Service Disruption
• The service has experienced a number of
problems since launch
– Slowness
– Unexpected problems connecting to desktop
– File storage inaccessible
• Two major disruptions
– 19th February 2014 – Failed to restart following planned
maintenance. Unavailable for 2 working days.
– 25th April 2014 – Problem reported by user. Took 3
working days (5 calendars days) to resolve
• At all times our priorities have been security
closely followed by restoration of the service
UCL Data Safe Haven User Group – 9th June 2014
11
Service Disruption – April: Background
• Users were able to login but received an error when
trying run a desktop or application
• Reported Friday morning
• Immediate investigation and attempts to fix failed to
resolve problem
• Started critical incident procedure, including
communications to all users
• Technical team prioritised fixing this over all over work
• We involved our third party support company
• Technical team worked throughout the weekend to
resolve the problem
• Service was restored Tuesday afternoon
UCL Data Safe Haven User Group – 9th June 2014
12
Service Disruption – April: Causes
• The system is complex with lots of
interdependencies between components
• Evolutionary changes could impact other
components
• The security component had been configured so
tightly that they were interfering with the correct
operation of other parts of the system
• There were some components that required
patching to fix obscure and not widely known bugs
UCL Data Safe Haven User Group – 9th June 2014
13
Service Disruption – April: Resolution
Immediate
• Fixed security configuration to avoid interfering
with correct operation
• Built additional domain controllers
• Fixed multiple configuration anomalies
Planned improvements
• Built a new instance of system from bottom up in
parallel to live service (swap over to live in June)
• Install a better monitoring and control system
UCL Data Safe Haven User Group – 9th June 2014
14
Encryption Clinics and USB Amnesty
• Drop in clinics provide support and advice for
encrypting laptops, and other devices
• Promote Data Safe Haven services
• Support enrolment and transfer of data to Data Safe
Haven
• Provide good practice advice
• Swap unencrypted USB device for hardware
encrypted USB devices (300 x 4Gb iStorage devices funded by
IT for SLMS)
• Support for transferring data to new devices
• Planned for next term, multiple locations and times
