Summer Camps & Conferences Residence Hall Agreement University Responsibilities The University will provide the facilities in the Residence Halls for approved groups during the summer. The University assumes no responsibility for accidents or lost property incurred by user or participants. The user further agrees to hold the University harmless from any and all suits resulting from the activities of the user and participants. The University reserves the right to enter any room for purposes of routine inspections, policy enforcement, and emergency maintenance concerns. Group Responsibilities The sponsoring parties assume full responsibility for the acts of the participants using University facilities and agree to reimburse the University for any and all damages to facilities during the group’s stay. This includes loss of keys, broken or missing furniture, equipment, etc. The sponsoring parties agree to provide appropriate supervision for all participants (One adult supervisor for every fifteen participants). The sponsoring parties agree to allow the Department of Residence Life to remove any participants who do not follow Residence Hall, University or State and Federal policies. Additional Duty to Report Child Abuse and All Other Incidents of Sexual Assault and Sexual Harassment While locating your camp or conference activities on the Winthrop University campus, it is important that you and your direct service staff know their responsibility in reporting abuse, including sexual assault and sexual harassment no matter the age of the victim. South Carolina law also requires certain persons to report Child Neglect or Abuse as it affects children younger than age 17 to the Department of Social Services or appropriate law enforcement. A staff member who suspects or has any concern regarding child abuse or neglect including sexual assault or sexual harassment no matter the age of the victim, must report this information promptly to his/her supervisor or “responsible party.” The camp director or the “responsible party” must immediately notify the Winthrop University Director of Residence Life or designee, 323-2223, to assist the “responsible party” in assessing the situation and determining appropriate next steps as well as notifying the appropriate university officials. The camp director or “responsible party” should in certain circumstances contact Campus Police to conduct an immediate investigation. The Chief of Campus Police will assist in contacting the proper internal and external authorities. By checking this box I, the Group Coordinator and Responsible Party, have acknowledged and understand the responsibilities listed above, my individual responsibilities, and the policies listed in the Summer Camps and Conferences Residence Hall Agreement.
