SHARING THE FAITH
Welcome to a new year at Sts. Martha and Mary School.
We are a learning community working together to
ensure the success of our students. We hope that you
will take advantage of every opportunity to be part of
this school, bringing to it all of your energies, talents,
and interests.
The staff of Sts. Martha and Mary School look
forward to working together in the development of the
spiritual growth of our school community.
This is accomplished through:
• being Christian to one another in our
interactions with students, parents and fellow
staff members;
• every aspect of the curriculum being taught in
light of our Gospel;
• regular celebration of Eucharistic values and
liturgies;
• priest’s visits to classrooms;
• participation in the sacraments of Reconciliation,
Eucharist and Confirmation.
This handbook has been prepared so that you may
become familiar with our school’s organization,
policies, procedures and services. We require that
students and parents sign the appropriate area at the
beginning of this section to indicate that they have
read the contents of this handbook.
We encourage all our students to become lifelong
learners and to take responsibility for their learning. If
this book is used consistently, it will help you to become
an organized, effective learner.
We assist our parish priests in preparing students for
the Sacraments of:

Now as they went on their way, He entered a certain
village where a woman named Martha welcomed Him
into her home. She had a sister named Mary, who sat
at the Lord’s feet and listened to what He was saying.
But Martha was distracted by her many tasks; so she

VISITORS
We would like to meet and greet our visitors. We
request all visitors, including parents and former
students, to check in at the main office before
proceeding to any school area. You will be required
to sign our visitor book and obtain a visitor pass.
If you bring a forgotten lunch or book to school, we
request that you leave it at the school office. Parents
and/or visitors are not to escort student to classroom.
TRESPASS TO PROPERTY ACT
The intent of this provincial legislation is to clarify
the rights and responsibilities of both occupant and
visitor. Visitors to the school building are expected to
exhibit the same courtesy one would expect from a
caller to a private home. The onus is on the visitor to
ascertain any restrictions which apply with respect to
use of school grounds. Hazardous conduct or wilful
damage is an offence subject to prosecution under the
Provincial Trespass Act.

STUDENT SAFETY
Safety of children is a priority for all school
communities. Our school participates in several
activities and programs to assist in creating a safe
environment for children to learn, to develop and to
grow.
Some of the activities that we use include:

– Emergency Evacuations, Lock Down Drills,
and Fire Drills
– Public Health Services
– Peace Pals
– Safe Arrival

PARENT RESPONSIBILITIES
Parents play an important role in the education
of their children and have a responsibility to support the
efforts of school staff in maintaining a safe and
respectful learning environment for all students by:
 attending to their child’s physical and
 emotional well-being;
 showing an active interest in their child’s
 school work and progress;
 communicating regularly with the school;
 helping their child be neat, appropriately
 dressed and prepared for school;
Although these activities assist in making the school
environment as safe as possible, the school and
playground are not always risk free. It is everyone's
responsibility to teach safety practices to our children.
Parents share this responsibility with teachers, the
police and fire department, and other community
service agencies.

FIRE EVACUATION PROCEDURES
A school-wide fire drill will be conducted in September
following prior notice to staff and students. Subsequent
drills will be held without notice until the evacuation is
carried out smoothly. (By law, there must be fire drills
at least three times in the Fall term, and once in each
remaining term).
C. EVACUATION
If an emergency required the total evacuation of the
school population, students and teachers would walk
to: 1) Sts. Martha & Mary Church; or 2)
Burnhamthorpe Community Centre.
The nature of the emergency may affect more than
one school in a neighbourhood or region. In this event
we would receive direction from the Peel Regional
Police.
Parents would be informed as soon as possible as to
the safety and whereabouts of their children.
EMERGENCY PROCEDURES
A. INCLEMENT WEATHER PROCEDURES
There are two different situations which dictate the use
of such a procedure.
1. The first is where transportation is cancelled
due to poor weather conditions. This normally
occurs before school begins in the morning
and this decision will be announced by the

