Measure J update – Bill Sewell Jorge informed everybody that Tom Donavan took over as Director for Bill Sewell. Camille Nix left in December as well. For questions, we should contact Yohan. Dr. Barrera stated that a replacement for Camille will be hired by the end of the month. Also, the Taskforce will select a single firm to provide an assessment in writing. Only two firms are interested in performing the assessment. One can start now and finish by April, although at a higher cost. The other one cannot start until June. Jorge stressed that this assessment is an investment in time since our IT staff would not be able to take care of their regular work load. The taskforce meeting will take place at the end of the month. Wendy emphasized that it should be held no later than the 1st week of February because of the start of the Spring semester. Jorge suggested to break down the assessment into smaller portions and complete one portion for all colleges before moving on to the next priority on the assessment list. Wendy and Jorge were interested in the IT life cycle. The assessment should focus on how a college is organized, how business is done. Pierce’s assessment was very aggressive. From evaluation to proposal it took about four weeks. Jorge would like to have the taskforce meet once a firm is selected to create a baseline, based on the money available. We need to share hardware for Production. We built 100 systems for SIS. A once-weekly backup could potentially cause a loss of 5 days of data if anything went wrong. We use old servers to run backup at Valley. Therefore, procuring HW is essential or we may have to go to a biweekly backup which is unacceptable. Dr. B. pointed out that the assessment needs to be completed first, because it is part of the SIS Project and is Bond eligible and because Build will not move forward with HW purchases until the assessments are completed. We should complete the assessment of the ESC first and then move on to the colleges. 2. SIS Update – Betsy Regalado 3. DTC Update – Nick Dang We are 10 ½ months away from our first deployment (Nov 2016). There will be a retreat with Ciber at City in a week. All testing and training for deployment will have to be completed in May. Money has been transferred to SIS and will be JV’d out to colleges for sub and relief positions. A small committee of 6 people will meet at the end of the month because a large committee would be too cumbersome at this point. Jorge agreed that, since all big decisions have already been made, this small committee could take care of all the small stuff, like change orders. Wendy asked Rod (Chair) for a DTC update and was told that there is no update today but that they’d meet tomorrow with Ivan Clarke as Vice Chair. OLD BUSINESS 5. Mathematica – next steps 6. Update on Taskforce of TPPC reps/VP admin services and IT managers Don related that the contract is in place and that there was a demonstration this past Tuesday. It was not well attended because faculty is not yet back on campus. He would like to offer a 2-week class for those who now use it. Jorge suggested a marketing campaign to bring awareness to both faculty and students. But, it should be put on each person’s device before the campaign. It would take about 4 hours to install it and we should start with faculty computers. Two of Mathematica’s products are web based. Wendy is going to put a link on Moodle to increase awareness. She also wants to push it to CANVAS if it is capable of being integrated.Training by George would ensure that at least the trainers would be trained. Greg thought that it would be best to present the software on opening day. Dr. B. reiterated that the contract is for one year only and that we need an RFP for a 3yr contract. Also, IT staff needs to install the software at every college. And, VPs of Academic Affairs need to be informed. NEW BUSINESS 8. District Contract for Lynda.com Wendy and Don then introduced Lynda.com webinars and training. for all faculty/staff and students? That vendor has many tutorials and could be purchased for $34,000 for all faculty and for $204,000 for both faculty and students. She suggested to use Professional Development funds. Jorge added that a statement as to how it would benefit our students would help. It might help to get a student focus group of about 10, give them a license and have them interviewed and recorded by Lynda.com. We could then play the recording to the Board. Don offered to put it onto the next Board Agenda. Betsy suggested to offer a Lynda.com license with a membership with the ASO. Jorge was concerned about excluding students that are not members. Lynda D. has a campuswide license tied to Moodle, Canvas, etc. There is a reporting system available that lists those who view the videos. It can also be of benefit to add certificates that Lynda.com offers on an ePortfolio. Wendy would like to have it institutionalized. Jorge suggested to do an RFP. If nobody but Lynda.com replies we could do a Don moved, Daniel contract with the ability to cancel it. Maybe we could even piggyback seconded, all ayes on Santa Monica if they have a Master Agreement. Lynda D. stated that to have Dr. Barrera there is a state sponsored project on technology that is free of charge. take it to the Cabinet. 9. Next Meeting in February 4, 2016 3
