LIBRARY LEADERSHIP COUNCIL MINUTES APRIL 23, 2012 Present: Interim Dean Connie Foster, Deana Groves, Brian Coutts, Timothy Mullin, Haiwang Yuan, Amy Hardin, Kristie Lowry, Jennifer Wilson, Jan Renusch and guest: John Gottfried. LibAnswers System: John Gottfried gave a PowerPoint presentation on the new LibAnswers System. Discussion of the system followed, and Connie asked John to give the same presentation at the Library Systems Office meeting on Thursday, April 26 at 10:30 am. Minutes: The April 16, 2012, minutes were approved on a motion by Deana Groves and a second by Brian Coutts. Dean’s Report: Connie said that the August 22nd Kick-off plans are for a 2hour presentation with a break in the middle, from 10:00 am-12:00 pm, with some break-out sessions; then it will end with lunch. There will be no afternoon session. -Connie distributed a list of the Campus Library Advisory Committee (see attached). Connie will serve as the chair. The first meeting is Wednesday, May 9 at 11:30 am in Cravens 100. -Connie met with Bryan Russell and others from the PDC. Connie asked the following people to serve as the official study group for the 4th floor Info Commons renovations: John Bowers; Crystal Bowling; Bryan Carson; Brian Coutts; Eric Fisher; John Gottfried; and Rosemary Meszaros. Connie, Crystal, and Eric are working on the displays for student feedback coming soon to Reference and Cravens 4 areas. -The student art installations start tomorrow after 3:00 pm. Web & Emerging Technologies: Haiwang reported that he has added Google Analytics to the Web site of the Owensboro Regional Center Library as requested. The other sites that have Google Analytics code installed include the Reference page and the Elizabethtown, Radcliff, and Ft. Knox Regional Center Library besides the Libraries’ Web site. -Haiwang has uploaded to Flickr the photos he took of the SOKY Book Fest event taking place on Saturday. He will upload the photos taken by Jennifer and Daniel Peach when he gets them. -The Meebo Instant Message interface problem will be resolved with its replacement by the LibAnswers service as John Gottfried demonstrated at the meeting. Development: As Amy had to leave the meeting early, Connie reported that Amy offered congratulations to all who made Book Fest 2012 such a success!! Amy spoke with Jim Johnson’s representatives at the Book Fest, and they were pleased with the event. She thanked them for their continued sponsorship and believes that we will have a long relationship with them on this event. Amy will need numbers for Children’s Day and Book Fest to provide to the sponsors. They will want to know this information for annual reporting. Also, the Bowling Green CVB has requested information regarding where we booked hotel rooms for the authors. Dollar General did come through with a $25,000 lead sponsorship gift! Mid-year reporting will take place for the Dollar General grant in October. -Amy’s focus now is Christmas in Kentucky sponsorships as corporations will be making fiscal year decisions soon. Community Outreach: Kristie reported that the Book Fest weekend went well. Sales were about $5000 below what Barnes & Noble had hoped for as they close out their fiscal year; however, Kristie felt that the Book Fest account would be in good shape since less money was spent than in previous years. There was some discussion about what went well and what changes could be made for 2013. The feedback from the authors in attendance was overwhelmingly positive, and Kristie talked to Heather Graham on Saturday night and asked for constructive criticism, but Heather had none to offer. She indicated that everything was very well run and she wouldn’t change a thing. Headliners are still being sought for the 2013 event, and the partners plan to reduce the number of self-published authors at the event. -Kristie reported that she had some ideas for Development and Grants that she’ll be working on with Amy and with Sandy. They plan to apply for a South Arts grant to use in conjunction with the SOKY Reads! author visit this fall, and they will be applying for the Arbuthnot Award which would bring a children’s author to the area in the spring. Marketing: Jennifer mentioned the 500 Reference Guides for summer should be ready by next week. Once they are printed, updates can begin for the fall semester for another order. -Jennifer met with Tori Henninger who works in Alumni Relations but serves in a student affairs capacity. She suggested the Libraries have a table on Monday night of MASTER Plan and offer a display, perhaps promoting our movies and music in the VPAL, and give students a coupon to win a prize if they come to the library and check out a movie. Her words of wisdom in working with students: “Don’t expect students to come to you; go to them. For example, if you are doing a survey, go outside in their walking path.” -Jennifer mentioned an idea presented to her from Tammera Race for personal librarians. She had a link to these trading cards with covers looking like a magazine cover with the librarian on the front or a comic strip cover, etc. The cards were fun and engaging to encourage students to call on librarians for major specific areas. -Promotion for the library survey is on digital