REPORTING ABSENCES OR LATENESS
Regular and punctual attendance is an influential
factor for a student’s success at school. Absenteeism
is a concern for both school and home. To help
alleviate anxiety over pupil safety, we ask that you
please inform the school, if your child is going to be
absent:
1. Telephone the school’s answering service at 905624-9625 (and press 1 for attendance) before 9:00
a.m. and provide the following information:
i) your child’s first and last name (please
spell last name);
ii) grade and teacher’s name;
iii) the reason for absence (please be
specific);
iv) the duration of absence (full day or half
day);
2. Send a note to your child's teacher via a brother,
sister or neighbour.
If the absence has not been reported, we will attempt
to contact you either at home or at work.
If no note was given to the teacher regarding the
specific reason for the absence, one should be
provided upon the child's return. It is necessary that
you communicate the specific illness to the school
when providing notification of the absence.(i.e. fever,
flu, cold, etc.)
LATENESS: All students are expected to be in
school everyday by 9:00 am and 1:00 pm. Students
who are late for any reason must report to the office.
Persistent lateness will result in disciplinary action.
Regular attendance on the part of students is vital to
the process of learning. Students who habitually miss
class will suffer in the evaluation process because
their participation and achievement cannot be fully
assessed.
Our school board is the Dufferin-Peel Catholic
District School Board.
If bus transportation is cancelled in the morning, it
also follows that children WILL NOT be picked up
after school at the end of the day. If you drive your
child to school on the day that transportation is
cancelled, it is then your responsibility to pick your
child up at the end of the day.
2. When only transportation services are
cancelled, the school remains open and it is
the responsibility of the parent to determine
whether or not it is safe for a student to
attend school with the parents providing the
transportation.
3. A second situation occurs where the
school is closed during the day before 3:30
p.m. due to deteriorating weather conditions.
It is then the responsibility of the Dufferin-Peel
Catholic District School Board and school
personnel to make emergency arrangements with
the safety of the students being the prime
consideration. If the school is closed early, bus
students will be sent home as soon as buses arrive at
the school. If deteriorating conditions require an
early school dismissal, please be certain that your
child has a plan to observe. (i.e. go to neighbour,
sitter etc.).
PICKING UP STUDENTS
If you are picking up your child at school, we ask that
you report to the office and sign your child out or
meet them outside in the designated areas. If you
intend to send someone else to pick up your children,
please inform the classroom teacher. It is school
policy that parents do not meet students in school
hallways or at classroom doors.
B. EMERGENCY FORMS
Each year we ask you to complete school emergency
forms.
IT IS URGENT THAT THESE FORMS BE
ACCURATE AND CURRENT.

EARLY DISMISSAL
If a student must be released from school early, a note,
signed by the parent/guardian, must be sent to the
teacher. No child will be released to an adult without
parental consent. All parents/guardians must report to
the office upon arrival. The secretary will arrange for
the child to come to the office.
STUDENT RESPONSIBILITIES
LEARNING MATERIALS AND TEXTBOOKS
Students who lose, fail to return, or damage school
equipment (i.e. library books, textbooks, musical
instruments, etc.) will be required to pay for
replacement or damage.
CHILD ABUSE
The Board has a Policy based on the Child & Family
Services Act (1985) concerning child abuse.
REPORT TO CHILDREN’S AID SOCIETY:
If suspicion of child abuse appears reasonable, the
teacher or other Board employee whose suspicions were
aroused must notify the Children’s Aid Society as soon
as possible or ensure that the Children’s Aid Society has
been notified by the teacher’s agent (the Principal or
designate).
CLASSROOM EXPECTATIONS
The teachers at Sts. Martha and Mary School believe
that every student wishes to be a successful learner.
In order to bring about this success, each teacher
develops an appropriate learning climate according to
his or her subject discipline and teaching practices.
The teacher’s expectations and regulations are
explained to students in the first few days of class.
Students are then required to follow the rules.
IN-CLASS EXPECTATIONS
1. Students learn best when prepared for class. Each
must have the required materials with them prior to
the start of the school day.
2. All students are expected to be polite to all
teachers, staff, fellow students and visitors to the
school.
COMMUNICABLE DISEASES
When there is reason to suspect the existence of a
contagious disease in the school, it is the duty of the
school to report it promptly to the Board and to the
Municipal Health Officer. The school may refuse
admission to any person who is believed to be infected
with a communicable disease requiring quarantine.
Before returning to school, a person who has been
infected with a contagious disease will be required to
produce a doctor's certificate stating that the individual
is able to return to school.
Although not a communicable disease, pediculosis
(HEAD LICE) is a concern to parents and teachers.
Each year it is common for outbreaks of pediculosis to
occur. If a case of lice is found at school, we inform
parents by way of a special letter.
Even if cases are not reported from the school, it is a
wise precaution to check your child's head
occasionally.
Teach your children not to put on other people's hats or
scarves, even when playing. Teach them not to use other
people's combs or hair brushes.

