave, attend all the events that I can make, sign up for tabling and ticket sales, and of course spend as much time in the office as I do now to escape from school, get SAC work done, and hang out with you lovely people. I will write up my committee reports before each meeting to pass along to one of my committee members to give on my behalf. Our committee will obviously still hold weekly committee meetings where really the bulk of our work gets done, and I'll do all of my office hours and all other work required of a chair. I feel like I have taken enough of your time, so in conclusion, I would like to sincerely ask you all to suspend the rules of order and vote me as an associate member (but full member at heart!) as well as the continuing chair of Xavier Traditions Committee. I would truly appreciate it. Thank you! XII. Proposals (must be emailed prior to meeting) FAC, Jim Reitenbach None Regular Cooking in the Caf Chair: Katie Keller Co-Chair: Kevin Tighe Date: January 30th Time: 7-8pm Location: Hoff Dining Complex Est. Attendance: 40-50 Event Description: Hoff employees will instruct students on how to bake and decorate cake and cookies and/or make pizza. Hands on instruction will allow for a fun and interactive collaboration between the Hoff, SAC, and students. Cost Breakdown: $75.00 Promo $925.00 Food & Services at the Hoff {Contingency included} Total Amount Proposed: $1000.00 (Initial Questions) Is it cooking or baking? Is this amount a guess of what it would cost? Yes. Have you been in contact with Caf? Yes, initially, once. Thought it was a great idea. (Debate and Discussion) I think this is a cool idea, we played around with ways to get an event in the Hoff – good way to do it. I think this could turn into just cookie decorating, which we’ve done for other events. Maybe shoot for something more unique, actually doing the baking. Health code violations? Probably won’t be cooking food to be served. Any suggestions on what to make? At 8pm? Do you think that would be too late? Still trying to figure out time. Last year caf did sushi rolling event, did it while caf was open. Better to have at dinner time when people are there. They might be able to reserve section. Caf might also want to make sure no students get in without paying. Passed A positive Exposure Chairs: Jess Finkel Date: January 28, 2012 Time: 1:00 – 4:00 Location: Cincinnati Museum Center Estimated Attendance: 80 Event Description: Students will be bused to Cincinnati Museum Center where they will be able to explore the exhibit Positive Exposure. After going through the exhibit, students will engage in a discussion with professors and members from StarfireU. Budget Requested From: Life and Culture Cost Breakdown: Busses Snacks Promo $400 $50 $50 Total Amount Proposed: $500 (Initial Questions) Is Nia contributing from diversity fund? Yes. Total cost of event? Just busing and snacks, asking for 50/50. (Debate and Discussion) Great event, show diversity exists in many different ways. Glad we are working with Nia. Do you think there will be a problem with attendance? We need to look at different cultures that are under-represented and Xavier is passionate about. Speakers at event or at Xavier, may not be best if at event because that is open to the public. Passed Open mic Night Chairs: Matt Morefield and Megan Posge Location: Clocktower Estimated Attendance: 50-75 Budget Requested From: Concert Total Amount Proposed: $200 (food and promo) (Initial Questions) Why doing the same event instead of something creative and new? This one is different, open to all talents. (Debate and Discussion) Open to creativity and let Xavier student showcase skills. Clock Tower may not be good place, not enough exposure. Passed "The Lecture Movie" Date: January 31st, 2012 Event Description: This movie will be played to help promo for our lecture the following week (2/7/12). Budget Requested From: Campus Traditions Total Amount Proposed: $450 (Initial Questions) (Debate and Discussion) Great idea to show movie when speaker comes. A lot of people will like this speaker. It might be difficult to get some people to go, need creative way to get the word out. Passed Sense and Sensibility Tickets Chair: Katie Keller [Life and Culture Committee] Date: Feb. 26th Time: 2pm Location: Cincinnati Shakespeare Company Est. Attendance: 40 Event Description: Fortune lost to fate. Romance lost to folly. When a lack of luck makes for difficult marriage prospects, the Dashwood sisters set sail on the volatile seas of courtship. Both are seeking husbands, but have completely opposite approaches. The sisters soon discover that neither reserved Elinor’s common sense nor impulsive Marianne's passion offer the key to