screens, sliders, ads, posters and Bryan has lined up stations to get opinions. -Jennifer will be getting out a press release this week on the Kentucky Literary Award. Brian Coutts asked if we would be doing t-shirt orders soon and encouraged a different color this year, perhaps in neon. Grants & Projects: Bryan was not present, but submitted a written report. The library survey is set to go and is linked from the web page. An official WKU email was sent to all faculty, staff, and students. Bryan is still finding people to fill recruitment slots, but will conduct the survey in as many locations as possible. Target locations for survey recruitment are Cravens 4, Helm 1, the plaza between Helm and the Fine Arts Center, Garrett Food Court, Downing University Center, and Tower Food Court (adjacent to Pearce Ford Tower). Recruiters will be used Monday – Thursday from 11 to 1. Bryan wishes to thank the members of the survey committee: Uma Doraiswamy, Allison Andrews, John Gottfried, and Jennifer Wilson. He also wishes to thank Jennifer and Daniel Peach for the PR effort, and Haiwang for putting the survey on the website. -Bryan is also working on a 3-page concept paper for the QEP process. Nancy Richey helped by editing and making sure that Special Collections was represented in the concept paper. The proposal is due April 27. Department Reports: DLPS: Brian reported that Jack Montgomery has arranged for a trainer from Coutts Library Services to do a workshop on MyiLibrary, their new electronic books platform, at 2:00 pm today. Following the workshop bibliographers will receive passwords and begin ordering electronic books. The goal is for every selector to order at least one e-book this FY. Jack has also asked Coutts to consider extending our “approval slip program” until we have time to transition to the new Oasis system. -Brian will give his annual workshop on the “Best Reference Sources of 2011” at 10:00 am in Helm 5. A reception will follow in Helm 201. -Travel writer Gary West gave an animated presentation on the research for his recent Kentucky themed travel and sports books, a Kentucky Live! event, at Barnes & Noble Bookstore on Thursday, April 19 at 7:00 pm. He noted that he had covered the themes dear to all Kentuckians: food, shopping and basketball. Following his presentation he signed copies of his newest books. -The ECR Committee approved the following new subscriptions at its April meeting: The Vogue Archive, which includes every issue and every page of Vogue, one of the nation’s leading style magazines since 1892. It includes more than 400,000 pages in full color; Primal Pictures Anatomy, software which provides over 5,000 3D anatomical structures, clinical slides, dissections, and more; and Best American Comics, a print annual of the best comics of the past year. The committee also approved a revised online request form. - The department celebrated National Library Week with a luncheon, meeting and reception at the Glasgow Campus Library on Wednesday, April 18. -Therese Baker reports that new high definition TVs and CD players, including our first blu-ray player, have recently been installed along with new sound equipment and earphones in the Lila Green Listening Area in the VPAL. -Kath Pennavaria and Rosemary Meszaros gave a presentation comparing two popular genealogical databases at the KLA Academic & Special Libraries Section Spring Conference (April 10-13). DLSC: Timothy mentioned that the March/April NEH bi-monthly magazine Curio included mention of Jonathan Jeffrey’s article “Grave Houses” published in Kentucky Humanities fall issue. -Nancy Richey has a chapter in recently published Preserving on issues with saving local history. -State Folk Life Archives is being transferred from Kentucky Historical Society to the Special Collections Library. The move is in process. DLTS: The last Java City noontime concert will be this Tuesday, April 24th. This series has functioned for 10 years. The committee will be disbanded at the end of this semester. -Tammera Race attended the Joint Meeting of KLA Academic/Special Libraries & KY Chapter of SLA conference at Lake Cumberland State Resort Park, Jamestown, KY. -Nelda Sims finished loading the MARCIVE authority project records, and Deana will be doing the final testing today. Full cataloging production will resume tomorrow morning. -Technology Highlights: The Library Systems Office provided tech support for KY Live speaker event at Barnes & Noble. DLPS: installed two software packages for research needs on one faculty computer DLTS: installed all necessary software on FP replacement computer for TOPCAT Systems Coordinator Systems: David worked through OCLC and TDNet to resolve citation forwarding problem from Web of Science for our ILL online form; Josh worked on a TDNet report, updated DLTS Stats report, began work on a KULS report; continued updates to library AD lists -Library Public Computers: Connie distributed Statistics Lists for Helm and Cravens libraries’ public computers use for review and discussion. The date range was January 30 through April 14. It was noted that the lists did not include DLSC or the regional campus libraries. -Connie reminded the department heads to submit their “staffing needs/wish lists”.