We are proud of the effort our students put into their
school work. Your support in encouraging your child
to set personal goals for learning and to strive to reach
and surpass those goals is invaluable.
RESPECT AND APPRECIATION OF OTHERS:
An on-going goal at our school focuses on
encouraging our students to show respect for each
other and to engage in responsible decision making.
PEACE ON THE PLAYGROUND:
Students who find themselves in disagreement with
another student or students are expected to use
peaceful problem solving strategies, including:
- telling the other person what the concern is in a
quiet, respectful voice;
- asking the person to stop doing whatever it is;
- leaving the immediate presence of the other
person;
- asking the teacher on duty for assistance.
Students are also reminded that:
- snowballs are not permitted;
- horseplay, play fighting or pushing are not
allowed;
- students are to finish their snacks or lunch in
the school building;
- trading or buying of game cards is not
allowed.
IMMUNIZATION
IMMUNIZATION
MANDATORY
OF SCHOOL
CHILDREN:
In June 1982, an act was passed making it mandatory for
all school pupils up to their 18th birthday to be
immunized against Diphtheria, Measles, Mumps,
Poliomyelitis, Rubella, Tetanus.
As part of our registration procedure, we request an
immunization record for each child in co-operation with
the Peel Regional Health Unit.
Immunization clinics are held in the school under the
jurisdiction of the Department of Health.
PUBLIC HEALTH UNIT
The Health Unit provides service in dental screening.

