Voice Mail Quick Guide

Note: These options, except Express Messaging, are only available after you have logged in to the Call Pilot voicemail system

Checking Messages:

Play message, press 2

Skip back, press 1

Skip forward, press 3

Pause, press #. To continue, press 2

Next message, press 6

Previous message, press 4

Delete message, press 76

Restore a deleted message (within the current session, only) press 76 again

Empty mailbox, press 76 to successively delete each message while the message or its announcement is playing

Mailbox Administration

CSM AC&N, including Telecommunications, recommend that you change all passwords from default to something known only to you and not easily guessed.

Changing or Setting Passwords

Press 84

Enter your new password, #

Confirm the new password by entering it again, #

Enter your old password and a final #

To record or change your name (personal verification)

Press 82, then 9

Press 5, wait for the tone and record your name

Press # to end recording

Assigning a custom operator is assigning another extension to which you can offer to send calls that arrive in your mailbox by inviting those callers to press zero

Press 80 for mailbox options

Press 1 to change or assign the custom operator mailbox

Enter the custom operator mailbox number and press #

Greetings -- Press 82 (It is suggested that you consider generating and practicing a script before beginning this process)

External Greetings are played for callers external to CSM or to all callers if no internal greeting is set Press 1

Press 5 to record

Wait for the tone and begin speaking

Press # to end recording

Press 2 to play and review your recording

To re-record, press 5 and repeat above

Internal Greetings are played for internal CSM callers, if set

Press 2

Press 5 to record

Wait for the tone and begin speaking

Press # to end recording

Press 2 to play and review your recording

To re-record, press 5 and repeat above

Temporary Greetings are played for all callers and used most commonly to notify callers of your absence from work due to vacation, work related travel and other situations

Press 3

Press 5 to record

Wait for the tone and begin speaking

Press # to end recording

Press 2 to play and review your recording

To re-record, press 5 and repeat above

To set the expiry date, press 9

Enter the month, day and time of expiration, pressing # after each entry. You can default to the current month or day by pressing # only. You can default to the standard expiry time of 12:01 am with any future date by pressing # only. Pressing ### sets no expiration date or time.

To play your greeting press 2

To delete your greeting, press 76

To re-record or add to your greeting, press 5 at the point in the greeting where you want to start recording and press # when finished.

Press 4 to exit greetings.

Managing Messages:

To reply to an internal message

Listen to the message and, immediately after, press

71 to reply

When ready, press 5 to record the reply

Wait for the tone before beginning to speak

Press # when finished recording

To call a message sender while logged in to Call pilot

Press 9 immediately after listening to the message

Speak with or leave a message for your party

Hang up

To create personal distribution lists (You may create up to

9 personal distribution lists. Each list is allowed a maximum of 99 entries.)

Press 85

Enter a number from 1 to 9 as a list identifier and press #

Press 5 to create the list

Enter the mailbox numbers and press # after each entry

To delete the last entry, press 0#

Press # to complete the list

To forward a message

Press 73 after listening to the message

Enter the mailbox or distribution list you wish to receive the forwarded message, press #

Add additional recipients and complete entries with another #

To record an introduction

Press 5, wait for the tone and record your introduction

End the recording by pressing #

Press 79 to send

To compose and send a message from within your Call

Pilot mailbox to another mailbox

Press 75 to compose your message

Enter the first distribution list number or mailbox, press #

Add additional recipients and complete entries with another #

Press 5 to record the message you wish to compose

Wait for the tone and record your message

End the recording by pressing #

Press 79 to send your message

Express Messaging is a fast method of leaving a message in another Call Pilot mailbox without logging in to your own mailbox to compose/send a message or calling the party personally:

Dial the Express Messaging x3003, 303-273-3003

Enter the 4 digit extension of your parties Call Pilot mailbox, press #

Wait for the tone and record your message

Hang up
