POSITION DESCRIPTION TITLE: FLSA STATUS: Coordinator, Student Affairs Exempt CATEGORY: GRADE: Professional C JOB SUMMARY: Manage student issues referred to the office of the Vice President of Student Services. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 35% 1. Assist in the dispute resolution by assisting students in resolving institutional conflicts including the following areas: Admissions, Center for Student with Disabilities, Counseling, Registrar, Student Financial Services and Veterans Affairs, Testing, and Tuitions; assist students with conflict resolution of business holds, counselor holds, admissions holds, withdrawals, refunds, petitions, academic and financial aid probation and suspensions and other related matters; research and follow-up on all student /faculty related issues; provide guidance to students with the registration and petition process and facilitate with accessing college services. 2. Manage sensitive and confidential student and employee related issues/grievances referred to the office of the Vice President of Student Services. Serve as the initial point of contact with students in issue resolution maintaining a broad latitude on decision making, based on the general guidelines provided by the Vice President of Student Services. 25% 3. Systematically organize, record, and follow up with all student related accounts. Facilitate the program management of this office; provide an accurate assessment of issues, regulate the necessary steps to assist the student in resolving the issue, determine which need the intervention of the Vice President. 20% 4. Manage activities requiring contract with college personnel within and out of Student Services; extensive contact is made with high-level executives from internal and external work units, and the general public; maintain a close and highly responsive relationship with these internal college and external work units; work closely with student services directors in forwarding tasks, setting suspense dates and provide clarification of forwarded information or directive for the Vice President of Student Services; follow up and follow through with all suspended items; perform complex technical and confidential administrative support including researching, compiling and preparing information for presentations to the Leadership Team and other internal and external units; oversee all coordination of special projects and activities, planning, preparation and coordination of special meetings, workshops and conference providing updates and/or recommendations to the Vice President; respond to inquiries that concern student disciplinary issues and other student 20% Effective: 9/1/03 Page 1 of 2 services related matters. REPORTING RELATIONSHIP: Vice President of Student Services. SUPERVISORY RESPONSIBILITIES: Direct supervision as a first-line supervisor to staff assigned. ESSENTIAL QUALIFICATIONS: EDUCATION: Bachelor’s degree. EXPERIENCE: Five (5) years experience. SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Excellent interpersonal skills; effective skills in understanding, listening, and negotiating; effective verbal and written communication skills; ability to make independent decisions and sound judgment. 2. Equipment Used: Personal Computer and other equipment associated with an office environment. 3. Software Used: A variety of spreadsheet, word-processing, database, e-mail, and presentation software. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others. WORKING CONDITIONS: Job is performed in general office or comparable working area with occasional distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
