All District Employees
Use of Personal Electronic Devices
The primary use of the internet, world wide web, intranet, voicemail (and other telephone
communication), cellular telephones, faxes, computers and related equipment, paper-based
documents, files, U.S. mail, Federal Express and other mail services shall be for district business.
Use of such devices constitutes acceptance of the following regulations:

cellular telephones may ONLY be used for district business (except during personal break time)
and must be approved by your supervisor;
creation or distribution of chain letters is prohibited;
the passing of one’s opinion as representing that of the district’s view is prohibited;
moonlighting or searching for another job is prohibited;
political and religious causes or activities are prohibited;
comments/images that would offend on the basis of race, gender, national origin, sexual
orientation, religion, political beliefs or disability are prohibited;
defamatory, offensive, harassing, disruptive and derogatory comments/images are prohibited;
mass distribution of e-mails is prohibited unless authorized by the superintendent or designee;
uploading, downloading, photocopying or otherwise transmitting copyrighted material without
district authorization is prohibited; and
solicitations or advertisements for any purposes (including charitable and district related) are
prohibited. Inside Information will remain the method for distribution of such information.
Remember to take great care in creating communications since they reflect on the district’s
reputation. All communication may someday be produced in connection with a lawsuit. Also, adhere
to the following guidelines:

DO remember that Internet connections may be monitored/recorded;
•
DO remember that the district reserves the right to monitor, access, retrieve and disclose all
communication;
DO use e-mail to exchange ideas and provide short bits of information;

DO use e-mail to end telephone tag and needless waiting until participants are available;
DO use e-mail for administrative tasks, such as replacing telephone message slips, sending
interoffice communication instantly, etc;

DO use e-mail to streamline communication, however DO NOT use e-mail for discussion
requiring dialogue;
DO remember to check the recipient’s name to ensure your message is going to the intended
person;
DO NOT use student names or other confidential information in e-mail messages;
DO NOT use e-mail for time-sensitive messages (e.g. canceling or scheduling a meeting on
short notice);
DO NOT disclose confidential information without authorization. E-mail can quickly and
irrevocably disseminate sensitive information to anyone on the network;
DO NOT leave cellular telephone ringers activated during meetings and class time. Cellular
phones should be left on vibrate, call forward or voicemail.