• special education resource consultants.
HOMEWORK
Homework covers a wide range of tasks and activities,
and it also serves many purposes:
– reinforces skills and concepts taught during
class time;
– helps students to develop self-discipline and
self-motivation;
– allows students to gain experience in
research techniques;
– provides an opportunity for students to
develop study habits, including organization
of time and materials;
– is a vehicle of communication between home
and school.
WARM WEATHER DRESS CODE
Preferably boys should wear full-length T-shirts with
sleeves. Girls are not to wear anything strapless or
have bare midriffs. Spaghetti straps, tank tops and
crop tops are not acceptable. Shirts with
inappropriate messages or pictures are not permitted
at school. Please ensure that shorts are of a modest
length (no short skirts, shorts or cut-off jeans). Flipflops are not permitted for safety reasons. If students
do not adhere to these guidelines, parents will be
called and/or alternative attire will be provided.
REPORTING AND EVALUATION
Each student from Senior Kindergarten to Grade 8 will
receive a formal, written evaluation of their progress
during the year.
Parents are encouraged to contact their child's teacher at
any time for a review of a child’s overall progress.
Assessment is necessary to accumulate a realistic picture
of each child’s potential and level of achievement.
Students will be assessed on many aspects of their
school performance, including class work, home
assignments, essays, projects and contribution to school
life. Teacher observation, formal and informal testing
and standardized testing are also used to assess student
progress.
STUDENT PARTICIPATION IN
SPECIAL EVENTS AND ACTIVITIES
In order to be allowed to participate in any special
event or activity which represents the school or
student body in any way, all students must maintain
good behaviour and academic standing appropriate to
their abilities. Failure to do so may result in their
removal from such activities. This decision will be
the responsibility of the teacher supervising the
activity and the Principal.
SPECIAL SERVICES
Every effort is made to provide programs and services to
support children with exceptionalities in the regular
class setting.
We believe that children with
exceptionalities should:
• receive appropriate special education
programs and services;
• have access to the most enabling setting that
will meet their needs;
• have opportunities to interact with their peers,
to enjoy the life of the school and to participate
in local community activities.
As parents, you are most aware of your child’s strengths
and needs. You are invited to discuss these strengths
and needs with your child’s teacher. Your child’s needs
determine whether he/she will be considered for special
education assistance. Open discussion with teachers,
principal, and/or the school team are the first step in
coming to a shared understanding of your child’s
strengths and needs. Preliminary discussions may result
in a request by you or the school team for a full
educational assessment that may include psychoeducational testing, which requires your written
permission. Assessment information is discussed at a
case conference. The results may indicate a need for
special education assistance and, where this is the case,
you and/or the principal may call an I.P.R.C.
(Identification, Placement and Review Committee) to
consider your child’s appropriate identification and
LUNCH POLICY
In the interest of the safety of your children, no
students will be allowed to leave school property at
lunch hour unless they have a note of permission.
This written request must be signed by the parent and
dated for each occurrence. Students displaying
inappropriate behaviour during lunch may lose their
privilege to stay at school for lunch.
LUNCH ROOM
Students are expected to consume food and beverages
in the lunch rooms and follow the expectations below.

LUNCHTIME EXPECTATIONS:
Be seated during lunch.
Eat in a quiet and orderly manner.
Dispose of any litter in the garbage at the end
of the lunch period. (Litterless lunches are
encouraged.)
Line up in single file for dismissal.
Wait to be dismissed by the teacher on duty.
Leave the school building by the assigned
exit and remain on the school grounds.
Do not enter the school unless given
permission or using a pass card.
During indoor recess, please ensure that you
are busy with an activity.

Students must respect the property of other
classrooms during lunch.

