POST PROFILE Role: Academy Administrator Reporting to: Academy Administration Manager Grade C+ – NJC salary point 16 – 18, £17,139 - £17,891 per annum FULL Salary Grade: TIME EQUIVALENT – Actual Salary £15,635 - £16,321 per annum Full Time/FTE: Full Time, Term Time Only plus 15 days basis 37 Hours per week (9.00 – 5.00 Mon – Thurs, 9.00 – 4.30 Fri) with some Hours of Work: flexibility of hours to meet specific work demands. Purpose of Job/Job Summary The role of the Academy Administrator is essential to the smooth operation of the Academy. A large proportion of the role will be completed within our Sixth Form and you will ensure that specific administrative processes within the Sixth Form are carried out in a timely and accurate manner. Key Tasks/Principal Accountabilities: 1 2 3 4 5 6 7 8 Ensuring the smooth administrative operation within the 6th form and main academy (where appropriate). Co-ordination of all Sixth Form administration, which includes but is not exclusive to: a. UCAS/UNIFROG references b. Bursary procedures as and when applicable c. Support the Head of Sixth Form, with the production of Sixth Form Course Directory d. Sixth Form ‘enrichment’ administration Administer Pastoral documentation (as required) such as: a. Organise student folders b. Type up file notes c. Arrange relevant meetings Managing the administration for Assessments, which entails; the manipulation of spreadsheets and the production of relevant paperwork. Ensure all attendance procedures are adhered to, including: a. Collation of spreadsheets and production of associated reports b. Ensuring all data is accurate and timely c. Production of relevant administration such as 100% attendance awards Provide administration for the Assistant Vice Principal Data/KS5, Head and Assistant Head of the Sixth Form as and when required including: a. Some diary management b. Photocopying or preparation of files c. Catering arrangements for Sixth Form Meetings Under the instruction of the Academy Administration Manager, co-ordinate meetings and events for the sixth form including: a. Some ‘out of hours’ events, such as Parent Review Evenings. b. Organise Sixth Form NHS Work Experience c. Organise Y12 ‘Mock’ Interviews events To cover Main Academy and/or Sixth Form Reception as appropriate. Any other relevant tasks as required by the Assistant Vice Principal Data/KS5 and Head of Sixth Form and pastoral team. Key Competencies/Attributes: Education/Training: Specific Skills/Knowledge: Personal Attributes: Essential Minimum GCSE grade C (or equivalent) in Maths and English. Prior administration/clerical experience Strong verbal and written communication skills. Familiarity with business software such as Microsoft Office. A high level of confidentiality. Excellent interpersonal skills. Enjoy working with people. Good level of diplomacy. The ability to work as part of a team but also on your own initiative (when required). The ability to work accurately, with attention to detail. Desirable A knowledge of the workings of an Educational Establishment (especially at Key Stage 5) Full training will be provided The flexibility and willingness to learn and potentially take additional training.
