Notes from the meeting of the Group held on Monday 17 September 2012
Present:

01/12-13Minutes
RESOLVED:
That the minutes of the meeting held on 10 July 2012 be approved.
02/12-13Matters Arising
(a) Repairs from Campus Walkround
REPORTED:
(i)
That the cost of repairs to seats in L3, L4 and L5 had been covered by the Furniture and Equipment
budget.
(ii)
That the repairs to seats in L3, L4 and L5 had been completed.
(b) Lecture Theatre 001 (Medical School Teaching Building)
REPORTED:
(i)
That the cost of installing a card reader to the second exit of Lecture Theatre 001 was £2126.64
(incl. VAT).
(ii)
That the works to Lecture Theatre 001 had been completed.
(c) H3.05
REPORTED:
(i)
That the cost of removing trunking and cables from H3.05 was £843.13+VAT.
(by the Furniture and Equipment Officer)
(ii)
That the decorative works in H3.05 were being completed but may not be ready for the start of
term.
(iii)
That tablet chairs had been delivered to H3.05 but that she would check on progress with their
installation, given the recent decorative works.

RESOLVED:
That the cost of removing trunking and cables from H3.05 was approved as £843.13+VAT.
(d) CTTR Audit
RESOLVED:
That the Chair would confirm that the decorative works in H4.22/4, S0.17 and S2.84 had been completed.
(e) S0.52
REPORTED: (by the Chair)
(i)
That S1.14, a locally timetabled Law room, was being swapped with the CTTR S0.52.

(ii)
(f)
That Law would need to purchase its own furniture and AV equipment for the new room, as
existing facilities would be moved into the new CTTR.
CTTR Walkaround
RESOLVED:
(i)
That the annual CTTR walkaround would no longer take place on Friday 28 September 2012.
(ii)
That the Chair would ask the porters for the Humanities, Social Studies and Science Buildings to
check the rooms on Monday 1 October 2012, and to contact the Furniture and Equipment Officer
is there was anything missing from the rooms.
(iii)
That the Chair would identify a location for the next meeting of the Refurb Group (scheduled for
15 October 2012), located close to a selection of CTTRs in order to assess their condition prior to
the meeting.
(iv)
That members of the Refurb Group bring a shortlist of rooms requiring attention to the next
meeting of the Refurb Group, scheduled for 15 October 2012, for discussion.
03/12-132011-12 Programme of Works
CONSIDERED:
(a) A summary of the current budget position for University funds (CTTR.1 (revised)/11-12).
(b) A summary of current works (CTTR.2 (revised)/11-12).
REPORTED: (by the Chair)
(a) That there remained queries on the budget for 2012/13 and that figures would be circulated to members
of the Refurb Group once available.

(b) That some items in the summary of current works (CTTR.2 (revised)/11-12) would need to be clarified
with the Space Management Assistant on his return.

(c) That the Refurb Group should plan its work on the assumption of a received budget.
RESOLVED:
(a) That the Furniture and Equipment Officer, the Assistant Furniture and Equipment Officer, and the Lead
Technical Specialist would clarify items in the summary of current works (CTTR.2 (revised)/11-12) with
the Space Management Assistant on his return.
(b) That the lead Technical Specialist would compile costs for the installation of lecterns within several
rooms, including GLT2, to be brought to the next meeting of the Refurb Group scheduled for 15 October
2012, with a view to work being undertaken over Christmas.
04/12-13Annual Accommodation Round 2011-12
REPORTED: (by the Furniture and Equipment Officer)
(a) That the tender for curtains in WCE0.9a and 0.9b and blinds in B2.02, WCE.010, H3.45 and S1.66, had not
yet been processed.
(b) That a contractor would be sought that could work around CTTRs when required.
05/12-13Refurbishment of S0.08, S0.09 and S0.10
REPORTED: (by the Furniture and Equipment Officer)
(a) That the refurbishment project was extended due to delays caused by special circumstance examinations
taking place in rooms in close vicinity, preventing the undertaking of noisy work.
(b) That a dedicated project manager for small works would be well placed to ensure timely completion of
projects, particularly those with short lead times.

(c) That lessons learnt from each project should be brought to a meeting of the Refurb Group after project
completion for consideration.
RESOLVED:
That, prior to the Examinations period, the Refurb Group should obtain the location of special circumstance
examinations taking place around campus, and discuss implications for projects planned during that period.
06/12-13Music Centre 1
REPORTED:
That the piano in Music Centre 1 would be tuned at a cost of £48+VAT.
07/12-13Ramphal Building

REPORTED: (by the Lead Technical Specialist)
(a) That some AV issues would not be resolved in the Ramphal Building until the second week of term.
(b) That IATL were planning to run training events on the use of the new rooms in the Ramphal Building on
25 and 27 September 2012.

(c) That delivery of the glass whiteboards was still delayed but were expected to be ready to replace the
standard whiteboards in the second week of term.
(d) That some of the chairs previously located in the Ramphal Building would be used in S0.08, S0.09 and
S0.10 following their refurbishment.

RESOLVED:
That the Group meet from 10:00-12:00 on the following dates;
