Adjournment 1 REDWOODS COMMUNITY COLLEGE DISTRICT Meeting of the Institutional Effectiveness Committee (IEC) 7351 Tompkins Hill Road, LRC 107 Wednesday, September 28, 2011 3:00 p.m. MEMBERS PRESENT NOTES Sally Frazier, Angelina Hill, Roxanne Metz, Julia Peterson, Mike Peterson, Keith Snow-Flamer, Cheryl Tucker ALSO PRESENT Sue Alton, Pat Girczyc, Maggie White DISCUSSION FINALIZE OPERATING AGREEMENT There was discussion regarding the break out of the operating agreement and how the committee supports Roxanne‟s position as Director, Planning, Grants & Institutional Effectiveness. The committee‟s role is to see that planning happens throughout the District and each committee should designate one of their chairpersons to report out to Roxanne so that she in turn can report out to the IEC. The committee will create an annual report that will be distributed to all and it will be reflected in the functional committees. At the beginning of the fiscal year the report will be reviewed in relation to the operating agreement. SEPARATE AGREEMENT INTO PARTS Several suggestions were made and noted regarding language. Keith will make the changes and send a finalized version out to committee members for review. Once finalized it will be posted to the IEC webpage. REVISION OF MEETING DATES Revisions were made to the meeting schedule and the webpage will be updated. DISTRICT GOALS & OBJECTIVES Suggestions were recommended regarding the Statement of Support. The committee approved the statement as amended. The revised statement will be posted on the webpage. DIRECTOR‟S REPORT OUT It was noted that the “Director‟s Report Out” will be a standing item on the IEC Committee‟s agenda. Roxanne stated that she will serve as a point person, but it will take the functional committees to make things happen. The integrated planning calendar gives a monthly view of what each committee is doing. Continue standardizing web/online communication: publish all committee documents as both .pdf and .doc or .docx; decide on location for information; post committee documents, reports, minutes to Inside Redwoods with notice of new postings sent to ALL; and create a common Calendar with all committee meeting information and agenda All planning committees will revise their operating agreements to reference the centrality of the college„s mission to their work and describes how the committee‟s operations will support the district goals and objectives. The statement will be displayed on committee websites Redistribute the annual report summarizing the analysis of the effectiveness of the college‟s planning processes. This report will guide all College units in planning the subsequent year„s work. Institutional Research department will conduct initial analyses of data and facilitate workshops and other flex activities to facilitate dialogue regarding data interpretation as used for evaluating student learning and institutional effectiveness. The goal of these workshops is to develop a collective understanding of the meaning of data and its interpretation. The process will be refined based on feedback from workshop participants and data users (e.g., program review authors).