happiness. Scandalous secrets, burning betrayals, and suave (and some not-so-suave) suitors line the path to true love in this fresh adaptation of Sense and Sensibility. We will be bussing 40 students to see the 2pm matinee of Sense and Sensibility downtown at the Cincinnati Shakespeare Company. Cost Breakdown: Item #1 40 tickets for students to see Sense and Sensibility $680.00 Item #2 1 Bus from Peterman $200.00 Item #3 Promotion/ Possibly raffling the book at the ticket sale $75.00 Contingency: $ 20.00 {in case there is a processing fee with the tickets after the group discount} Total Amount Proposed: $975.00 (Initial Questions) Charging for tickets? yes (Debate and Discussion) May be hard to get students to buy tickets for $10. Should consider ticket sales structure. Even if that’s the same price for Wicked tickets, I think there would be people interested in going. Reaching out to English student, would be great. For a play, charging $10 I think there will be at least 40 people who would pay. Passed MAD: Western Country Ranch Date: January 20, 2012 Time: 9pm-1am Location: Gallagher Student Center Estimated Attendance: 500 people Event Description: Muskies After Dark would like to have this event be Western themed. We will be having a mechanical bull, pony hops, a Preston Pugmire performance, antique photos, and crafts with a country theme. A Late Night Movie of 50/50 will be playing in the Theater at 11pm as well. Budget Requested From: Late Night Programming Cost Breakdown: Antique Photos Preston Pugmire Mechanical Bull Raffles Food Pony Hops Bandana craft Keychain craft Texas Hold ‘Em Bingo $1000 $0 $1200 $400 $400 $300 $300 $75 $75 $100 Promo Balloon Contingency Costs $115 $250 $185 Total $5225 (Initial Questions) Friendly amendment – strike $2100 Do we need to worry about more liability to for mechanical bull? Don’t think so. Have we thought about switching up how MAD is stationed, how it is set up? Think that people are attracted to food; our budget for food is low. Friendly amendment $5225. (Debate and Discussion) I’ve heard a lot of whispers MAD is dwindling. If we could focus more on getting people to come. This is a national trend with late night programs. We intentionally spent more money on earlier MADs to get more interest. Will be using new promo ideas. Food from chain restaurants, an idea. Passed Magnets Not Emailed (Initial Questions) Did you know you should move forward without logo? (Debate and Discussion) Each event listed on magnet? Usually committees do it by type of program, but do not want to single out one type of event. How many magnets will that buy? 1000. Think this is a great idea, committee has been doing a great job this year. Maybe just Jan. and Feb. events. Also talked about events changing dates or times, only want scheduled events on. Event will not be included unless space is reserved etc. Should we consider putting big events that will sure happen? Is there a potential to do 2? Yes. Should just be funded by SAC. Passed MAD promo Not Emailed (Initial Questions) Ideas you have? Still brain storming. (Debate and Discussion) Some people really hate country music, probably shouldn’t play it continuously. Any suggestions to alter MAD promo, I will be making (Lauren) talk to me after meeting. Passed Late Night Movie Date: January 19-21, 2011 Time: 11pm Location: GSC Theater Est. Attendance: 400 Event Description: The movie that will be shown will be “50/50”. Budget Requested From: Late Night Programming Cost Breakdown: Movie (50/50) $910 Movie Posters $10 Promo $60 An Awesome Movie with Friends – Priceless Total: $980 (Initial Questions) (Debate and Discussion) Great choice of movies. Some people may not have heard about this movie or are familiar with it. Should contact Relay for life to collaborate, could make this into a bigger thing. Passed Enter Closed executive session Closed executive session ended Associate SACers Not Emailed (Initial Questions) (Debate and Discussion) Passed XIII. Blast from the Past Sugar & Spice: Went pretty well. Were given extra stuff. Final attendance was 173 Mr. Muskie: 262 or more attended. Thanks for helping out. Arianna, you did a really great job on your first event. Best Mr. Muskie so far. Festival of lights: thank you for all who went. Great attendance. XIV. Here and Now Home for the Holiday 6-8pm. Sign up to volunteer. We would really appreciate your help, especially after 7pm. Don’t let event fall in the cracks because it’s the last week of class etc. The reason I (Ryan) wasn’t in meeting earlier is because I was in a Cross-town campout meeting. Start time - campus police will turn people away until the barricades are up. If campus police are there you cannot get inline. XV.