Remain on school property during the school
day, including lunch, unless written permission
has been given and approved by staff.
If expectations are not followed, a student may
be required to eat lunch at home.
BUS SAFETY/CONSEQUENCES:
The following is an excerpt from Board Policy
regarding inappropriate behaviour on the bus.
When inappropriate behaviour is reported:
1. On the first occasion, the Principal/Vice- Principal
or teacher may speak to the pupil.
2. On the second occasion, a letter or phone call is to
be made to the parents.
3. On the third occasion, the Principal/Vice- Principal
may restrict bus privileges.
4. Depending on the event, a student may lose bus
privileges upon the first incident of inappropriate
behaviour.
BICYCLES / SCOOTERS /
ROLLER BLADES AND SKATEBOARDS
Students who ride bicycles/scooters/roller blades or
skateboards to school must obey the following rules:
1. Walk the bicycle / scooter / skateboard or remove
roller blades on school property at all times.
2. Place scooter / skateboard / roller blades in a safe
location and lock bicycle in the bicycle parking area
upon arrival at school and leave it in that location until
returning home.
3. Obey all bicycle safety rules. We strongly urge
each parent to procure a lock for the bicycle and a
helmet for their child. The school cannot accept
responsibility for loss of, or damage to, bicycles.
Cyclists must always ride single file with the traffic
when they are on the road and they must know and
follow the rules of the road.
MISUSE OF COMPUTERS
The school’s computers are available for students’ use
during school hours. Most of the computers are
networked to a central file server where school,
teacher, pupil and Board files are stored. Students
must only use programs that have been approved by
the teacher. For each student’s and teacher’s
protection, they are issued their own password that
allows access to their own files and teacher approved
files. Students may not enter another student’s or
teacher’s files. Students who deliberately enter, or
attempt to enter, another student’s or teacher’s files
may be suspended. Students who deliberately destroy
or alter files may be suspended. Students who enter or
attempt to enter files or web sites that have not been
approved by the teacher will lose their computer
privileges for a period of time. The student may also
be disciplined up to and including suspension if they
enter, or attempt to enter, web sites that are clearly not
of a Catholic nature.
Disciplinary action may also follow for hate-related or
threatening emails, or chat-line conversations that
directly impact upon another student, teacher or the
moral tone of the school.
If a computer is damaged due to misuse or deliberate
use of, or downloading of software that is infected
with a virus, the student and his/her parents are
responsible for the cost of repairing or replacing the
computer hardware and/or software.
Please refer to and sign the Network Use Application
and Agreement in this agenda.
PERSONAL ELECTRONIC DEVICES
(PEDS) ON SCHOOL PROPERTY
As part of our efforts to promote and maintain a positive
Catholic climate in our schools, we are required to
implement the board approved policy regarding Personal
Electronic Devices (PEDs) on school property. In this
regard, all PEDs must be kept out of sight, turned off
and not used within school premises or during schoolsanctioned activities. Students in intermediate grades
are to keep PEDs in school locker. To prevent the loss
or damage of PEDs, we encourage students to leave
their PEDs at home as the school cannot be responsible
for their safe keeping.
BUS SAFETY RULES
For safety, students are expected to respect the following
rules:
1. Stand in the assigned bus line quietly.
2. Board bus (without pushing and shoving), when
directed by the supervising teacher and bus patrollers.
3. Remain seated while the bus is moving and keep head
and arms inside the window.
4. Talk quietly.
5. Do not eat or drink on the bus, or while waiting in
line to board the bus.
6. Obey the bus driver and/or bus patroller.
7. Cross the street in front of the bus and at the
appropriate area.
8. No trespassing on private property when arriving at
the bus stop/waiting for the bus or when returning home.
9. Walkers are requested to use sidewalks, paths and
bridges when appropriate.
Transportation on the bus is a privilege and may be
revoked for inappropriate behaviour.
GENERAL INFORMATION
USE OF THE OFFICE TELEPHONE
The school telephones are used for business and are in
constant demand. With the exception of emergencies,
the office will not call students out of class to come to
the phone.
LIBRARY
It is very important that our students learn how to
access and use resources and manage information.
Our library is open for classes during the school day
and for general student use at other times. The school
resource centre provides students with a wide range of

instructional materials. Students are assisted in the use
of all forms of media and are encouraged to use print,
non-print, computers and human resources in our
school, our community and beyond.
ILLNESS OR ACCIDENT AT SCHOOL
In the event that your child becomes ill or is injured at
school, our procedures are as follows:
1. Notify parents at home or work to pick up
their child at school and see the child
safely home.
2. In the event a parent cannot be reached by
telephone, we attempt to contact the
emergency number we requested from all
families. We will then place your child in the
care of this person. The child should not
remain in the office all day since there is no
one to nurse or care for him/her.
3. A major incident requires immediate action.
4. Under no circumstances will a child be able to
go home without prior parental approval.
LOST AND FOUND
Frequently items are mislaid. If the items are labelled
with names, it greatly assists in their speedy return. A
lost and found box is kept in the stairwell near the
northwest exit doors, and we encourage students and
parents to check this box if something has been
misplaced. Smaller items, such as keys, jewellery and
glasses, are kept in the office. At the end of each term,
unclaimed items are donated to charitable organizations.
SCHOOL ENTRY
Please ensure that your child does not arrive at school
prior to 8:45 a.m. Supervision begins at 8:45 a.m.
If your child is feeling ill in the morning prior to
going to school, please make arrangements for
him/her to be cared for at home or at a sitter’s. Please
do not send your child back to school until they are
well enough to go outside for recess and participate
actively in school.
Our school days are very
productive and require a healthy energy level. It is
sometimes necessary to call a parent from work to
come for a sick child. Please give precedence to your
child’s health and comfort.
RECESS POLICY
Under ordinary circumstances, children who come to
school are expected to participate fully in the school
program. This includes taking recess breaks with the
class. The recess break is vital for younger children and
fresh air is not likely to worsen a mild cold, if the child
is dressed properly. If the cold or illness is severe, we
respectfully suggest that the child not be sent to school.
In the event of severe inclement weather conditions
(-25ºC or lower), all the children are kept indoors.
ACCIDENT INSURANCE
The Dufferin-Peel C.D.S. Board has arranged for a
low-cost accident insurance coverage. Participation in
the plan is entirely optional. Forms are distributed in
September to all children. Parents may send the
completed forms directly to the Insurance Company if
they wish the coverage.
EXCURSIONS AND FIELD TRIPS
This year, your son or daughter may have the
opportunity to participate in field trips.
Prior to these events, permission forms will be sent
home. It is important that these forms be filled out,
signed and returned to school.
NO STUDENT WILL BE ALLOWED ON ANY TRIP

