SUBJECT:
RECORDING CONFIDENTIAL INFORMATION IN FLAIR
In order to protect confidential information that is recorded in FLAIR, the Chief Financial Officer is
implementing a new data entry requirement for the Purchasing Card Module. Effective June 1, 2010,
confidential information as defined in Section 119.071, Florida Statutes, may only be entered into the
following fields in the Purchasing Card Module:
FLAIR Field Name
Vendor ID
Sub-Vendor ID
Other Vendor ID
Social Security Number
Account ID
Type of Confidential Information
Social Security Number
Social Security Number
Social Security Number
Social Security Number
Credit Card Number
The entry of confidential data into any other Purchasing Card Module data field is prohibited.
The Division is currently updating the State Expenditure Guide and Purchasing Card Administrator’s
Manual to reflect this requirement and will distribute an agency addressed memorandum when the
revised documents are available for circulation.
Please note that a CFO memorandum will also be released to address confidential information in
Departmental FLAIR in the near future.
