POSITION DESCRIPTION TITLE: FLSA STATUS: CE Registration Assistant Non-Exempt CATEGORY: GRADE: Classified D Job Summary: Review, record, maintain, and process course curriculum and student records for continuing education courses. Prepare and maintain continuing education schedule and catalog. ESSENTIAL FUNCTIONS: YEARLY PERCENT OF TIME 1. Collect, review, process, and maintain course curriculum, scheduling records, and student enrollment and grade information for continuing education courses, enter documentation into the automated information management system via personal computer and associated peripherals. 30% 2. Create, proof, design, and review the layout of the Continuing Education “Pathways” schedule/catalog with customers, create all supporting class sections in the Automated Information Management System; and ensure accuracy and synchronicity of published document and student information system. Work with the District’s Publication Office and vendors in design concepts of the continuing education schedule cover and format to include graphic selection, colors, and marketing themes. 30% 3. Exchange information with internal and external departments or agencies to explain policies, procedures, rules, and regulations governing continuing education functions. 20% 4. Provide departmental clerical backup to include answering phones, taking messages, and providing customer service. Respond to all inquiries for continuing education class information, admissions, and registration requirements. 20% REPORTING RELATIONSHIP: Assistant Registrar – Continuing Education ESSENTIAL QUALIFICATIONS: EDUCATION: Associate’s Degree or equivalent EXPERIENCE: Three (3) Years SPECIAL SKILLS AND ABILITIES: Effective: 9/1/00 Page 1 of 2 1. Skills/Abilities: • Extensive experience working with desktop publishing software to include preparation of camera-ready prints, layout and design, and artwork. • Strong interpersonal and organizational skills • Ability to effectively communicate both orally and written. 2. Equipment Used: Personal computer and related peripherals as well as other equipment associated with a library environment (e.g. typewriter, copier, fax, and multi-line telephone). 3. Software Used: Integrated administrative software, i.e. Banner and Apache, and a variety of graphic, desktop publishing, internet, e-mail, word processing, spreadsheet, database, and presentation software. PHYSICAL REQUIREMENTS Duties require little physical effort in working with light weight (up to 10lbs.) easy to handle materials. Duties performed causes light fatigue of eyes, fingers, and other faculties due to long periods of standing, sitting, and repetitive motion. INTERPERSONAL SKILLS Alternative or combined skills in understanding and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others. WORKING CONDITIONS Job is performed in general office or comparable working area with occasional distractions such as noise, interruptions, and congested areas with occasional exposure to disagreeable elements.
