Activities during and after loading data: o Will have daily scrum (soccer term, like football huddles) meetings with Banner Technical team and CU where you talk about what we need, how are we dealing with errors, etc. o Banner Technical team will also be in daily contact with e-mails o Banner will provide a daily dashboard document listing green (good), yellow (caution) and red (risk) o After data load there will be a ‘turn over meeting’ to talk about roles and responsibilities of testing data o There will be a ‘retrospective analysis’ or lessons learned, e.g. what worked well, what didn’t and what we can change to make it better next time Action Taken, Decisions, Recommendations, Time Line Items 3 and 6a are the ones that should be deleted from the data cleanup list. Correct list is in today’s minutes. Hope to have the HR director filled by January or February. Talked to Glen about KCCU and Banner. Glen is going to meet with Ted today and doesn’t feel there is a reason KCCU can’t be included in Banner. Made Glen aware that there will be outdated PCs that need updated. The team leads need to provide a list to Debbie. Higher One – Rick doesn’t have any information on this and yet we’re supposed to implement it this spring. Glen has a call in to John at Higher One so that he can relay info to us. Toad has been approved by Glen. Debbie should use the Banner account number for the requisition. Need to talk to Sandra about OU Nursing. Sherry thinks we can set the students up in banner. Debbie will send Sherry the process of how this works. Duplicate people w/ different ID #s – where are we on this? a. Users working on dups 2. Different school names using the same ETS code a. Are the transcript folks working on this? – the codes files from College Board will help w/ this. The files should be e-mailed to Chase soon. 3. Blank birth dates need to be updated if we have HS transcript, immunization form or some other means of capturing birthdates a. Kurt working on differences between BOX and Payroll b. Julie sent a list to admissions and alumni for corrections to be made 4. Check system for different spellings of same name and update a. Waiting on Clean Address for this, which should be arriving soon 5. Confidentiality codes - was a tracking place for print and campus indicator located? a. Payroll and Alumni are correcting errors. Need the chart of accounts ASAP to do the mapping even if it’s a draft. Jennifer needs to send Ninette an email indicating the deadline for the chart of accounts. Sherry will let Jennifer know this. Citizenship code validation a. Kurt is working on this and mapping for HR 8. Comparisons between BOX, Alumni, Payroll and HR in the areas of birth date, ethnicity, names, address, phone numbers and any other fields in which data will be converted from multiple systems a. Kurt and Angie looking at differences – Linda is worried about previous name and alumni trumping. Linda will take this to data standards committee. Marital status will be pulled from BOX for everyone who has data. May 29, 2016 Action Taken, Decisions, Recommendations, Time Line Chris has an outstanding question to Anna inquiring whether an exception report might be produced. Question regarding overwriting marital status even when it is not blank since the FAFSA is the only place this data is being gathered. Sherry will put this on the Team Lead agenda. Curriculum rules and grading rules are still an issue. These things got put off until the last minute. We need to make sure that CU standards/information is communicated when they differ than Banner best standards. If there are problems, be sure to put the high importance exclamation in your email so that Sherry will be sure to address it. CollegeBoard zip files CollegeBoard zip files are in. Issues with codes in system that were created locally. What action needs to be taken? Issues such as these may be helpful in proving to SGHE that we will need more than one more test conversion. Chase did comparisons. Greg loaded it into the ifas database and Chase compared it against the ETS table. Roughly 20% of our current codes did not match – 12,000 additional codes that we have that college board did not have. Some of our codes were entered manually. The College Board has both high school and college codes. Tenure and Rank Codes Kurt says there are two places for storing these codes: ST SIBFACD or HR – PERRANK (rank) and PERAPPT (tenure) Kurt says they are not in HR’s WIN. Can we map them in ST? VPAA’s office should be responsible for updating. For the first conversion we can leave these two fields blank until after we know more about the two systems and how it’s stored. Kurt can decide whether or not he has the time to add the fields to his data extract or to wait for more info. If the PPRD is delivered in time for CU to make changes, we have to have our changes in before Thursday night so that Chase can work on recloning it to CONV on Friday. 12/9/09 1-4 AD mapping Online learning system needs addressed and added to project plan.
