Constitution K-­‐State First Student Advisory Council Written September 22nd, 2011 ARTICLE 1: NAME AND PURPOSE Section 1. The name of this organization shall be the K-­‐State First Student Advisory Council. Section 2. The purpose of this organization is to provide the K-­‐State First Executive Committee with program feedback, promote K-­‐State First programs to prospective students and actively contribute to K-­‐State First’s research and programming endeavors. ARTICLE 2: MEMBERSHIP Section 1. The membership of this organization shall be composed of no more than thirty (30) full-­‐time, academically eligible students. Membership opportunities will be offered by recommendation only. K-­‐State First faculty and staff members will nominate students to participate in the council. The organization shall be open to freshman, sophomores, juniors and seniors. Section 2. TERM A. Membership in the K-­‐State First Student Advisory Council is dependent on the member’s commitment to the organization. A one semester minimum is required. B. Members shall meet 75% of participation rate each semester based on the amount of events and meetings throughout that semester. Members not meeting the participation rate shall be reviewed by the K-­‐State Executive committee. Section 3. SELECTIONS A. Nominations for council members will be collected in September. After nominations are completed, the K-­‐State First Executive Committee will distribute membership information to the nominated students. Upon receipt of materials and attendance at the pre-­‐program retreat, a student will be considered an official council member. Section 4. OFFICER SELECTIONS A. At the first regular meeting of the year, the advisors shall conduct elections for the following positions: President, Secretary, Research & Assessment Chair, Public Relations & Communications Chair, and Education Chair. Candidates for said positions will self-­‐nominate and share briefly about why they are interested in the position. Elections will be decided upon a simple majority of all votes cast at the meeting. B. Positions vacated by council members due to various circumstances may be filled by current members elected by the simple majority of votes cast by the members. C. Officers will serve a term equivalent to one academic year. ARTICLE 3: OFFICERS/COMMITTEES Section 1. Responsibilities of Offices A. Executive Committee President -­‐ -­‐ -­‐ -­‐ -­‐ Presides at organizational meetings Plans meetings/agenda with the advisors Assists in delegating ambassador responsibilities Assists all executive officers Provides motivation for the organization Secretary -­‐ -­‐ -­‐ -­‐ -­‐ -­‐ Maintains ambassador records including a phone and e-­‐mail directory for all members Records and maintains minutes for meetings E-­‐mails minutes of meetings to all members including the K-­‐State First Executive Team Maintains calendar of events Reserves meeting rooms Maintains records of ambassador participation/attendance Public Relations & Communications Chair -­‐ -­‐ Presides over the Public Relations and Communications committee o May appoint members of the committee to specific positions as deemed appropriate. Assists with public relations campaigns for K-­‐State First -­‐ -­‐ Attends all K-­‐State First PR Executive Committee meetings Performs other duties as assigned by the President Research & Assessment Chair -­‐ -­‐ -­‐ -­‐ Presides over the Research & Assessment committee o May appoint members of the committee to specific positions as deemed appropriate. Assists with research & assessment endeavors relating to K-­‐State First Attends all K-­‐State First research & assessment executive committee meetings Performs other duties assigned by the president. Education Chair -­‐ -­‐ -­‐ -­‐ -­‐ Presides over the education committee o May appoint members of the committee to specific positions as deemed appropriate. Assists with educational programming endeavors relating to K-­‐State First Attends FYS and Cat Community executive committee meetings Nominates new faculty members and course ideas to the executive committee for consideration Performs other duties assigned by the president ARTICLE 4: MEETINGS Section 1. A 2/3 marjority must be present at all meetings to vote on necessary items. If 2/3 is not present, the meeting shall continue as normal and votes shall be deferred until the next meeting. Section 2. The organization shall meet monthly in the general body. Section 3. Committees will meet in context of the monthly meeting and whenever is deemed appropriate outside of this time. Section 4. The executive committee will meet in context of the monthly meeting and whenever is deemed appropriate outside of this time.
