Procedure for Assignment of Provisional Status Employees
In the absence of an eligibility list for filling vacancies in regular positions or in limited term assignments of more
than 20 working days (fewer than 3 ranks of names for a regular position or fewer than 2 ranks of names for
limited term assignments are available to report for service), the following procedures shall be utilized:

The vacant position will be posted at the worksite where the vacancy exists. The following information will
be listed in the posting:

Job title and brief description of position
Type of assignment (substitute, relief, vacant position, etc.), probable duration, assignment basis, hours
per day
Location/Office
Entrance qualifications as listed on the class specification published by the Personnel Commission
Salary schedule number and all five steps of the schedule
Contact person at the location

Interested employees who meet the entrance qualifications must submit a "Provisional Classified
Application form" to the contact person listed on the posting. Responses must be received within five
working days from the date posted. There will be no obligation to interview an employee whose response is
received after the five-day posting period.

The personnel office staff at the employing location shall review the application form for completeness and
must indicate the following in the space below “Class Title” on the application form:
Name of the Initiating Location
Contact person at the Initiating Location
Telephone number of the contact person

The personnel office staff at the employing location shall determine if an employee meets the minimum
entrance qualifications as listed on the class specification for the following job classifications:
Admissions and Records Assistant
Bookstore Assistant
Community Services Aide
Data Control Assistant
Examination Proctor
Financial Aid Assistant
Library Assistant
Office Assistant
Payroll Assistant
Personnel Assistant
Physical Education Facilities Assistant (Female)
Physical Education Facilities Assistant (Male)
Purchasing Aide
Registration Assistant
Secretary
Senior Office Assistant
Senior Secretary
Special Services Assistant
Stock Control Aide
Student Services Aide

The completed application form is to be forwarded for screening to the Personnel Commission Office,
EXCEPT for applications for the job classifications listed under item #4.
6.
The application form will be reviewed by a staff member of the Personnel Commission Office who will
determine whether an employee meets the entrance qualifications specified in the current class specification.
7.
Within 24 hours after the receipt of the application, the employing location contact person will be notified
by the Personnel Commission Office as to whether the application has been approved or disapproved.
8.
All employees who meet the minimum entrance qualifications and have applied within the five-day posting
period shall be contacted by the employing location for an interview with the appropriate hiring authority.
9.
The personnel office staff shall forward the application of the employee that applied for a position listed
under item #4 and has been selected by the employing location to the Personnel Commission office for final
review. The Personnel Commission Office will notify the personnel office of the final screening results
within 24 hours.
10. The provisions of the Collective Bargaining Agreement, all applicable Personnel Commission Rules and
personnel guides shall apply.
11. No provisional assignment will be processed by the Office of Personnel Operations without an approved
application form on file. Therefore, no person is to be employed or given a firm offer of employment for a
provisional assignment until an application has been approved by the Personnel Commission Office.
