POSITION DESCRIPTION TITLE: FLSA STATUS: Specialized Admissions Assistant Non-Exempt CATEGORY: GRADE: Classified C JOB SUMMARY: Responsible for providing clerical support services related to specialized admissions processes and procedures including admission acceptance, documentation and processing. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 45% 1. Identify, monitor, evaluate, create and provide record maintenance of students applying to numerous distinct Health Occupations programs requiring specialized admissions. 2. Maintain both paper and computerized academic records to include creation of forms, coding, input of data and correspondence with students. 20% 3. Prepare report-generator programs using a variety of tools to extract data from the mainframe computers; assist other admissions staff in learning and utilizing the software. Prepare, examine, and submit all required reports and statements; participate in improving and maintaining departmental computerized records systems. 15% 4. Assist in the identification and enrollment of students in the concurrent enrollment program. Work with the Admissions Specialist – Health Occupations staff at UTEP to ensure accurate maintenance of databases. 10% 5. Serve as liaison between the department and relevant external agencies; explain departmental programs, policies, procedures, regulations and appropriate laws to students, staff and others in regard to requirements for Admissions, Health Occupations, Concurrent Enrollment, Reciprocity, Registration, Residency, FERPA and similar programs. 5% 6. May participate in conducting registration activities which include registering students, residency determination, dissemination of information by phone or in person and data entry of admissions documents. 5% REPORTING RELATIONSHIP: Manager, Specialized Admissions ESSENTIAL QUALIFICATIONS: EDUCATION: One year of college. Skills/Abilities: Computer literate to include familiar with spreadsheets, databases and transferring information to and from mainframe, basic mathematical skills, good customer relations, and effective oral and written communication skills. 2. Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Courtesy, tact, and effectiveness in order to communicate with fellow workers, supervisors, and other members of the organization to request or transmit information, ask questions, get clarification, and exercise tact. WORKING CONDITIONS: Job is performed in general office or comparable working area with many and frequent distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
