o Overview:SmartTimeisanonlinesystemforrecordinghoursworkedand/orleave
taken.Itincludesallthestate’scascadingrulesforreportingleave.SPAnon‐
exemptemployeesarerequiredtorecordallhoursworkedandleavetaken.Exempt
employees(bothSPAandEPA)arerequiredtoreportleavetaken.
o Inorderforthisprogramtowork,2newcategoriesofE‐Classhavebeencreated:
LE(LawEnforcement)andSE(ExemptSPAemployees).ReportsinSSRSthathave
E‐Classwillnowreflectthenewcategories.
o Roll‐Out:

 EPAandSPAExempt:September/October2015
 SPA:LateJanuary,earlyFebruary2016(afteryearendleaveroll)
o LeaveKeeperswillnolongerneedtocalculatetimesheetsorenterleavetakenin
PEALEAV.DepartmentLeaveKeepersshouldbegintothinkaboutproxiesfortheir
departmentsasallonlinesubmittalswillneedtobeapprovedinatimelyfashion.
ProposedChangestoStateHealthPlan(SHP)
o ThereareproposedincreasesinpremiumsforallplansofferedbytheSHP,but
thereareopportunitiesforpremiumcreditsforallplans.Plansmayalsohaverate
increasestodeductibleamounts,outofpocketexpenselimits,andco‐pays.Norates
havebeendeterminedyet.
o TheSHPispromotingtheConsumerDirectedHealthPlan(CDHP)asabetteroption
foremployeesbyincreasingincentivesforusingtheplan.Oneproposedincentiveis
toincreasetheamountgivenontheHealthReimbursementAccount(HRA).
o 2016:Onechangebeingdiscussedistothehealthassessment.Currently,an
employeecanansweraquestionwith“Idon’tknow”.In2016,employeeswillneed
tohaveananswertoallhealthassessmentquestions.
o 2017:Oneproposedchangewouldrequestthatyourhealthcareproviderprovide
yourhealthassessmentanswerstotheplan.
o PleasenotethatthesearePROPOSEDchanges.




OnboardingUpdate
o ThenewOnboardingCenterSpecialistsareMelissaCox(coxml@uncw.edu)and
KimberlyHolbrook(holbrookk@uncw.edu).AnticipatedopeningdatefortheOBC
isJuly1beginningwithSPAemployeesandincludingEPAandFacultyinthefall.
o TheOBCwillfocusonthefollowing:
 Pre‐hire:Issuing850#,emailaddresses,andsystemaccess(asmuchas
possible)
 FirstDay:Allnewhirepaperwork,scheduleNewEmployeeOrientation,
traininganddevelopmentplan,newhirechecklists,campustour,IDCards,
parkingpasses,etc.
 FirstMonth:NewEmployeeOrientationandschedulingBenefits
Orientationwiththebenefitscounselors.
 1stYear:Continuetofollowupwithnewemployeeatregularintervals.
Supportandenhancewhatdepartmentsaredoingwithnewemployees.
o FeedbackshouldbedirectedtowardLizGrimesandtheOBCSpecialists.
PerformanceManagementUpdate
o Evaluationsforfiscalyeardepartments(Admissions,Athletics,andStudentAffairs)
aredueJune10th.PleaselookforamemofromLizGrimes.
o Thestateischangingthepolicytoperformancemanagementforagencies,not
universities.GeneralAdministration(GA)hascreatedataskforcetolookatthe
evaluationtools,materials,andcommunicationforUNCsystem.MollyNecewillbe
UNCW’srepresentativeatGA.
o AnticipatedchangeswilltakeplaceinMarch2016.Forthetimebeing,pleaseuse
currenttools.
