Cabrillo College CABRILLO STAGE MANAGING DIRECTOR CLASSIFIED ADMINISTRATOR JOB DESCRIPTION The Cabrillo Stage Managing Director manages all non-artistic aspects of Cabrillo Stage, a semiprofessional musical theatre company in residence at Cabrillo College. Position duties include budget planning, implementation, coordination, and evaluation. SCOPE Under the direction of the Dean of Visual, Applied and Performing Arts (VAPA), the Cabrillo Stage Managing Director performs professional-level duties and exercises judgment in the interpretation and application of policies and procedures related to the operation of a semi-professional threatre company on the Cabrillo College campus; ensures Cabrillo Stage remains fiscally and operationally self-supporting by planning and implementing an effective business and marketing plan; and executes successful seasons of this semi-professional residential theatre company. In collaboration with the Dean of VAPA, the Cabrillo Stage Artistic Director, and Cabrillo College Theater Arts faculty, this position works to ensure Cabrillo Stage’s partnership with the educational program and overall mission of the College remains strong. EXAMPLES OF DUTIES • • • • • • • • • • Supervises, trains and evaluates assigned staff including employees and contractors supporting Cabrillo Stage, as appropriate (E) Ensures staff is trained in work and safety procedures related to assignments and in the operation and use of equipment and supplies; ensures safe work practices and procedures are followed (E) Coordinates with the Cabrillo Stage Artistic Director and others to ensure shows are executed on time and on budget; responds to overall artistic goals while ensuring Cabrillo Stage remains fiscally and operationally self-supporting (E) Manages and oversees the design, implementation and production of all marketing and ad sales, audition materials, company handbook, usher badges, front of house displays, outside public relations events including radio, newspaper, and TV interviews and promotional performances, and public relations and outreach efforts in coordination with the college Director of Marketing and Communications (E) Manages purchasing and contracting in coordination with appropriate College department(s) including creating and implementing an invoice and purchase requisition process to ensure accurate fiscal accountability (E) Manages front of house activities including house management, usher requirements, concession contractors, and patron relations (E) Organizes and coordinates all aspects of company opening and closing night activities and other production or recognition activities (E) Develops, manages, and processes Cabrillo Stage accounting documents and procedures; provides Artistic Director and Dean of VAPA regular budget reports regarding line item expenses (E) Conducts regular meetings while in production with department heads to review and update line item budgets (E) Oversees the management and sale of all merchandise and alcohol specific to performances, including acquisition of proper legal permits and accurate monitoring to avoid sale to minors (E) Cabrillo Stage Managing Director Page 2 EXAMPLES OF DUTIES (Continued) • • • • • • • • • • • Manages merchandise deposits and other miscellaneous income and the management and distribution of petty cash (E) Oversees the Cabrillo Stage Theatre Guild and all fundraising activities in coordination with the Cabrillo College Foundation (E) Assists students in applying and registering for Cabrillo Stage-related courses; creates student registration list for Artistic Director and Dean of VAPA; serves as a liaison between Cabrillo Foundation and Enrollment Services to coordinate and award student scholarship awards related to Cabrillo Stage and associated courses (E) Develops and oversees the Cabrillo Stage website, including design and maintenance, management of email accounts and integration of its website with third party ticket vendors; ensures information on the website is accurate and reflective of production and season presentations (E) Assists the Artistic Director with day-to-day activities related to the operation of the company (E) Works in conjunction with VAPA box office personnel to create and implement a ticket price structure for individual shows, season subscriptions and discounts that achieves a balanced budget (E) Provides statistical and accurate accounting information and other reports using a variety of software tools such as word processing, spreadsheets, and databases that will assist in the planning of future seasons, promotional needs, and advertisement sales (E) Coordinates transportation and housing for out-of-town artists and provides support as necessary (E) May assist the Dean of Visual, Applied, and Performing Arts in the supervision of other staff as assigned Serves on College committees as required or assigned Performs additional duties as required or assigned (E) = designates essential functions QUALIFICATIONS Education and Experience: • • Bachelor’s degree from an accredited college or university in theatre arts, management, administration or a related field Two years of experience in the business management of a professional or semi-professional theatre company Please note: A Master’s degree from an accredited college or university in theatre or a related field may be substituted for two years of experience.
