AUGUST 15, 2011
Present: Interim Dean Connie Foster, Amanda Drost for Deana Groves, Brian

Minutes: The June 13, 2011, minutes were approved as submitted.
Dean’s Report: The next LLC meeting is August 29. Connie gave dates that the
Council will not be meeting: September 5, Labor Day, September 12 –
Consultants, October 10 – Frankfort, November 7 – Frankfort, December 12 –
Frankfort.
-September 6, 6:00 pm is Freshmen Assembly. Representative faculty and
department heads have been asked to attend Freshman Assembly so the students
can see faculty at that time. The deans will carry the flags in; however, the
faculty will not be in a processional, just a group in Diddle. Wear your
library polo shirt or something red or black.
-Connie reviewed procedures for faculty evaluations and staff mid-year
conferences.
-Consultants for the Library external review will be here September 11-14.
-Connie reviewed the schedule for individual meetings:

Thursdays – 1:00 pm Brian Coutts
Kristie Lowry, Jennifer Wilson, Haiwang Yuan and Bryan Carson on an as-needed

-Connie is continuing to explore options for increasing faculty travel
allocations.
-Computer Replacements – DLPS: All staff computers have been replaced
DLSC: A work still in progress
Connie asked that the department heads inform her of any critical needs for
replacing dying or dead computers.
Web & Emerging Technologies: Haiwang reported that migration of Libraries web
site to OU Campus CMS has been going smoothly. The migration is nearing
completion and its launch is scheduled by September 1. He demonstrated the
home page of the website on OU Campus along with the Libraries’ Primo search
option. Led by Interim Dean Connie Foster, the completion of the Primo search
center is also near completion. Eventually, it will replace the search box we
now have on the home page.
-Haiwang reported that with the implementation of CMS, focus will be on the
management of content instead of coding. He suggested that the Web Working
Group be reorganized so that coordinators of each library unit be included.
The coordinators will be responsible for updating the content of the web
pages relating to his or her unit. A coordinator can designate his or her
staff for doing the technical work of updating. Haiwang will coordinate the
efforts. He said he would offer a series of in-depth training sessions on the
use of the new OU Campus CMS system to all Library employees who are
interested in learning it.
Development: Amy is completing the Dollar General Grant mid-year report. Amy
and Kristie will have the report submitted by the end of business August 15,
2011.
-Amy has been in communication with Pearse Lyons at Alltech in Nicholasville,
KY, and at the moment, they are trying to find a time that works for both Dr.
Lyons and President Ransdell to meet to discuss the Horse in Kentucky
exhibit.
-A letter is being sent this week to previous Book Fest sponsors thanking
them for their support, letting them know of the 2012 date, and to a “soft
ask” in terms of sponsorships.
-Amy is submitting a proposal to Smucker’s to sponsor Christmas in Kentucky
and Children’s Day for the next 5 years.
Literary Outreach: Kristie reported that an offer has been made and accepted
for the Literary Outreach Assistant position. Cathi Barth will start on
September 6th. She recently moved to Bowling Green, has experience planning a
children’s literary festival, and administrative office experience. Kristie
will be at the Decatur Book Festival over Labor Day weekend recruiting some
of the 300 authors in attendance for the SOKY Book Fest.
-The SOKY Reads! Louisa May Alcott program will start soon, and Kristie gave
everyone a copy of the program guide. Four different books will be given away
(March by Geraldine Brooks, Little Women, Alternative Alcott, and a biography
of Alcott). There will also be a tie-in to some of the Civil War events
happening around the same time.
-The dates for the Book Fest events have changed since the last LLC meeting.
The new dates are Friday, April 20, 2012, for the Kentucky Writers Conference
and Children’s Day, and Saturday, April 21, 2012, for Book Fest. Confirmed
authors include Patricia Reilly Giff as the Children’s Day headliner and Carl
Hiaasen as one of the Book Fest headliners. Kristie is talking to other
potential headliners for Saturday, and other authors are being confirmed
every day.
