Internal Technical Memorandum ITM-1998-04 Notes on v8.0.1 of the Phase II Proposal Instructions D. Soderblom October 1, 1998 ABSTRACT Version 8.0.1 of the Phase II Proposal Instructions is substantially different from previous editions. This ITM discusses some of its features (and reasons for them), provides descriptions of formatting for document maintenance purposes, and lists the OPRs that were closed in producing v8.0.1. 1. The Previous Phase II Proposal Instructions The document referred to here is designated as Version 8.0.1 of the Phase II Proposal Instructions (“P2PI”). As explained in the Introduction to P2PI, the previous version was “9,” and a new number series was adopted so that henceforth P2PI and RPS2 would be issued together and will have concordant version numbers. P2PI will use three-part numbers, so little confusion should result. Version 8.0.1 has been formatted for effective presentation both on paper and via the web as a Portable Document Format (pdf) file. A pdf file is easy and quick to download, and, once opened, can be left on one’s screen as a ready reference. The pdf document provides all of the capabilities of html and more, and there are no current plans to produce an html version of P2PI. Experiments showed that a significant effort would be needed to produce good-looking and effective html. The pdf document provides html features and is easy to produce. 2. Features of the New Phase II Proposal Instructions Content The entire P2PI has been thoroughly edited for consistency of style, and many changes made to ensure completeness and accuracy. See Section 4, “PROPINST OPRs,” on page 3. Navigation Each page has a “Back” button to return the reader to the previous location. Buttons are also available to take the reader to the start of the current chapter they are in, or to the Table of Contents at the beginning of P2PI. Readers can click on cross-references in pdf to jump to the referenced location. These cross-references are shown in blue, except in colored (conditional) text, where their presence is ordinarily obvious from context. The Table of Contents is entirely cross-referenced to take the reader straight 1 Internal Technical Memorandum ITM-1998-04 to a topic. The first page of each chapter lists major headings, tables, and figures as cross-references for the same purpose. Logo For easy identification of this document and its components, a Phase II logo was created by the Graphics group and included at the start of each chapter. It is recommended that this logo be used elsewhere within the Phase II process (e.g., RPS2) so that users can identify their location easily and confirm the version number. Phase II v8.0.1 Bulk The total size of P2PI has been reduced substantially by using better page layout. Some text has been removed, but more has been added as well. Access With the release of v8.0.1 there is no longer intent of support of paper copies of P2PI; instead we expect HST users to download the current version to view or print as they please at their home institution. Doing this ensures that the user is getting the most current version, it provides them with the full functionality of the pdf document, and it eliminates the substantial cost of printing and distribution. Two version of P2PI have been produced: p2pi_v801.pdf and p2pi_v801_ENG.pdf. The former is the GO version and is freely available over the web. The latter Engineering version is visible only from within STScI. 3. Document Notes 3.1 Paragraph Numbering This is now done automatically by FrameMaker. One implication is that the numbers of sections, tables, and figures is no longer absolute. To refer to numbered text, cross-reference formats must be used. These have the additional benefits of being self-maintaining and of being converted to hypertext links in html. 3.2 Version Number Any reference to version number should be by reference to the “p2pi version” variable. 2 Internal Technical Memorandum ITM-1998-04 3.3 Chapter, Page, and Part Numbering Chapter and page numbers are generated automatically. Pages are numbered within chapters (e.g., 2-5). 3.4 Conditional Text There are four types of text in this document. GO GO text is Unconditional and is set in black. It will appear in both the GO and ENG versions. Engineering Engineering text is set to Condition tag “Engineering” and Character Tag “Engineering” so that change bars appear next to this text. It appears in green. Engineering text is intended for comments that are not specifically “Available” or “Restricted” but which need to appear only in the ENG version. It is also used for text set in place to be invoked in a future edition. Available Available but Unsupported modes are set as Condition tag “Available” and Character Tag “Available.” Both are needed for the text to appear properly in Frame, in PDF, and in HTML. Available text is magenta and appears with a tag of “Available but Unsupported.” Restricted Restricted mode text is set with Condition Tag “Restricted” and Character Tag “Restricted.” This text appears as red and is always accompanied by a “(Restricted)” warning tag as well. Conditional Text in Tables Table cells are not ordinarily given a conditional setting even when their surrounding text is because they are in separate text flows. To make table cells conditional it is possible to select a group of cells and to then apply a condition tag. This results in the boundaries of this area being highlighted with cross-hatching, which can interfere with legibility. I have preferred to set the condition tags of table cells one cell at a time because the appearance is very much better, even though the process is laborious. 3.5 Character Formats The use of Available, Engineering, and Restricted character formats has just been explained. As noted, they are needed in addition to the Condition Tags so that the text appears in the proper color in all document versions. “Bold” is probably the most-frequently used character format. It must be applied to text if the boldfacing is to show up properly in all the document versions. 4. PROPINST OPRs The mechanism for identifying errors, deficiencies, or needs in P2PI is the Operations Problem Report (OPR). OPRs can be filed or viewed by going to http://www.sesd.stsci.edu/prsystem/ 3 Internal Technical Memorandum ITM-1998-04 and selecting “PROPINST.” This version has incorporated as many OPRs as possible, summarized below. 5.
