Implementation Minutes Student Team Data Mapping – Faculty Load and Location Management Date: November 4, 2008 Meeting Information Facilitator Duane Thowe Note Taker Renee Roach, Assistant Registrar, Cameron University Attendees Aubree Helvey, Sherry Hendrix, Kurt Jn Marie, Debbie Goode, Dawne Massey, Linda Phillips, Renee Roach, Tom Sutherlin, Julie Duncan Faculty Load Mapping Relevant Training/Discussion Highlights: GAPs Identified: Decisions Made: Decisions Required: Need to tell Sandra – GORRACE table; we have to set up institutional race codes STUFEST – codes may need to be communicated to SANDRA if we want codes aside from what we have currently. Other Issues and Concerns: Action Items / Assignments Description Owner Deadline GTVRRAC – all system required values. PERS – biographical–comes from GORPRAC_RACE_CODE. Duane will map this and put it on general student because we want to map this for everyone. The only place you can see this information is on SPAPERS. This should have been mapped with general person. HE will populate that table. Need to tell Sandra – GORRACE table; we have to set up institutional race codes. Regulatory race is not required, but GTVRRAC will be where we can enter if we need to. He will validate race code against GORRACE. We need to know if this is part of the WIN scope (need to know if this is included in pre-configuration). When a person comes in recruiting, we will be creating the SPRIDEN records. Faculty Load module – need faculty in place; Faculty goes into our schedule with no connection from location management to schedule. Need location SunGard Higher Education – Confidential & Proprietary 291232013 Page 1 of 4 5/29/2016 Implementation Minutes management to determine where the meetings will be held. Tracking faculty workload – BANNER 8 has new functionality for tracking work load that is more connectivity to the HR side than it has had in the past. In the module, there are a couple of tables that are required: SIBINST (Faculty member Base table). Have to identify if the faculty are able to do instruction or are able to be an advisor. SIRINCT – faculty contract table (supplemental tables that work in conjunction with workload). Also have departmental college information. Major validation tables that we have are STVFCST – status code validation table (these are on the slides). STVFCTG – should be populated to avoid errors when we complete our assignments. He says this is required. SIAINST – faculty/advisor information includes faculty member base details. Values include faculty flag and advisor flag. When we assign a faculty member to a class, there are many things we have to check. #1 – we need to include the term that is provided for the faculty member. It has to be less than or equal to the current term. Example: go live term has to be less than or equal than current term. The faculty flag has to be checked in order for a faculty member to be assigned to a class. There is a category table on faculty member base details in which you can place an assignment to the faculty member such as coach, advisor, associate professor, adjunct professor, etc. SIAFPER – includes faculty personnel table. Tenure codes, sabbatical codes, primary activity, AAUP member indicator and years of teaching experience indicator. SIBINST – mapping tables; STUFEST – codes may need to be communicated to SANDRA if we want codes aside from what we have currently. Location Management: Location management control – room/meal/phone rate code. Refer to slides 131 and above. This is related to the student housing module. Building definitions and room definitions will need to be populated. SLABLDG & SLARDEF. Major Validation tables/forms on page 135 on the slides. Building definition form, etc. All source code is located on Banner _home. SLABLDG – includes a building definition. Campus, site, capacity, college, department, partition, room SunGard Higher Education – Confidential & Proprietary 291232013 Page 2 of 4 5/29/2016 Implementation Minutes rate, phone rate, street line 1, 2, 3, city, state, county and phone. We have to remember that what we put on at the section level will impact the building and room. The capacity cannot go over the capacity on Building definition in location management. Have to keep in mind for mapping this. There is no validation table for rooms. List of values comes from SLQROOM. We have addresses to provide to DAWNE for branch and out-site locations. I (Renee) emailed this information to Dawne Massey on 11-4-08. We will want to map this to location management for future use. We are going through all the validation tables for mapping. SLBRDEF – capacity cannot go over on sections. Schedule: SOATERM – whole and parts of term have to be set up. SSASECT - Validation can fail at the section. SOBPTRM – section part of term validation table. SOBTERM – term base table. Every section subject and course must also exist in catalog with section term falls in the catalog term period. There is a start and from term to identify each subject and course by range of terms. Grade mode tables only have one term, but schedule and catalog term: section term has to be greater or equal to that effective term in our catalog. The term must be in sync. The relationship is a one to one relationship at the section level. SHRGRDE – grading code maintenance table. The grade on the student at the section term is greater than or equal to the grade table. Grade mode is associated to STVGMOD, also associated to a grade. This could be a validation failure if the grade does not have a grade mode associated with it. SSASECT – used to build and maintain schedule of classes, much of the data defaults form course catalog (SCBCRSE), connections with AR module through billing hours, tuition waivers. SLQMEET – available classroom query form p only accessible through menu, direct access, other form (SSASECT). SSAMATX – is a building/room schedule form that is accessible through menu, direct access, other form (SSASECT). SSASECT – class schedule report and SSRTALY – schedule section tally. SunGard Higher Education – Confidential & Proprietary 291232013 Page 3 of 4 5/29/2016 Implementation Minutes SSASECT – generate a CRN (course reference number). When building sections manually, you type add in CRN box and hit next block and it will add the number. Everything established in catalog will roll forward. It will default in all the information that was set up at the catalog level. All of the functions on the SSASECT screen come from background tables that should already be populated. Session indicator would be day evening, etc. Special approval – if approval is needed to take the course (academic advisor, dean, department, instructor, registrar approval). OLR course will not have a part of term associated with it. The duration code and instructional method code will relate to open learning. If we have part of term, we will not have any of these values in this table. Cannot be open learning and traditional at the same time. We will not be populating the fields that are related to OLR. Variable credit hours have to be defined at the catalog level. Billing hours has information stored at the section. Options on SSASECT – SCACRSE – basic course information. SCAEXCL – schedule exclusion. If we put things at the section level it is only applicable for that particular section of that subject and course. SSADETL – section fees/degree program attribute. If we manually need to put in a section, we want to make sure the CRN will be set up correctly so that the user will not receive errors at this point. Different CRN and sequence number for each section (which is the same protocol in the legacy system). This has to be verified at STVSCHD and at catalog (SCRSCHD). Course title is 30 CHAR long. A separate section must be created if there is more than one grade mode on a section, for example and audited course. At the section level, it is a one-to-one relationship. If anything changes, there has to be a new section to provide a new grade mode. Linda and Sandra have started the mapping for parts of term. We will have over 50+ parts of term to create.