-The Kentucky Writers Conference has half of its presenters confirmed at this
time, including Cathy Holton. She will be presenting for Kentucky Live! and
the Writers Conference; she will be an author at Book Fest. Kristie and Brian
Coutts were happy to coordinate her appearances.
Marketing: Jennifer briefed us on WKU Libraries involvement with MASTER Plan.
She discussed the “Where in the World is Big Red?” theme and said each area
that students visit will be a different country. The grand prize drawing will
be a Nook. She also mentioned a one-page insert for the annual report that
will also go in the Collections & Connections. She is asking for only very
significant information from each area that can be put into a nice graphic
bar or pie chart. There will only be space for big highlights from each area.
Regarding the video for WKU Libraries, the committee is meeting this Friday
to take a look at the rough draft for possible viewing at the Library kickoff.
Projects & Grants: The Kentucky Library & Museum has been selected as one of
200 hosts nationwide for the travelling exhibition Lincoln: The Constitution
and the Civil War. The date will be announced at the end of August.
Department Reports:
DLTS: Crystal Bowling finished putting 776 CD-ROMs kept behind the
Circulation desk into the books from which they came and updated the records
in TOPCAT.
-Technology Report (See attachment)
DLPS: Haiwang Yuan, Mike Binder, Eric Fisher and Lynne Ferguson spent three
weeks in China in July on a cultural trip sponsored by the Confucius
Institute. In addition to visiting major tourist attractions in Beijing, they
took classes in popular culture and fine arts.
-A working group consisting of Peggy Wright, Bryan Carson, Amanda Hardin,
Christopher McConnell and Nancy Richey have been planning an innovative
program to introduce this year’s new faculty to library services. UL will
also be represented at this year’s Information Fair by Amanda Hardin and
Jonathan Jeffrey. Both are scheduled for the afternoon of August 15.
-Almost 120 windows have been replaced in the Helm Library. Together with new
lighting it has contributed to a much brighter environment for students and
faculty. Work continues on cleaning the a/c system in both buildings. Work is
also ongoing on new water lines to the Helm building.
-The Spring 2011 issue of Law and Political Science News Section Letter
features an article on “AN LPSS Member to Know: Brian Coutts.” The article
describes Brian’s interest in politics and career as a librarian and
researcher.
-This fall DLPS will launch its twelfth series of public talks in its Far
Away Places series and its ninth series of talks on Kentucky Live! Southern
Culture At Its Best. The talks are sponsored by the Friends of WKU Libraries
and Kentucky Museum and hosted by Barnes & Noble Bookstore. Brian Coutts and
Peggy Wright coordinate the series with help from Haiwang Yuan, Bryan Carson,
David Runner and the Library Technology Office, Daniel Peach and Christopher
McConnell. Talks are held the second and third Thursdays of Sept., Oct.,
Nov., Feb., Mar., and April. Opening speakers in the series include Maggie
Green, author of the Kentucky Fresh Cookbook and owner of The Green Apron on
Thursday, September 8; and Dr. Erin Koch, Medical Anthropologist from the
University of Kentucky, on her research on the Republic of Georgia after the
collapse of the Soviet Union.
-Story of Underwear was the featured review in the Sunday Reader section of
the Daily News on July 31. Brian Coutts reviewed “The Story of Men’s
Underwear” by London College of Fashion and Design professor Shaun Cole,
while Therese Baker reviewed “The Story of Women’s Underwear” by Muriel
Barbier, who teaches decorative arts at the Ecole du Louvre and Shazia
Boucher, who is curator of lace at the Museum of Lace in Calais, France.
-DLPS Retreat -The department will hold its annual retreat on Tuesday, August
23 from 8:30 to 3:30 at the Knicely Convention Center.
DLSC: Construction continues and has extended to connector hallways which
means the Harry Jackson gallery is not usable. Exhibits with Folk Studies and
the Art Departments have been moved to space previously occupied by the
Western 100 exhibit.
