there is usually about a two‐week window for each update. Using the Summary of Curricular changes enter all changes that were approved through Curriculum that pertain to transfer courses‐new and changes to title and units. If an existing course is changed dramatically then you would need to submit for approval again but this has rarely happened. An example of such a change would be if a required prerequisite is removed you would need to re‐submit the course. The Calendar is posted on the ASSIST website April to May Fall updates: April to May (e.g. Apr 4‐May 6 for Fall, 2011) September Winter updates to ASSIST: September (e.g. Sept 13‐17 for Winter of 2011) October Spring updates to ASSIST: October (e.g. Oct 25‐Nov 5 for Spring, 2011) February Summer updates: February (e.g. Feb 7‐18 for Summer, 2011) TCA Submissions: June, July or August TCA submission – date changes yearly – in the past I have requested August but you can request any month you will be working—June, July or August. UCOP sends the request for reserving a month in Spring after we receive our notification from IGETC. June may be advantageous since we would probably hear about any problems with the courses and could address them in the 2nd review. During your update month you review TCA against the catalog/and curriculum changes – I used to mark in red on TCA copy and then submit the changes electronically—instructions accompany the update request. October. All instructions come from UCOP. The 2nd submission is usually the month of October (1st to 15th)—this allows us to re‐
submit for courses that were questioned in the first review and to submit those courses and changes approved at the early Fall Curriculum meetings. IGETC and CSU GE Breath Submissions: December CSU GE and IGETC are submitted in mid‐December for the following year – we receive responses in April. The approvals are automatically backdated one semester (e.g. we submitted for the 10‐11 lists and when approved the courses will be effective Spring, 2010). Can request an earlier date in special cases (for CSU). Summary of Curricular Changes After each Curriculum Committee meeting (take good notes and then check against minutes) keep track of changes on the Summary of Curricular Changes form—this is a good way to check against the minutes when they come out. This form is also used to notify ASSIST and all our 4‐year partners of our Curriculum changes. It can also be used to post changes to the Datatel and Curricunet databases. I always found it difficult to have an error free document but if you could perfect it—this document could save a lot of time and make your work easier and more efficient. By adding “checking it against minutes”, you could save yourself lots of headaches. You could even keep a master copy for yourself for making notations such as reminding faculty to submit to AC for GE approval and making sure that all changes are made in Datatel, Curricunet, the catalog and schedules. Maybe you will have more luck with this than I did—it always seemed that some things were changed after meetings and somehow never got into the minutes but hope springs eternal. Datatel and Curricunet Post all approved changes and course information to Datatel and Curricunet databases – this is on‐going, and always checked after schedule galleys, catalog galleys, TCA review notifications, CSU and IGETC notifications, and during the January audits of the databases.
