Revised Supplemental Compensation Policy, Effective August 1, 2010 Revision Highlights 1. Changed the title from “Supplemental Payments for Permanent Employees Who Are FLSA Exempt” to “Supplemental Payments for UNCW Employees.” 2. More clearly defined the purpose and scope of granting supplemental assignments and eligibility. Removed the restrictions to SAAO EPA employees. Reaffirmed and clarified that faculty members while on Research Reassignment are not eligible for supplemental compensation from the university. 3. Provided a section of definitions that clearly defines supplemental assignments and pay, types of assignments, duration, contract period, awards, release time, and course reduction. 4. Established limits of supplemental pay (maximum amounts allowable). Established clear, concise instructions on the review and approval request process. 5. Added records retention guidance. 6. Added guidance on employment of related persons relative to supplemental pay. 7. Developed Supplemental Compensation Request/Approval Form. What Happens on August 1? First and foremost, please read the revised policy (http://www.uncw.edu/policies/documents/08135.pdf) Begin Using the Web Based Interactive Supplemental Compensation Request Form: 1. The newly developed automated form should be ready by the implementation date; however, if not, we will have a manual PDF form available on the HR Forms web page. 2. The new form should be completed and have been approved (all signatures and compliance review completed) prior to work beginning and entry into HR Online for payment. 3. This new form will be the backup documentation to the HR Online entry for payment which provides adequate and consistent documentation. 4. Enter approval form number/date in the Comments box of the HR Online Action. 5. A supplemental compensation form is not required for payments for Awards (competitive prizes), Summer School Sessions, and Temp EPA Hire or Temp EPA Rehire actions. 6. Provides campus a user‐friendly tool to assist in the monitoring of supplemental compensation 7. HR Online Users will have access to the automated form through mySeaPort. 8. Pulls Banner HR data on appointment and supplemental payment history. 9. Automatically calculates maximum caps for in‐ and out‐of‐contract 10. Has the ability to create Flex Schedule and print as part of request form 11. Has the ability to post Related Persons Management Plan and print as part of the request form 12. Identifies the required approval signatures Training Sessions: Sessions are being planned over the next several weeks and months.