-Outstanding opening of Duncan Hines Festival Art Show with about 120 people
attending on Friday, August 12, including tasty food and recipes.

-Technology Report: The Tech Team provided Tech support for vendor demo of
Anatomy & Physiology Online and 3-D anatomy database; WKU IT finally released
access to their Windows 7 image and scheduled training for installing WKU’s
Windows 7 computer images prior to installing the new images; working w/
Student Technology techs to resolve installations issues w/S&P’s Research
Insight on Windows 7 computers; received 3 laptops for grant recipients and
issues w/new 512e hard drives in the laptops have now been dealt w/so we are
currently imaging the laptops and installing needed software; read through
pertinent documentation to prepare for Voyager 8 installation; migrated 110+
computers to new Ex Libris Voyager 8.0.0 clients (Site visits will be made to
both Owensboro and Glasgow campuses to update computers there.)
Dean’s area: swapped out computer for Community Relations Manager; installed
Adobe Design software on iMac and Windows computer for Library Marketing
office, diagnosing problems w/Student Assistant computer hard drive; dealt w/
processing error message on 1 computer.
DLPS: installed all software on computer from WKU IT faculty pool for Mike
Binder’s Helm 202 office and copied data from previous computer in WAB,
resolved conflict between Symantec Endpoint antivirus programs and MS Visual
C++ software on one computer in ILL office, Reference coordinator’s computer
and Access Coordinator’s computer, and one ERC staff computer; replaced
computer in Helm 201 and reinstalled previous software – scanner will need to
be replaced as it will not function with Windows 7; completely re-imaged
Owensboro campus Library information desk computer and reinstalled all
software after major virus infections rendered computer useless; resolved
problems w/ Glasgow campus Library employee-use laptop; dealt w/ monitor
problem at ERC circulation Desk’ worked w/ Student Technology techs to update
and re-image 62 public use/classroom/lab computers in Helm Reference, Helm
108, Gov/Docs, VPAL and VPAL lab – still remaining are instructor computers
in Cravens 100, Cravens 111, Helm 5, public computers in ERC and then site
visits to Glasgow and Owensboro campuses; researching problems w/ the 5
wireless laptops used for patron use in the Library.
DLTS: Resolved conflict between Symantec Endpoint antivirus programs and MS
Visual C++ software on faculty computer; help resolve issue w/access to
Ulrichsweb; participated in quarterly KYVL meeting via conference call –
prepping for new Voyager 8.0.0 migration; replacement formatter was ordered
for networked laser printer in Serials unit; defragmented hard drives and
installed additional RAM that was removed from surplus computers on 6 old
computers used by student assistants to improve computer performance; Josh
has been working on some TopSCHOLAR projects.
DLSC: installed Windows 7 images and all other software on 20 of 25
replacement computers for DLSC staff use, Web and scanning workstation,
Service Desks, multi-users and student assistants – 9 users already had all
their data transferred from old computers and we are scheduling others including the massive data transfer from the old web development and scanning
workstation; discovered hardware issue on one of the hard drives in new Web
development and scanning computer – new hard drive was ordered and received
(2 of the computers not yet imaged are laptops w/a new type of hard drive
technology – 512e - for dealing w/larger storage capacities and this issue
has now been dealt with and we can image the laptops – the other 3 computers
not yet imaged are for public use and we are still dealing with issues
pertaining to public login on those computers); problems downloading Adobe
Master Collection for the Web design and scanning computer were finally
resolved after two weeks by WKU IT techs working through eAcademy techs (due
to the relatively slow network connections in the KB, we are imaging the new
computers and installing software in the Helm building then brining the hard
drive from the KB over to transfer data prior to setting up the computers in
the KB); re-imaged Timothy’s computer w/Windows 7 after computer was rendered
unusable by viruses (Help Desk was unable to resolve issue and we were called
in).
