INTERNATIONAL TOVS STUDY CONFERENCE
5 SEPTEMBER 2003
Dear Colleague:
The 13th meeting of the International TOVS Working Group is now less than 2 months
away and a draft program for the meeting has been prepared. We have had a record
response to our call for abstracts, which is a good start considering the late changes in
venue and dates for the conference. The purpose of this third circular is to inform you of
the draft program, give you some more information on poster and paper formats and
update you on travel details to the conference resort facility. Also, if you have not yet
registered please do so by emailing or faxing the registration form at
http://cimss.ssec.wisc.edu/itwg/itsc/itsc13/register3.doc to Maryse Ferland
(maryse.ferland@ec.gc.ca) at the Met Service Canada. The registration fee is currently
$250 CAN. On October 1 the registration fee will increase to $300 CAN.
Draft Program
The rationale for the program is to allow most people to give one oral presentation during
the conference. In order to accommodate all oral presenters we decided not to have
specific presentations of the technical subgroups, but to have oral or poster presentations
on the various software packages where appropriate. We do anticipate that the technical
subgroups will meet informally during the meeting and provide a status for the
conference report on the various packages (e.g. AAPP, ICI, IAPP etc). We have also been
unable to find time for the entertaining poster introduction session we have had in the
past as again we have a large number of poster abstracts submitted. We plan to have 2
poster sessions to enable those presenting in one to visit posters in the other. We are
pleased to see more talks from the climate monitoring community as this conference will
mark 25 years of (A)TOVS data.
The draft program is available on-line from our ITWG web site at:
http://cimss.ssec.wisc.edu/itwg/itsc/itsc13/draft_agenda.html. Note, we do expect some
minor changes to the program between now and the conference. Finally the conference
will start at 09:00 on 29 October and conclude after lunch at13:00 on 4 November 2003.
During the conference, in order to keep the presentations running smoothly, we would
like presenters to load their Powerpoint presentations onto a conference computer prior to
their session (before the start of the day, during breaks, lunch, etc.). We strongly
encourage you to bring your presentations on CD or USB storage device/flash memory.
Transportation to Le Chantecler
Bus transportation to the conference site will be provided on Tuesday afternoon and
evening (October 28 – one bus around 16:00 and another around 19:00 local time); we
recommend making air travel arrangements to arrive at this time. There will also be buses
to return to Dorval Airport departing at 13:30 on 4 November. Please indicate on the
registration form or to the conference local organizers if you want to use the bus.
There are also car rental options (http://www.aeroportdemontreal.com/) or you may take
an airport limousine or a taxi to Ste Adele. The airport limo can take you straight to Le
Chantecler for a fixed price, all included, of $125 CAN (79 euros, $89 US), and the limo
service takes credit cards. This is a reasonable price for 2-3 people, and more comfortable
than a taxi. When exiting the airport, the limo line is the first line you will see; the
ordinary taxi line is just ahead of the limo line. An ordinary taxi will cost around $100
CAN; be sure to get a fixed price from the driver first.
Registration
You will be able to register on site for the conference on Tuesday, October 28 from 16:00
to 20:00 or after the arrival of the second bus (with a break between 17:30 and 18:30).
Registration will continue on Wednesday, October 29 from 8:00 to 15:00. At registration
we will provide you with a welcome package with map and information about the area.
Poster Formats
There will be space for posters that are either 1.2  1.2 meters or 1.2 x 2.4 meters. There
will be 2 poster sessions as indicated in the program but all posters can be kept up
throughout the conference; posters will be adhered to boards using pins. Please bear in
mind that if you have a Powerpoint or .pdf file of your poster then we would like to
include it on the ITWG web site. You can provide this file to us by anonymous ftp to
ftp.ssec.wisc.edu/pub/incoming and be sure to send an email to
leanne.avila@ssec.wisc.edu with the name of your file so that your file can be
downloaded. You can also give us the file at the conference. We plan to include posters
on the ITWG web site after the conference. We will convert your Powerpoint poster to a
.pdf and post only .pdf files on the web site.
Paper Formats
We provide below the format for the conference papers to submit which will appear in
the conference proceedings. Please ftp the complete file via anonymous ftp to:
ftp.ssec.wisc.edu/pub/incoming (and be sure to send an email to
leanne.avila@ssec.wisc.edu with the file name so that your file can be downloaded) so
that we can include it in the proceedings, or provide it on a CD or USB storage
device/flash memory to us during the conference. We will announce a deadline during the
conference of when the papers must be submitted by. We can accept MS Word or .pdf
files, zipped if necessary. We intend to provide an on-line version of the proceedings as
soon as possible after the conference so we would appreciate a quick submission of all
papers. We will convert MS Word documents to .pdf and post only .pdf files on the web
site.
Concluding Remarks
We have been encouraged by the large response for this meeting and look forward to
seeing you all in Le Chantecler on 29 October for what we are sure will be a productive
meeting.










Paper page size: A4 (297 mm x 210 mm).
Margins: all (L, R, top, bottom) 2.5 cm or greater
Type face for text: preferably Times New Roman or similar. For headings, please use Arial or
Helvetica—see below.
Body text font size: 11 point preferred.
Number of pages: four to eight pages, including all text, figures and tables.
Text line spacing: about 1.2 preferred.
Page numbering? No! (In the event that you send us hard copy, please don’t number any pages on
the front; rather, write in light blue pencil on the reverse side: e.g. Larkin & Wilson, page 1 of 4,
Larkin & Wilson, page 2 of 4, and so on.)
Numbering of sections? No—please use section headings instead.

Title should be bold, centred, upper and
lower case, 14 point Helvetica or Arial


Figures: embed these at the most appropriate location within the body of the text if at all possible.
Captions, in 11 point Helvetica or Arial type, should be placed underneath the figure and read Fig.

Tables: Embed any tables at the most appropriate location within the body of the text, similar to
figures. Use 9 point for the body of the table and 11 point (Helvetica or Arial) for the Table title;
this should be set above the Table and read: Table m: <descriptive table caption>.
Citation style: when citing other work within the body of the paper, use, e.g. (Smith and Jones
1996) or Wilson (1985). If there are three or more authors of a paper, use, e.g. Johnson et al.
