Early Alert Enhancement Project (Phase 1) Project Objectives: To add flexibility for how and when faculty can submit academic alerts and ensure alert data are assessed and communicated to faculty. In addition to the current deficiency (DEF) mid-term grading method, the project seeks to: 1. Add two new reporting methods using Hobson Retain retention software a. Point and click alerts from an emailed roster (RET) b. Ad hoc alert referral form (ADH) 2. Add two new reporting time periods a. End of 3rd week b. Flexible timing (best fit for course syllabi) Project Timeline: New alert methods will open the week of 9/8/14 and remain open until 10/4/14. Data assessment will begin the week of 10/7/14. Current Status: A survey was sent to all faculty teaching undergraduate courses during Fall semester asking for their choice of early alert reporting method and reporting time period. For those teaching lower division courses that did not respond, the current DEF mid-term grading method will be used. For those teaching upper division courses, alerts are not required but can be submitted via any of the alert methods and during any of the reporting periods. Those who chose the 3rd week reporting period will be able to submit their alerts starting this week. Instructional emails for the various reporting methods were sent on Tuesday, 9/9/14. Instructional emails for the various reporting methods for those choosing the 4th-6th week reporting period will be sent on Monday, 9/15/14. Alerts can be submitted starting 9/16/14. Alert data will be assessed and communicated via two status reports. One at mid-semester (week of 10/7/14) and one the week after grades roll (week of 1/6/14). Phase 2 project scope will be defined January 2015 based on the results and feedback from those participating in Phase 1.