Sts. Martha and Mary SCHOOL COUNCIL
School councils are advisory bodies established in
every Dufferin-Peel school. The mandate of the
council shall be to provide advice to the school
Principal or Board on matters such as:
• school code of student behaviour;
• the response of the school or school board to
achievement in provincial and board
assessment programs;
• school budget priorities, including local capital
improvement plans;
• curriculum and program goals and priorities;
• development, implementation and review of
board policies at the local level.
The membership of the Council is as follows:
Elected members: Parents (majority), teachers, nonteachers
Appointed members: Principal, parish and
community representatives
How does the school council function?
• equal participants in the business conducted
• parents form the majority
• all councils are open to the school community.
MEDICATION FOR STUDENTS
From time to time, the school is asked to store and/or
give medication to students.
Board Policy (502.8 Request For The Storage And
Distribution Of Medication Notice To Parents) states:
1. A completed form must accompany each
request for medication to be stored and
given out by school personnel. It is the
prerogative of the Principal to decide whether or
not medication will be stored or given out
and may establish such conditions as they
deem necessary regarding any specific
request of a parent.
2. School personnel will not assume
responsibility for the administration of any
medication.
3. It is the responsibility of the parent/guardian
to monitor the quantity stored by the school.

Apostle’s Creed
I believe in God, the Father Almighty,
Creator of heaven and earth, and in Jesus Christ,
His only Son, our Lord, who was conceived by the
Holy Spirit, born of the Virgin Mary, suffered
under Pontius Pilate, was crucified, died, and was
buried; He descended into hell; on the third day
He rose again from the dead; He ascended into
heaven, and is seated at the right hand of God the
Father almighty; from there He will come to judge
the living and the dead.
I believe in the Holy Spirit, the holy catholic

The Lord’s Prayer

Prayer for Peace
P – Deliver us, Lord, from every evil, and grant us
peace in our day. In your mercy keep us free
from sin and protect us from all anxiety as we
wait in joyful hope for the coming of our Saviour,
Jesus Christ.

Eucharistic Prayer

All kneel…fold you hands, and reverently
prepare to help the priest pray with Jesus to
God our Father. The priest will choose one of
the four different Eucharistic Prayers. Each
one uses the same words of Consecration:
P – Take this, all of you and eat it: this is my body
which will be given up for you.
When the priest elevates the consecrated Host,
we venerate it silently with the prayer doubting
Thomas:
A – Silently…My Lord and my God!
P – Take this, all of you and drink from it: this is the cup
of my blood, the blood of the new and everlasting
Covenant. It will be shed for you and for all, so that
sins may be forgiven. Do this in memory of me.
P – Let us proclaim the mystery of faith.
A – We proclaim your Death, O Lord, and profess
your Resurrection until you come again.
